St. John, reachable by a 20-minute inter-island ferry, is two-thirds national park. Welcome To Tropic Tours Tropic Tours was established in 1962 as a division of Caribbean Travel, with a staff of more than 25, it is now a second-generation enterprise, and the oldest Destination Management Company serving St. Thomas and St. John. We take great pride in personally tailoring our services to meet and exceed your expectations. Upon request, we would be happy to provide you with a list of satisfied clients. It includes major Corporate Travel Meeting Planners, National and International Trade Associations and Professional Societies, as well as all U.S. Tour and Charter Operators. We own and operate a fleet of nine vehicles and have access to an additional 4000 seats at any given moment for your larger group arrivals or departures. We are the only DMC to maintain a seven-day a week, first to last flight, fully manned airport counter at the Cyril E. King Airport. We are unrivaled in our convenient position at the airport inside baggage claim across from carousel number one. Guests should proceed directly to our counter to quickly check-in, identify their luggage, and board their transfers in a timely and efficient manner. When necessary, uniformed hospitality representatives can be arranged to meet any group or individual. Our signature open-air safari buses are the most efficient transportation vehicles suited for these tropical islands. Each safari bus, known locally as the “Cadillac of the Caribbean�, can accommodate 21 to 25 passengers. Our method of open air transport offers a unique perspective of our island while also acclimating your guests to the tropics en route to their hotel. As always, luggage is transported separately. For our discerning guests requiring exclusive, luxury transportation, we are happy to provide and can arrange such transportation as a private sedan, limousine or luxury SUV. Payment, Deposit, and Cancellation Policy Deposit, Payment & Final Billing Procedures: • A Performa for Deposit will be sent requesting prepayment due Tropic Tours 60 days before your groups’ arrival on island. • Deposit schedule: • 50% - 60 days prior to arrival • 40% - 30 days prior to arrival • Final payment due 14 days after departure • This Performa represents all anticipated ground services requested, based on estimated counts, which Tropic Tours has reserved for your group. • Additional deposits may be required to secure certain events. • We accept all major credit cards and company checks. • Once your group is on site, all ground services are billed based on specific minimums, guaranteed counts, or any adjustments. (See our individual tariff sheets for further details). • A Final Invoice will be presented to your Lead Trip Director, to be reviewed before his or her departure, with our Tropic Tours Hospitality staff. Site Inspections and Familiarization Trips: We are delighted to provide all inbound and outbound airport transfers on a complimentary basis. Ground transportation utilized throughout your site visit will be discounted at 50%, and can be added to the Master Bill. Gratuities are not included. Meals or tours that are not made available on a complimentary basis can be added to the Master Bill. Coordination fees waived. Complimentary Policy: Trip directors and travel staff are complimentary on all ground transfers. Trip directors are also complimentary on tours owned and operated by Tropic Tours. Hospitality Staff: Tropic Tours can provide uniformed staff from touch down to take off billed on a minimum of four hours. Rates, Guarantees, and Cancellations All rates are quoted net per person, unless otherwise stated, and are subject to change. Transfers and Tours fully operated by Tropic Tours are based on 48-hour guarantees. Please see the individual tariff sheets for full cancellation and guarantee policies. Termination due to Emergency: If Tropic Tours is unable to provide the promised level of service for any reason, including, but not limited to service outages, war, acts of God or negligence, neither Tropic Tours or it's owners can be held liable for any costs beyond the prorated costs paid by the client for the services which were not provided.

Tropic Tours Arrival and Departure Procedures Arrival: Our Tropic Tours booth is manned seven days a week from the first to the last flight to ensure every passenger’s scheduled arrival and or delayed flight due to inclement weather. Upon arrival guests should be directed to proceed to baggage claim, where we can provide additional uniformed hospitality staff in tandem to our desk personnel for additional Meet & Greet representation. Once your group has identified themselves to our personnel we will immediately assist with identifying and claiming your groups’ luggage for separate transport and escort all guests to their guaranteed waiting transportation.

Tropic Tours Group Transfers include the following: All transfer prices are per person, net one way Tropic Tours operates a 7 days a week, first flight to last flight Airport arrival and hotel departure service with guaranteed availability transfers in each direction. One way baggage transfer (maximum 2 bags per person each way) Top insurance coverage on all of our vehicles. Porter service with separate baggage handling and trucking if needed. Departure: Tropic Tours provides group departure notices for all early or late departure days. As well as creating departing flight manifests in chronological order, Bell Captain's Baggage Pull rooming lists, and notifying the hotel's Front desk staff. There may be a small delivery charge posted to your master from the hotel. Tropic Tours Hospitality Staff & Dispatchers are positioned at your host hotel for all early and bulk departure days. Those guests staying beyond the group dates will be given an individual Tropic Tours’ prepaid transfer voucher in the event that late departure days are still included in the program. Our staff will also meet and greet your guests on Bulk departure days at the airport to assist and escort them to their designated airline counter for check in.


U.S.V.I. Airport Requirements and Customs Regulations Tropic Tours recommends your group participants be provided with these instructions before leaving their home country. Your participants will not clear US Customs upon arrival in St Thomas. The islands of St. Thomas, St. John and St. Croix are a territory of the United States. Currently Canadian citizens and U.S. citizens do no not need passports to enter the Virgin Islands. However, passports or a certified birth certificate and photo ID is mandatory for passengers for proof of citizenship when departing through customs and immigration. For more information visit: http://travel.state.gov Attach your company’s luggage identification tags to all checked and hand carry baggage. Carry-on all medical needs and or medications and do not pack valuables in their suitcase. Personal Identification is required at check-in when departing home city. Virgin Islands Port Authority prohibits gate arrival meet and greet services. Group participants must be advised to proceed directly into baggage claim to the Tropic Tours desk upon their arrival into St Thomas. In order to facilitate the progress of all arrivals and departures once your group has arrived Tropic Tours requires thirty (30) days in advance an alphabetical arrival and departure manifest listed chronologically by airline, flight number and scheduled arrival and departure times emailed to transfers@tropictoursusvi.com. To adjust for changes and or additions send that information only. Please do not resend your entire document. All transfers must be prepaid 30 days prior to your group’s arrival. Passengers who have not prepaid will not be able to pay on site with cash. Adjustments for transfer refunds can only be made if Tropic Tours is notified 72 hours before a scheduled transfer in writing. Send a sample of your company’s baggage tag for easy identification for our designated porters, baggage handlers and hospitality staff.

Tropic Tours Hospitality Staff Tropic Tours recommends hiring our hospitality staff as your “on site experts”. With their extensive island knowledge and professionalism, they are able to assist you and your group from “touch down to take off”. On arrival day, let Tropic Tours meet & greet your group in the baggage claim area with personalized signage to facilitate a smooth transition from airport to hotel. During your stay, Tropic Tours staff is available to provide orientations, coordinate, dispatch tours and/or assist your staff at your hospitality desk. Hospitality staff can be prearranged to advance your evening functions. Tropic Tours provides complimentary departure manifests and departure notices. Our dispatcher will coordinate with all hotel bell staff and Tropic Tours baggage handlers in facilitating your smooth departure. There may be a charge for hotel delivery of departure notices. On departure day, Tropic Tours hospitality staff is posted at your hotel to dispatch guests to the airport and can be hired to greet your guests and assist with departures at the airport. Cost per hour: $25

Vendor’s Plaza In Charlotte Amalie there is an area called Vendors Plaza where vendors set up small booths, tables and tents from which they sell an assortment of souvenirs. Vendors Plaza is located across from the Emancipation Park and Fort Christian. There you will find silver jewelry, t-shirts, tropical print wrap skirts, shirts and dresses, imitation bags and watches, trinkets and more. There is also hair braiding, a photo op with a donkey, a coconut-for-sale stand, local food vendors and an ice-cream stand. Vendors Plaza is generally open Monday through Saturday from about 7:30am until 5:00pm when they start packing up for the day. HOTEL

Mystery Dine Around

All of our preferred restaurants are distinctive in their ambience and gracious style of service to enhance your Guests’ Night On The Town. For a fun evening have a mystery dine-out event. Tropic Tours can provide color-coded tickets designating each restaurant and we would have sample mini a la carte menus available for their perusal at the Hospitality Desk. Then as your Guests meet in the lobby with their coded tickets, Tropic Tours will group their departures by calling colors creating an easy and constant transfer flow to the restaurants. Since transfers take roughly 20 - 25 minutes in each direction we would suggest a 6:30 PM departure for a 7:00 PM dinner reservation. Transportation vehicles will be positioned for the returns at 9:00 PM.
