We have also put together this video to assist staff with navigating the new system. Please refer to the new Staff Performance Management policy and procedure, found under the Company Information section (HR Policies & Procedures) of Cascade Go for more information.

STAFF PERFORMANCE REVIEW UPDATE From 1st November 2019, we are pleased to be launching our new Digital Staff Performance Management process. This will replace the current paper-based system of one-to-ones and PJR’s. Under the new process, staff will have two formal performance reviews per year, using the “Perform” module within Cascade Go, as well as continuous feedback via the system throughout the year. The new process will focus on behaviours, competencies, wellbeing and performance.

Every year you will be responsible for paying the £13 to renew your DBS Update Service subscription and will be able to claim this back via the ACT Expenses procedure.

CHANGES TO THE DBS UPDATE SERVICE Hopefully as many of you now know, the DBS Update Service have made an important decision to prevent any third party organisation completing the registration or renewal process on behalf of an applicant. Moving forwards, any future correspondence regarding renewing your DBS update service subscription, which is likely to be via email, cannot be ignored.

STAFFING CHANGES WITHIN ACT With effect from 1st October, we are very pleased to announce that Becky Morris and Tracey Spiller will be joining the Senior Management Team with responsibility for Quality and Essential Skills respectively. I am sure you will wish Becky and Tracey the very best in these new roles.

As of 1st September 2019, all staff will be responsible for renewing their DBS Update Service registration themselves annually. Registration to the service is very important to ACT as it potentially avoids us undertaking future DBS checks and ensures all staff are suitable to work with vulnerable children.

We are also pleased to say that Helen Hallam who has been doing a great job as Acting Marketing and PR Manager has now taken this position permanently and will remain on the Senior Management Team.

All staff will receive an email (to their work or personal email depending on the one used in their initial registration) and will be required to follow the links in the body of the email to ensure their details are correct. You will have 4 weeks to amend your details or risk the DBS cancelling the subscription. In such circumstances, a new DBS check would be required and you would be responsible for the cost of this.

In relation to structures, Tracey will report to Zoe Goodall, along with other delivery senior managers (Bethan Maund, Kelly Rowlands and Leon Patnett). Becky will report to Richard Spear, along with Katy Wolar (leading the new Care, Support and Guidance Team) and Matt Burnett. Helen will continue to report to Caroline Cooksley.

What’s the biggest challenge your team faces?

Who are you and what’s your role? Lisa Rodrigues – Learning for Work Manager. What are you responsible for? Management and delivery of the MTS (Managed Training Services), a community based employability programme. I also manage the team who deliver the largest percentage of our commercial training offer. What are your plans for the future of ACT? I ensure that the route strategic plans are in line with company strategy and we are working towards the following: 1. Quality with our network of 50 providers 2. Efficiency, through constant review of helpdesk processes and procedures as well as EBS (Electronic Booking System) 3. Growth, working with providers and the rest of ACT’s network to deliver the MTS contract and support the growth of ACT’s commercial offer 4. Happiness and Engagement, by working with and supporting our network of sub-providers, celebrating every success whether it be the participants or our delivery team by adopting a coaching culture

Working with over 300 advisers and mentors pan-Wales in order to meet the requirements of the local area and individual participants needs, in order to help, guide and support them back into work.

"I go to see musicals regularly! I love a show tune" What is your proudest moment at ACT? Throughout my time at ACT I have been in 3 different job roles and delivered 5 contracts to completion. I always take pride in the excellent feedback we receive regarding management of the contract and any subproviders involved, the bespoke training packages and courses created and delivered by the team, and the knowledge that we have delivered a high quality programme for ACT. Tell us something we wouldn’t know about you? I go to see musicals regularly! I love a show tune, I’m not going to lie. I can also tap dance too.

events Welsh Government wished to expand the LwA scheme to include Further Education and Work Based Learning, and allocated funding to the National Autism Team to develop and implement the necessary resources required.

LAUNCH OF THE WORK-BASED LEARNING WORKING WITH AUTISM SCHEME On Tuesday, 24th September the National Autism Team launched their new Work Based Learning programme. The event featured a number of guest speakers, including Kirsty Williams AM, Minister for Education, and our ACT Skills Ambassador Jonathan Davies.

ACT’s Care, Support and Guidance Manager, Charlotte Dando, along with learners Darren James and Ellie Curtis worked together to share their insights and develop the resources. The resources of this collaboration can be seen here.

The National Autism Team’s previous Learning with Autism (LwA) programmes have covered early years, primary and secondary settings only.

As usual the quiz night will operate a BYO drink and food policy, but each team will also be given a complimentary bottle of fizz for their table and some finger food.

ACT QUIZ NIGHT A big thank you and well done to everyone who came along to our recent Sport & Social Club Quiz Night on 26th September at the OPH café. It was a competitive night of fun with the 'Junction 33’ team reigning supreme on the night.

So, if you'd like to flex your general knowledge skills and fancy an evening of socialising, with some humour and fun thrown in, then save your space by emailing SportsAndSocialGroup@ acttraining.org.uk.

The next quiz night will be held on Friday 6th December, with start times to be confirmed. This quiz will be for charity, with all proceeds going to our charity partner Llamau and their Big Sleep Out event which is being held on 7th Dec. To get in the festive spirit, a raffle will be held with lots of prizes (donations accepted from our staff and suppliers) with all proceeds to be added to the total.

celebrating success APPRENTICESHIP CYMRU FINALIST! We are proud to announce that Lara Baldwin, CCLD Assessor, has successfully been shortlisted as a finalist for this year’s Apprenticeship Awards Cymru 2019, in the WorkBased Learning Practitioner of the Year (assessor) category. Known as the most prestigious awards in our sector, the awards celebrate exceptional learners and practitioners who are doing fantastic things. The winners will be announced at the awards ceremony on the 24th October at the Celtic Manor, Newport. An enormous well done to you Lara; we wish you the very best of luck on the night!

ACT SCHOOLS GCSE RESULTS A huge round of applause to our ACT Schools’ learners who have achieved their highest GCSE results to date. Adam Boyle, from our OPH provision achieved a fantastic 8 GCSE’s, while Stephen Jenkins from Caerphilly achieved 6 GCSE’s, including a C

in GCSE Art; ACT Schools ran this option for the first time this year to engage their more creative learners.

Speaking about his time at ACT Schools, Stephen commented: “I first came to ACT in September 2018 after my school placement broke down. I used to like school but things changed for me and they couldn’t manage my behaviour. Moving to ACT was the best thing that could have happened. ACT treat me with respect and have really helped me through my exams. It is still like a school but the teachers care about me, and even when I haven’t been brilliant they still look out for me.” Antony Leach, Caerphilly Schools Centre Manager, added, “I am immensely proud of Stephen and the progress he has made during his time at ACT. Despite the difficulties he has faced, Stephen has managed to complete a full academic year with us and achieve all of his educational targets. The staff at ACT Schools work with some of the most vulnerable children in

Caerphilly and do so with total passion and drive. I feel very privileged to work in such an environment and I am extremely proud of the team I manage as well as the pupils we support.” Kelly Rowlands, Senior Schools Provision Manager, added, “Stephen’s story is just one example of the fantastic achievements of our learners this year. Since becoming an independent school, the ACT Schools provision has continued to grow and we are excited to continue building on our success over the coming years.”

SUCCESS FOR MTS LEARNER We are delighted to learn that Stacey Morris, an MTS learner from Ammanford, has gone on to complete a foundation degree in Child Care studies. Having previously left school without any qualifications and living as a single mum living on benefits, Stacey was one of the first learners to undertake the MTS programme for STLS level 2. In addition to completing her

foundation degree, Stacey has also gained a long term position through New Directions - working with children with SEN and behaviour issues in the areas of Neath and Port Talbot. Speaking about Stacey’s success, Julie Davila, STLS Assessor, commented, “Knowing that I had been a key part of her learning journey and reflecting on how she had grown as a person, made me realise that we do have a valuable influence on our learners lives.”

CARDIFF HALF BAKE SALE To help raise much needed funds for staff who ran the Cardiff Half Marathon this month, the runners hosted a bake sale at OPH Cafe. They successfully raised £113.08. Well done everyone for all your efforts on the day!

WEDDING BELLS FOR STEVE BAILEY Congratulations to Steve Bailey, Post Officer at OPH Centre and his now wife Sally who were married earlier this month. Steve who first started out at ACT as a learner has been working at ACT for 27½ years. Congratulations Steve!

HADFIELD LEARNERS – BUTE PARK PROJECT We are absolutely thrilled to report that three of our construction learners from our Cardiff Skills Academy: Tace Cullen, Jamie Jayne and Robbie Lee Jayne, have been successfully selected to take part in the Bute Street Containers Park Project. The project, which began in August, is led by Cadwyn, a Cardiff based not for profit organisation which provides good quality, affordable homes to people from all walks of life. Working with the scheme contractor, Willis Construction, our learners will be on site for 10 weeks, 4 days per week, with 1 day for additional training and mentoring. They will work under the supervision of a dedicated foreman on one container so that they can gain hands on experience and learn more about all trades.

Speaking about the opportunity, learner Tace Cullen said, “I am happy and grateful to be selected to take part in the project. It’s giving us, as learners, a better opportunity to gain on site experience and put the theory we’ve learned in workshops into practice. It’s also giving us a chance to work with and learn new skills from the tradesmen on site.” Kathryn Williams from Cadwyn commented, “Providing opportunities for young people to increase their construction knowledge, skills and experience is a really important part of this project. Jamie, Robbie and Tace were selected from over 20 candidates and we have been really impressed with their enthusiasm, hard work and commitment as part of the project team so far. We look forward to working with them over the rest of the programme. They are a real asset to the team. They’re doing themselves and ACT proud!”

Last issue, our recommended read was ‘Feck Perfuction: Dangerous Ideas on the Business of Life’ by James Victore. Thank you to everyone who got on board with the book club, ordered a copy and read the book. Below is some of the feedback we received: I wasn't a fan of this book. I attempted to give a balanced review but ultimately abandoned the cause. Where to begin? The author is very proud of his “disruptive” advice, but it’s just full of generic and boastful anecdotes about his own career. Doing your job well and with purpose is not a new found revelation; it's common sense. As for the book design… I’m sure it was supposed to be a reflection of his disruptive ideas but usability and good typesetting is basic manners for your readers. Putting page numbers on the

inside margin, rendering them useless might I add, doesn’t make you an anarchist, it makes your book annoying. Really annoying. Finally, I can't agree with anyone who claims that in order to be creative you need to forego pizza, beer and carbs. These are delicious and have in no way diminished my creativity. This book is not a radical and disruptive read. It's self-indulgence disguised as good advice. EMMA TICKNER

Selected as a book of the year by Amazon, The Times, Guardian, New York Times, Economist and The Sunday Times, this multi-million copy bestseller, is the memoir of Tara Westover. She had no school records because she’d never set foot in a classroom, and no medical records because her father didn’t believe in hospitals. Tara knew she had to leave home. In doing so she discovered both the transformative power of education, and the price she had to pay for it. Books are free for the first 50 staff who request a copy (first come first served basis) and could count towards your CPD hours (subject to suitability). Every issue we interview a different partner to shine a light on the work they do. This time we spoke to Urdd. Gethin is now over halfway of his Level 2 apprenticeship, and is working towards completing his NVQ in Activity Leadership. Gethin loves working within sports on a daily basis and loves working with children. He feels lucky to have this opportunity with the Urdd - to develop his coaching skills whilst gaining a variety of qualifications at the same time!

WHO ARE YOU AND WHAT IS YOUR ROLE? My name is Catrin Mair Davis and I manage the Urdd’s Apprenticeship Scheme.

WHAT SERVICES DO URDD PROVIDE? The Urdd’s wider aim is to provide opportunities, through the medium of Welsh for children and young people in Wales, to become fully rounded individuals, developing personal and social skills that will enable them to make a positive contribution to the community. The Urdd does lots of varied work including: outdoor activities in its residential centres, the Urdd’s National Eisteddfod, local and National sports provision, as well as its well established Apprenticeship Scheme. The Urdd is both an employer and training provider for 40 apprentices annually. These range from Sports Apprenticeships to outdoor activities and youth work. We also offer apprenticeships for those working in schools looking to develop their activity leadership or sports development skills.

"By doing this apprenticeship with the Urdd, I have the opportunity to develop my coaching skills whilst gaining qualifications that will help me with my future career. It also gives me the opportunity to work within sport every day!" - GETHIN

The best thing about working with ACT is the level of support available for all aspects of running our schemes. Having a dedicated partnership manager is great as they have a great understanding of what we do and are able to offer tailored support. The good practice groups and quality manager meetings are also invaluable.

We are one of ACT’s partners and provide the majority of our Apprenticeships through ACT.

TELL US ABOUT A LEARNER/ INDIVIDUAL WHO URDD HAVE HELPED? Gethin is from Cardiff and after completing his A levels at Ysgol Glantaf, he decided that doing a sports apprenticeship would be the best option for him.

This month we put the spotlight on Callum Taylor who joined ACT in September 2014. Callum works as an Engagement Tutor at our Barry centre.

Tell us a little bit about your role, and what your average day looks like. I work as an Engagement Tutor in the Barry centre, meaning that 4 out of 5 days consist of me delivering the Engagement programme to my group of learners. We cover loads of stuff from money management to sexual health and tend to work with the guys who aren’t sure what they want to do long term. On Fridays, I typically plan for the week ahead to make sure everything runs smoothly. What is the most rewarding part of your current role? I’d say the most rewarding part is watching each of my learners develop, from the period that they start on engagement, right up until they leave the programme. A lot of the learners who come through ACT show a real transformation during their time training with us. It’s always great when one decides to pop in a few months after they’ve left for a catch up.

because they were adding the special effects in later. That’s basically my claim to fame. Where is the best place you have travelled to? I went to Zante in Greece with a few mates a few years ago which was quality. The weather peaked at 41 degrees so it was absolutely roasting over there. The beaches and sea there were so clean as well, nothing like we have over here. I definitely need to go back soon. What was the last album you listened to? The last album I listened to was a classic album that I find myself listening to a lot; Madvillainy by Madvillain. It’s an experimental hip-hop album from back in 2004 and I can still remember the first time I heard it. It’s an album I go back to quite lot. I just love the sounds and style of both the artists on the album.

Tell us an interesting fact about yourself…

What’s the worst job you’ve ever had?

I’m not really all that interesting, but I was briefly on TV as an extra for Doctor Who. It was a while back because I think I was only around 9 or 10 at the time. I don’t remember a whole lot about the episode, but I do remember having to run away from nothing, pretending to be scared

Before I worked for ACT I briefly helped out at a call centre in Cardiff. Dreadful would be the best way to describe it. I was sat next to the office boss and he would regularly throw tantrums where things would be tossed around the office before he’d vanish for a few hours. Then he’d return and act as if nothing happened.

It was a really weird experience and I decided soon after that it wasn’t for me. How do you like to spend your time when you’re not working? I’m a big football fan so typically I’ll be somewhere where I can watch a Cardiff City game (preferably with a few beers). I’m also big into films so try to catch a few in the cinema when I spot something I like the look of. My girlfriend and I are also massive foodies, so we often head out for something to eat, or try cooking something experimental and new from time to time. What would be your top tip for colleagues? Just try to relax and prioritise when it comes to getting work done. There’s not much worse than stressing because you don’t know how to get through everything. Take it one task at a time and try to remember that only so much can be done in one day.

ACT introduce new OneFile Champions Mel Ingram, IT, Social Media and Digital Marketing IQA: “My use and knowledge of OneFile is extensive and I often provide training and ongoing support for the assessors and trainee IQAs, not just in my team, but across Apprenticeships. I have always been an advocate for digital solutions and encouraging the use of digital tools to support learners and assessors in their learning and assessment. I am excited for the future of ACT’s digital learning solutions and being an integral part of this as a OneFile champion.”

As you know, one of our ongoing strategies as a company is to become even more innovative with our use of digital technology to improve processes, learner experience and data management across our provision. One of these recent improvements is the introduction and piloting of our OneFile Champions: Mel Ingram, Hayley Carter and Sam Holland. Our champions will support and work with staff across the Apprenticeship provision to promote the effective use of our OneFile digital tool. As well as hosting webinars and drop in sessions for staff to attend, our champions will also be developing a range of useful resources and guides. The support offered by the champions will enable staff to use OneFile to its full potential – making the learner journey more efficient and engaging for staff, learners and employers.

Sam Holland, IT, Social Media and Digital Marketing Curriculum Developer: “I think OneFile is a fantastic tool for all of us at ACT, which many of us are maybe not utilising to the full extent we could be at the moment. I am eager to see how we as Champions can support staff to use the tools available to us, and in turn create a digital learning environment that staff and learners find useful and engaging. I’m confident that through exploring the software we can find new ways of streamlining some of the many processes we have to go through.”

Hayley Carter, CCLD Assessor: “I applied to be a champion based upon my employer engagement and compliancy with reviews and IALP. Our aim as champions is to ensure that everyone is engaging with these digital processes and to encourage staff to collaborate and share ideas to further benefit learners with their apprenticeships.”

With Apprenticeship activity starting earlier this month, the Champions will be meeting on a monthly basis to plan and develop resources and drop in sessions for staff.

ONEFILE UPDATES To better support Assessors in the future, the Systems Development Team are looking for feedback on how confident assessors feel using OneFile.

The impact of the OneFile Champions will be reviewed on a quarterly basis and if successful, we’ll be looking to expand beyond just OneFile use and calling for more colleagues to apply to be champions within Apprenticeships and Traineeships.
