Welcome to the first issue of ACT Insight, our new magazine dedicated to you! We have created this publication to keep you informed and up-todate on what’s happening at ACT. It’s one of the many initiatives coming from our Internal Communications Plan. The format has been based on suggestions and ideas from staff across the company. This first issue includes key updates, latest events, a dedicated Welsh corner along with a ‘Staff in the Spotlight’ section which this month features Lisa Beecham. It’s a celebratory time with The Apprenticeship Awards Cymru recently taking place, where we had two fantastic winners and another two equally brilliant short-listed entrants, along with our own Apprenticeship Awards which took place on 2nd November. I hope you enjoy this first issue and let us know if there are any topics you’d like to see featured in the future.

STAFF AWARDS The first staff recognition awards will officially be launching at this years’ Christmas party, with eight awards up for grabs on the night! The nominations closed on 31st October, we had a great response with 76 entries. We look forward to announcing the winners on 8th December.

BEST COMPANIES EMPLOYEE SURVEY Thank you to everyone who completed the survey, we really appreciate it. In total, 298 out of 392 members of staff completed the survey helping us raise £298 for charity. This survey is something that sits in line with ACT’s strategic plan as we want to secure our highest ever placing in The Sunday Times 100 Best Companies to work for in the UK. The main aim of this year has been to turn ACT into a brilliant company to work for where all staff are happy, engaged and valued in delivering our important work and having everyone working towards our four business strategies. We look forward to finding out the results in the New Year, which we will share with all staff as soon as possible.

ESTYN We should all know by now that our next Estyn visit should be happening sometime very soon. For those who work in delivery, you will know a lot about Estyn, what they do and what the visit means to us. For those of you who are a bit unsure, well it’s a pretty big deal! The following guide is endorsed by Estyn. Even though it is targeted towards schools, the main principles and contents also apply to Work-Based Learning. Here is the link to the online guide: https://www.estyn. gov.wales/effective-practice/ reducing-workload-teachersand-headteachers ACT achieved eight Grade 1s in October 2006 and Grade 2s in the latest ESTYN report, making ACT one of Wales' best workbased learning providers.

STAFF ID CARD POLICY Please remember to wear your ID card! As of 1st November 2017 the wearing of staff ID cards is mandatory amongst all staff to help increase the safety across our sites. A new policy has been written which can be found under read and accept on Octopus/CascadeGo. Going forward, Safeguarding officers will have orange ID card holder instead of the clear ones, as this will make them instantly recognisable.

SAFEGUARDING TRAINING The wellbeing of everyone at ACT (staff, learners, visitors and stakeholders etc.) is very important to us, and having staff trained on how to recognise signs of abuse and exploitation is vital to managing safeguarding issues effectively. We have been re-designing our internal safeguarding training package and a new one day course has been launched. The session is called ‘Safeguarding (ACT Specific)’ and is mandatory for all staff, as everyone has a responsibility for safeguarding. The sessions will run once a month, please book and attend a session as soon as possible if you have not attended a safeguarding workshop in the last two years. If you have attended a workshop, possibly as part of your probationary training, you will still need to attend the new course, but make sure you book a place within two years

(or earlier if you would like to update your knowledge sooner). If you are a designated Safeguarding Officer then this training is not mandatory for you. You can find out more information on the Learning & Development page on Sharepoint.

TRANSGENDER AWARENESS WORKSHOP SESSIONS The Transgender Awareness workshop sessions are happening on 27th, 28th & 29th November in Training Room 18 (Ocean Park House) from 9:30am to 12:30pm. These are now bookable on Octopus but are limited to 12 per session, so make sure you book a space as soon as possible.

EQUIPMENT REQUESTS Any equipment requests for new and existing staff are now done electronically via the People and Development department. If any managers need to request any staff equipment please contact the People and Development department who will process the request.

APPRENTICE EXTRA DISCOUNT CARD It's not just our learners that can get themselves a student card, ACT staff are able to purchase an Apprentice Extra card too! LLAMAU SLEEP OUT THURSDAY 2ND NOVEMBER The ACT team who took part in the Llamau sleep out have raised £1170 so far! They will also be raising money for Llamau through the christmas raffle this year, so look out for that!

Depending on the outcome of the visit the EQA will then allocate us a risk status of Low, Medium or High which affects our ability to register, deliver and certificate learners' qualifications.

EXTERNAL QUALITY ASSURANCE VISITS What is an EQA Visit? External Quality Assurance Visits are carried out by an allocated EQA from our Awarding Bodies (C&G, ILM, Pearson etc.) to ensure learners that have been registered for qualifications receive a quality service and that assessment decisions

APPRENTICESHIP AWARDS CYMRU 2017 The Apprenticeship Awards Cymru took place on Friday 20th October. The National Awards showcased and celebrated the achievements of those who have exceeded expectations and shown a dynamic approach to training, demonstrated initiative and enterprise, innovation and creativity, and shown an understanding of, and commitment to, the improvement of skills development for the Welsh economy. SKILLS CYMRU Skills Cymru took place on 11th & 12th October, held at the Motorpoint Arena. Skills Cyrmu is the largest careers, jobs and skills event in Wales, it’s a big event in our calendar and takes lots of organising. The Marketing and Communications team did a brilliant job of making sure we had a great presence at the

event, talking passionately about ACT along with collecting details from 500 potential learners information which will support our recruitment for 2018. We are very happy to say we won ‘Best Stand’ at the event beating 80 other exhibitors including training providers, colleges and large Welsh employers. Super well done team!

We also had four Customer Service Traineeship learners volunteering at the event: big thank you to Jay Nicholls, Kerene Kipulu, Adnan Alrefai and Simran Kaur for their hard work meeting and greeting all visitors. An excellent opportunity for them which can be added to their CV.

ACT APPRENTICESHIP AWARDS 2017 – 2ND NOVEMBER Our annual Apprenticeship Awards were held on 2nd November at Cardiff and Vale College.

The event was a huge success, celebrating the brilliant achievements of our learners. Everything went smoothly on the night and a great time was had by all, which is thanks to Vicki Union for all her hard work organising, with the support of the Marketing & Communications team.

We were delighted to be joined on the night by special guest speaker, rugby legend Gareth ‘Alfie’ Thomas. Gareth shared his story and passion for inspiring young people, presenting our learners with their awards on the night. The staff at CAVC were fantastic, we would also like to say thank you to the Tenovus choir who provided entertainment on the night.

We also had an extra special award for an extremely exceptional learner, Carl Allen, Enterprise Architect at Companies House. Showing perseverance and determination beyond all expectation when completing his qualification, Higher Apprenticeship in Management. Carl is a super human being with so much grit and determination. At ACT we deal with thousands of learners each year, but we can honestly say that we have never met a learner like Carl. Carl completed his ILM Level 5 last year. He has a high pressured job, is supporting two sons with major disabilities, and, as if things were not hard enough already, he was diagnosed with leukaemia around the time he signed up to the qualification. However, even though his life was turned upside down with his diagnosis, he has persevered with his learning and he has said that the ILM course has helped to distract him and keep him active during a very difficult time.

He is now back in work, putting his management tools and techniques into practice which is having a positive impact in his workplace at Companies House. Carl has recently managed two projects with external suppliers that have been highly successful and as a result he has received a department award for this work. He is a true inspiration!

Special thanks to Alfie’s Army This year nine of our ACT Traineeship learners were amongst a hundred rookie runners trained by Gareth ‘Alfie’ Thomas and his team. Alfie’s army joined us on the night an each received a goody bag for their hard work leading up to and completing the Cardiff Half Marathon. celebrating success This month we are focussing on the outcomes of the reflection and team building days. Each team had time where they met to discuss the positives over the past year, learning from their mistakes and planning for the future.

On the following page are some of the top achievements that the board are most proud of, having managed to achieve these with the help of all the staff at ACT.

We achieved the best Learner Outcome Report EVER! This means that learners are achieving their best outcomes in the history of ACT. This outcome will help us to secure future funding and emphasise our excellent reputation as Wales’ leading training provider.

Achieved IIP Gold status, along with being shortlisted as Best IIP Gold Company in the UK! This achievement helps us to measure how well we are doing and identify the areas we can develop to become even better. IIP Gold status also helps us to recruit the best staff and secure our future.

We listened to staff feedback and agreed the new staff Salary and Benefits package, which will see us invest an additional £2.4m in existing staff over the next four years. We have implemented a fair and transparent package to support staff happiness, recruitment and retention.

Each team have their own proudest achievements too, here are a selection. >> The Opportunities team supported the recruitment of Traineeship learners, with 600 Traineeship starts between July and September 2017. A successful partnership with CAVC resulted in 71 referrals on enrolment day.

"...600 Traineeship starts between July and September" The Care Traineeship team are most proud that the Traineeship care learners secured 2nd place in this year’s Urdd childcare competition. Well done! Marketing and Communications are really proud of their campaigns. Their Beyoncé stunt campaign was shortlisted for a CIM award in 2016. The team are also really proud of the ‘day in the life of’ Live Learn Earn campaign videos, which follow four inspirational learners aiming to inspire more of our target market. These videos underpinned the marketing activity of 2017 and along with

working exceptionally well as a team, have taken our marketing activities to the next level

FEELING PROUD! ACT Schools are proud that every learner achieved at least one qualification. Every learner experiencing success has instilled confidence in the individuals which has subsequently meant that 98% of school leavers went on to 16 destinations. They were all still in attendance as of early October. ACT Schools work with some of the most vulnerable learners in South Wales. These learners can often be very challenging to work with, having complex needs and backgrounds making engagement in school very difficult. It’s important to celebrate even the smallest amounts of progress! We have a young woman in the Risca provision, who has not managed to attend school for a full week for many years. She recently attended school for the 5th consecutive day and to say she is proud is an understatement! We are all hugely proud of her effort and engagement want to share that with you all. The Key stage 3 team have done a brilliant job working with her, making coming to school engaging, fun, challenging and ultimately safe for this young woman.

LESSONS LEARNED Below are three examples where things didn’t quite go to plan or where mistakes were made... WHAT HAPPENED? We didn’t recruit new staff in a timely manner – which put extra pressure on everyone else. Why did things go wrong? We were so focussed on growth and joining with the college that we didn’t take enough time to plan adequately. What would you do differently? We have developed a proactive approach to recruitment which includes a new Recruitment and Selection Policy. We have also strengthened the links between Business Development and Delivery and agreed ‘joint’ targets for new apprenticeship starts which are broken down by department.

WHAT HAPPENED?

What would you do differently?

We established individual performance targets for Delivery colleagues which were considered unrealistic.

We will ensure that we align team aims/objectives and clarify the roles and accountability of different functions/teams. We will encourage collaboration across teams and continue the process of SMT members workshadowing other colleagues.

Why did things go wrong? We overlooked the fact that, despite our best intentions, individual targets can lead to unintended consequences and behaviours. What would you do differently? It is still extremely important to us as a company to hit the targets by which the Welsh Government (and Estyn) judged us. We will continue to closely monitor performance of the company, but we have removed the link between individual targets and salary for Delivery colleagues. WHAT HAPPENED? We became disjointed and lost focus on working together across teams to deliver brilliant customer service. Why did things go wrong? We took our eye off the ball. During a period of rapid growth, we focussed on developing new functions and teams but didn’t do enough to ensure that we were all working towards the same aims.

Everyone who joins in will need to donate £2 to this years chosen charity, Llamau. All over the country thousands of people will be donning their daftest, most wonderful woolies – all for different causes.

BBC CHILDREN IN NEED FRIDAY 17TH NOVEMBER Our Cardiff Skills Centre Traineeship learners have already raised an amazing £151.64 for BBC Children in Need. ACT have matched their brilliant efforts making the grand total £303.28 raised! Other centres will also be taking part, dressing up in their favourite PJ’s and superhero costumes!

So far they have studied care for small mammals and reptiles, completing tasks such as feeding, bathing, assessing health and exercising the animals to keep them fit.

OUR FIRST EVER WELSH MEDIUM ANIMAL CARE GROUP!

The group is looking forward to working with large animals on the farm and have already arranged work experience ready for lambing time in the spring.

In the animal care department we are very pleased to be able to deliver lessons through the medium of Welsh. The Welsh group is held every Friday and so far we have three pupils from year 10 Ysgol Gymraeg Plasmawr: Nicole Meredith, Robyn Donnelly, Ellie Young.

WELSH HANDBOOK FOR PRACTITIONERS The latest initiative in our drive to embed more Welsh in our everyday work is the Welsh Handbook for Practitioners. This brand new handbook is a one stop shop for Welsh and Welshness for all practitioners (and operations staff too!). It is full of useful ideas, phrases and apps as well as the Sgiliaith feedback that all assessors and tutors are used to using by now.

This month we have put the spotlight on Lisa Beecham!

Lisa joined ACT just over 5 years ago as an ILM/ Business Services Trainer devising and delivering workshops for the knowledge elements of the route qualifications. About three years ago she also took over the Respect Champion role two-days per month which consists of finding out what ACT is doing to integrate Respect themes into delivery and to share good practice through curriculum coordinators and our partners. Lisa is passionate about sustainability and promoting the great things we are doing. The most recent addition to her role is that of Community Benefit/CSR Champion a few weeks ago.

Hi Lisa, tell us a little bit about your new responsibility and how you will be moving it forward… My new responsibility is as ACT’s Respect and Community Benefits Champion. I will be collecting and sharing information on key areas such as: • How we engage with our communities • How we act and promote sustainability within our centres

Tell us an interesting fact about yourself… I’m a very keen gardener and have a few horticulture qualifications, I grow my own and have a slightly out of control plant habit but it is my hobby and sanity saver so it’s worth it.

Where has been the best place you have travelled to?

• And how we can encourage a more sustainable supply chain across the business.

I’ve lived in Limerick in Ireland, Fryburg in Maine USA and taught English in Austria, Russia and Germany. By far the best place was Salzberg in Austria, closely followed by St. Petersberg for total wow factor.

One of my first jobs is to find someone in each of our centres to become a link in my communication chain. We can’t share good practice if we don’t know about it and this is the hardest part of my role. What do ACT currently do to raise for charity each year? ACT as an organisation supports three main charities, Llamau, Bobath and Tenovus. However, individuals throughout the organisation also raise money, donate time, and elbow grease to their own personally selected charities such as Breast Cancer Awareness, Macmillan and the Christmas shoe box appeal amongst others. This is also

What book did you last read? For me, Beth Chatto’s Garden notebook and The Harry Potter series with my oldest son. What’s the worst job you’ve ever had? Whilst living in Limerick I was briefly a chambermaid in a large hotel, there’s nothing worse than clearing up after people who know they don’t have to clean up after themselves. I make a big effort these days to tidy up my own mess so someone else doesn’t have to.

How do you like to spend your time when you’re not working? I love to garden so I spend time trying to get the kids involved but they are more into demolition than being creative, but anything outdoors is my cup of tea. I’m also into my tech so spend a fair bit of time trying out apps and linking things together to see if they’ll work how I want them to. What would be your top tip for colleagues? Don’t be afraid to introduce yourself to others in ACT via Yammer, Twitter or email. There are lots of us doing similar jobs that could really be inspired by how others are doing something, give networking a try.
