Please note the guidelines and deadlines. Good luck to all applicants!

I.

SUBMISSION OF ENTRIES

Note: Nominees must be present at the Regional Conference or provide evidence of inability to attend. The Awards-at-a-Glance table specifies which categories are to be submitted by graduate and undergraduate chapters. Checklist A - Award categories 1 through 27: Entries in categories 1 through 27, unless specifically noted, must be mailed to:

NOTE: Entries will be judged prior to the opening of the Regional Conference. Checklist A - Award category 28 – Chapter Attendance • This award will be based on attendance recorded at the Conference Registration Desk. • Attendance will be recorded up to the close of registration on Friday, March 14, 2014. • Chapters must submit the Nomination Form to the Awards Committee no later than 9:00 a.m. on Saturday, March 15, 2014. Though based on registration, chapters must apply for this award in order to be considered. • The form must be submitted at the Awards/Exhibits Area. • Winners will be based on the percentage of active chapter membership present at the Regional Conference. Checklist B - Award categories 29 through 37 • Entries must be submitted along with Checklist B at the Regional Conference. • All entries must be received in the Awards/Exhibits Area by the Awards Committee during the following time: Thursday, March 13, 2014 3:00 p.m. to 8:00 p.m. Checklist B – Other awards • Please see the nomination form for specific instructions regarding these awards.

DISPLAY AND CHECKOUT OF ENTRIES All award entries that meet the qualifications will be displayed during the Regional Conference. All entries must be picked up by chapter representatives on Saturday, March 15, 2014 between 3:00 p.m. and 4:00 p.m. The Awards Committee will not be responsible for entries left after 4:00 p.m.

GENERAL GUIDELINES

Except where specifically instructed, each entry should include only activities, accomplishments, awards, etc., from February 1, 2013 - February 1, 2014. • Points will be deducted if the above guideline is not followed. • All supporting material must be postmarked no later than February 8, 2014. • Entries that do not meet the following specifications will not be accepted. Size Guidelines: All scrapbooks and exhibits must meet the required size and weight as indicated below: Individual Scrapbooks: * must not be larger than 14” x 14” and 3” thick * must not weigh more than 20 pounds Chapter Scrapbooks: * must not be larger than 18” x 18” and 5” thick * must not weigh more than 30 pounds Exhibits: * must not be larger than 3’ x 3’ x 3’ • Checklist A must accompany entries that are mailed. • Checklist B must be mailed. The postmark deadline is February 8, 2014. A copy of Checklist B must also accompany entries that are submitted at Regional Conference. • The Eligibility Form must accompany mailed entries. The postmark deadline is February 8, 2014. • Chapters that are not submitting mailed entries must also mail the Eligibility Form. The postmark deadline is February 8, 2014. A copy of the Eligibility Form must also accompany entries that are submitted at Regional Conference. • Each entry must be bound securely. The binder type (notebook, scrapbook, folder, etc.) is the Chapter’s choice. Do not bind the Checklist or the Eligibility Form. • The Nomination Form must accompany each entry, and it should be filled out completely. • Only one category should be included in a binder. • Do not use the same entry for more than one category. Points will be deducted if the following specifications are not met: • For Categories 1 through 27, the Nomination Form must be securely attached to the first page or to the inside front cover of the binder. • Guidelines on the Nomination Form must be followed. Organization of entry is up to the Chapter, but each section must be clearly labeled with headings listed on the Nomination Form. • There should be no loose pages. • Chapters are encouraged to send entries by certified mail (return receipt requested) so that they can verify receipt of materials. • If two or more packages are mailed from the same chapter, Checklist A should be in the first package. Please indicate the number of packages on each package (example: 1 of 3, 2 of 3, and 3 of 3). It is not necessary to mail more than one copy of Checklist A. • Regional Conference Hostess Chapters are not eligible to compete for awards with the exception of the following: Golden Soror of the Year Award, Form 24; AKA C.A.R.E.S. Award, Form 25; GLTTS Awards, Forms 32-37; Health Partner Awards, Forms 38-41; Pearls of Power Award, Form 42; Asthma Prevention & Management Initiative Award, Form 43.

Awards will be given to first and second place winners in each category, unless specifically noted. No undergraduate awards will be based on chapter size, unless specifically noted.

Alpha Kappa Alpha Sorority Award for Media Excellence The Alpha Kappa Alpha Award for Media Excellence is presented to a Graduate and Undergraduate chapter that distinguishes itself in each region for expanding the ALPHA KAPPA ALPHA presence through execution of a strategic media plan as well as for exemplary media coverage of their programs of service and community activities on a local, regional and international basis. Social Justice and Human Rights Initiative Program Award Alpha Kappa Alpha Sorority, Inc. will advocate for social justice and human rights for all. This initiative addresses gender equality issues including: human trafficking and domestic violence, services for children with incarcerated parents, youth aging out of foster care and children in homeless shelters. Voter empowerment, access to technology, training of parents as advocates for educational and health care needs of children, and support of the arts will be emphasized. HEALTH PARTNER AWARDS Alpha Kappa Alpha Sorority’s four health partners seek to recognize chapters from each region that have committed to enhancing the goals and objectives of their organization through “service to all mankind” as well as improving the health status of the local communities. The awards are established to provide recognition for the development and implementation of excellent health promotions during the 2013 calendar year. •

The points system will determine nominees at the Regional Level.

The top 3 chapters from each region will be recognized during Regional Conference.

The national health partner will select the 1st place winner from each region.

The 3 regional nominees will be selected based on the published criteria by the Regional Program Representative and the Regional Program Committee.

Programs where the primary contribution of the chapter is financial will not be considered.

All entries will only be accepted electronically in PDF format.

The Awards will be presented during the 2014 Boule.

ASTHMA PREVENTION & MANAGEMENT INITIATIVE (APMI) AWARD The Alpha Kappa Alpha Sorority, Incorporated Best Practices Asthma Prevention and Management Initiative (APMI) Awards will be presented to chapters demonstrating best practices. Awards recognize excellence in planning and implementation of asthma programs in grades K-3 and 4-6. The CRITERIA listed below are for Graduate and Undergraduate Chapters. • • • •

A points system will determine the 1st, 2nd, and 3rd place winners at the Regional and Boule competitions. Only the TOP THREE 1st place winners, with the highest overall score per category, will advance to the Boule competition. Regional Guidelines will be used to determine the Chapter size of Small, Medium, or Large for purposes of judging the APMI Awards at the Regional Level competitions. Undergraduate Chapters will only receive 1st, 2nd, and 3rd place awards. There will be no awards based upon chapter size.

The JUDGING criteria listed below are for Graduate and Undergraduate Chapters. • • • • • •

All submissions must be typed. Written applications will not be accepted. The font type of Times New Roman with a font size of 12 is required. Indicate name of chapter; location of the chapter (address, city, state); region of the chapter; and size of the chapter, if applicable (large, medium, small). The maximum total number of pages will be three for the award application. Two pages will be allowed for APMI criteria. One page is allowed for picture(s) only. NOTE: Do not submit more than two pages combined for all eight criteria. All submissions must be submitted in PDF format.
