REGIONAL CONFERENCE WORKSHOPS SATURDAY, APRIL 4 8:45 AM TO 10:15AM WK01: Building Basics 101: Introduction to Commercial Property Ownership As chapter foundations consider the purchase of properties to house chapter operations and/or to generate revenue, commercial property ownership comes with great responsibility. This workshop is designed to introduce some important issues as chapters consider property purchases. Topics to be discussed will include zoning, due diligence, and initial financial commitment/investment.

WK02: “Ready, Set, Launch!” Launching New Dimensions of Service: This workshop is designed for program chairmen and program committee members. Chapter implementation tactics regarding each program target, excluding the signature program, will be discussed including goals, objectives, chapter activities and partnerships. Sorors’ understanding of the five program targets will be assessed by participating in a facilitated discussion of best practices for program implementation. WK03: Launching New Dimensions of Communications – 101 Sorors will learn the ‘Who, What, When, Where, Why and How’ in delivering and developing the message of Alpha Kappa Alpha to the media. This workshop will include tactics including:  How to work with the media through various platforms, i.e., Print, Broadcast and Digital  Engaging with the media and content development (local vs. regional or national) and why the news is relevant  Delivering the message (press release, media alert, e-blast)  How to use the Web & Social Media in telling the AKA story  Audience: Ivy Leaf Reporters and Publicity Chairmen WK04: Poised and Polished…Launching New Dimensions of Protocol I Every soror should be knowledgeable about our sorority protocol. This workshop provides an overview of general protocol guidelines, procedures and practices of Alpha Kappa Alpha Sorority, Incorporated®. The content will give sorors a thorough review of the Soror Code of Ethics, appropriate attire for Rituals/AKA events, chapter decorum, gifts and courtesies, correct titles, terminology, and an update on additions and revisions. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2014. WK05: “Just Like a Sista: Perception, Behavior, Self-Awareness” This workshop is designed to foster and support sisterly behavior at all levels of the organization. By engaging participants in interactive activities that focus on perception, behavior, and self-awareness, the design will illustrate how differing points of views can lead to conflict, but how an understanding of another's point of view can lead to gaining a better understanding of each other and build better relationships.

REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK06: “It’s All About YOU!: Strengthening Alpha Kappa Alpha Through a Meaningful Membership Intake Process” This workshop will focus on ways to enhance the sorority’s current intake process. A special focus will be on the simplification of the selection process on both the undergraduate and graduate levels. The ongoing MIP evaluation process, including membership survey preliminary results, will also be discussed and shared. WK07: Truth Or Myth: For Undergraduates Only! The International Undergraduate Activities Committee presents an interactive and engaging workshop that facilitates the discussion of the gray areas of Soror conduct, hazing, and protocol. By the end of this workshop, undergraduate Soror should have a clear understanding of how to exhibit the Alpha Kappa Alpha Brand in a positive manner at all times. WK08: Game On! Who wants to be a Parliamentarian? As we launch new dimensions of service, it is important that sorors learn the tenets of parliamentary procedure. All sorors should be knowledgeable of the basic tools for conducting effective and efficient chapter meetings. This interactive workshop will enable participation and collaboration. Sorors must bring their 2014 Constitution and Bylaws and Manual of Standard Procedure. WK09: “Launching New Dimensions - Sorors take A.C.T.I.O.N.” This workshop is targeted to Chapters Connection Chairs and all sorors who are interested in serving on their chapters Connection Committee. The 2014-2018 Connection Program will be introduced. This interactive workshop will empower participants to develop local connection activities that answer the call to take A.C.T.I.O.N. (Advocate, Communicate, Train, Influence, Organize and Network). Participants will also be introduced to the Voter Registration & Education Campaign – “Be the Voice!”. AKA Days at the Capitol and the debut of the new AKA Public Policy Conference to be held in Washington, DC will also be reviewed. WK10: “So You Want to Run For Office”. The workshop will familiarize the sorors with the training requirements and the candidate certification process for the various positions. WK11: “EAF Launching New Dimensions of Educational Excellence”” This workshop will focus on providing an understanding of the structure of the EAF as a 501( c) (3) organization. EAF representatives will discuss ways in which donors and members can support the mission of EAF. EAF Ambassadors will learn best practices for representing EAF at the Chapter, Cluster and Regional levels. Strategies introduced will cultivate understanding and knowledge of and excitement for the EAF initiative, “leaving a lasting legacy” through the establishment of endowments and fellowships by chapters, organization s and individuals. EAF representatives will also provide detailed descriptions of EAF’s scholarships and community assistance programs.

REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK12: “Honorary Members and Awards Workshop 101: “How Will You Know?” Designed for Chapter Basilei, Anti-Basilei and/or Chapter Awards Committee Chairmen, this workshop will take the mystery out of how honorary members are selected and how award recipients are chosen. 90 minutes. Sorors will receive an overview of criteria per our Constitution and Bylaws and Manual of Standard Procedures; will be informed of the process and procedures for nominations; will know where and how to access forms; and will be provided opportunities for questions and answers for this prestigious chapter privilege. BE IN THE KNOW! WK13: “Rituals: Let’s Do it Right – Do the Right Thing” Alpha Kappa Alpha Rituals ceremonies are the most revered, sacred, and solemn activities conducted by sorors in our illustrious Sorority. The ceremonies help us to create an awareness and connection to our Founders.. This workshop will provide an interactive presentation and review of the four most requested ceremonies allowing sorors in attendance to increase their knowledge of the ceremonies, ensure appropriateness of attire for each ceremony, understand the various roles of the ceremony participants, and complete the set-up of each ceremony confidently.

SATURDAY, APRIL 4 10:30AM TO 12:00AM WK14: Building Basics 201: Facilities Management Now that the property has been purchased, how is it maintained? As with any property purchase, preventative maintenance is crucial to property sustainability. This workshop is designed for chapters that own property or whose foundations own property. Topics to be covered include professional property management, preventative maintenance, and capital improvement plans.

WK15: “ASCEND to a New Dimension” This workshop is designed for program chairmen, ASCEND Lead Coaches and ASCEND program committee members. During this workshop, sorors will receive in depth information regarding the Supreme Basileus’ signature program, ASCEND. Goals, objectives and ASCEND cycle timelines will be reviewed in detail. Sorors’ understanding of ASCEND will be assessed by participating in a facilitated discussion of best practices for program implementation. WK16: Financial Workshop 101: “Managing Chapter Financial Operations using Financial Fundamentals” This workshop is designed for all chapter financial officers; and it will review financial fundamentals required for effective chapter financial operations. This interactive workshop will cover the responsibilities of the financial officers and how to be efficient in the planning, handling, and reporting of chapter's finances. Workshop includes information on budget development, auditing, and recommended internal controls.

REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK17: The Alpha Kappa Alpha Brand A brand is a concept, an ideal that people hold in their minds and in their hearts when they think about a product, individual, or organization. For Alpha Kappa Alpha, at its core, the brand is a promise of what the Sorority represents and what it means to those for whom we serve. This workshop will introduce Sorors to the information in the newly developed Alpha Kappa Alpha Brand Guidelines. o Educating sorors about what a brand is & how it is managed  Through interactive discussion, Sorors will learn how to appropriately use the key  elements of the Alpha Kappa Alpha brand in internal and external communication  (I.e. logos, colors, etc.)

WK18: Poised and Polished…Launching New Dimensions of Protocol II The role of the protocol team in the pre-planning of chapter, cluster, joint chapter events and regional conferences will be reviewed during this workshop. The duties and tasks before and during the events will be explored so that sorors gain the knowledge of appropriate notification to VSGs, dais seating, introductions, and appropriate amenities. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2014. WK19: “Just Like a Sista: Perception, Behavior, Self-Awareness” This workshop is designed to foster and support sisterly behavior at all levels of the organization. By engaging participants in interactive activities that focus on perception, behavior, and self-awareness, the design will illustrate how differing points of views can lead to conflict, but how an understanding of another's point of view can lead to gaining a better understanding of each other and build better relationships. Bring your smart phones and tablets to learn how your International Technology Committee is focused on helping sorors and chapters improve overall efficiency through innovative tools. Launch New Dimensions of Technology to further our sorority’s going green efforts. Attendees will experience a workshop full of technology tips that highlight how to better connect, organize, save time and save money. Chapters are invited to share best practices at this workshop.

REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK23: “Launching New Dimensions of Service—Keeping our Heritage Reel” Get up close and personal with History. This workshop will provide chapters with in-depth information on how to improve their Archive Collection, with tips for better retrieval and examination of our historical artifacts and digital archiving. Chapters will learn how to conduct oral history interviews, focusing on the rich legacy of Diamond/Golden Sorors and chapter charter members. A special highlight of the workshop will feature a "live" or "taped" interview with your region's Diamond Gems. WK24: Standards: Exceeding Expectations of Excellence (#E3 ) The perpetuity of Alpha Kappa Alpha Sorority, Incorporated® requires all chapters to grow and remain vibrant. This interactive workshop is designed to broaden the understanding of the standards process and expectations of every member for a stress-free chapter assessment and evaluation. WK25: Launching Your Chapter’s Strategic Plan: Why? When? How? Create your chapter’s strategic planning roadmap with a chapter mission, vision and goals for successful programs and activities. Develop your action plan and keep asking the questions where are we now and where do we want to go? Participants in this workshop will review the Alpha Kappa Alpha Sorority 2010-2020 Strategic Plan and use the sorority’s goals, objectives and priorities as the foundation for the chapter’s strategic plan. Every chapter is encouraged to have a representative participate in this workshop.

INDIVIDUAL REGISTRATION     

One online form for each soror, child, and guest attending the conference should be submitted. Only registered, financial sorors may participate in conference activities. Neither financial nor non-financial sorors may be guests of registered financial sorors at the conference. Registration materials and forms are available for download via the South Central Region website.

Registration may be paid with Visa, MasterCard, American Express, Discover credit cards or debit cards with the MasterCard or Visa logo. We will not accept mailed payments for individual registrations.  Registration confirmations will be sent via E-mail. Please provide an e-mail address where indicated.

 Once your registration has been submitted, very limited modifications will be allowed. Adding activities to your existing registration can be done before February 16, 2015.  We encourage you to take your time so that your registration is submitted as accurately as possible.

 Group/Chapter Registration will be available online. Payments can be made via credit card, debit card, Chapter Check, Cashier’s Check or Money Order. Group registrations are not considered CONFIRMED until payment is received and applied to the group registration record. Only the authorized chapter officer who remitted the Group Registration will receive the registration confirmation for the group.  All chapter checks, cashier checks and money orders should be made payable to: “Alpha Kappa Alpha South Central Region”

CHAPTER FORMS    

Governance-based Chapter forms cannot be processed online. Chapter forms are located in this Registration Booklet. All completed forms must be mailed to the appropriate parties by the noted deadlines. Registration confirmations will be sent via E-mail or US mail.

LATE REGISTRATION  Late registration will be assessed a late fee of $50.00 for sorors and $25.00 for guests.  Late fees apply to graduate and undergraduate members as well as guests.

    

Refund requests must be submitted in writing only to the Conference Pecunious Grammateus and postmarked by February 16, 2015. Requests postmarked after this date will be approved on an individual basis. Refunds will be considered and processed after the conference bills have been paid. A processing fee of $35 will be assessed and deducted from the refund amount. All refund requests should include your contact information, address to send refund, and documentation supporting your request as needed. If a refund has been requested through your credit card company, then please notify the Conference Pecunious Grammateus. There will be no refunds on meal functions after February 16, 2015. There will be no on-site refunds. All refunds will be issued via South Central Region check.

KITS, MERCHANDISE AND CERTIFICATES    

Kits will be reserved for pre-registered sorors. Kits are not guaranteed for late registrations. Conference merchandise will not be exchanged onsite. Conference attendance certificates will be emailed to sorors following the close of the conference. A registered soror unable to attend the conference may request the Chapter Basileus or Graduate Advisor (Undergraduate Chapter Only) to pick-up her registration packet. The following information will be required upon registration check-in:  A signed letter from the absent Soror, giving permission to release her packet  The Soror picking up the packet will be required to present her financial card and sign a confirmation letter.  Only the Chapter Basileus will be allowed to sign for an absent Soror’s packet if she does not send a letter. Registration materials and souvenirs will not be mailed.

SUBSTITUTE REGISTRATION  A soror may substitute for another soror by submitting a written request signed by the original soror, designating the name of the substitute soror and signed by the Chapter Basileus. This document must be presented to the Registration Committee Chairman or her Registration Committee Designee upon arrival at the conference.

 Substitution for a graduate delegate with a pre-approved alternate requires a written request from the Graduate Chapter Basileus or the Undergraduate Chapter Basileus and Graduate Advisor.

SEATING AT MEAL EVENTS  Golden Sorors and other special guests will have reserved seating at the front of the room for each meal function.  Seating at meal functions for other sorors and guests will be on a first-come, first-served basis, except for the Closing Gala which is based on time of registration.

OFFICIAL DELEGATE AND ALTERNATE INSTRUCTIONS List the names of your chapter delegates and alternates to the 83rd South Central Regional Conference on the Official Delegate Registration Form. The Chapter Basileus, prior to registration, must certify all delegates and alternates for the Conference. Any changes in the list of official delegates must be mailed to the Regional Director postmarked on or before Sunday, March 1, 2015, or submitted to the Conference Registration Chairman, Soror Betty Williams, by 12 Noon, Friday, April 3, 2015, during the conference.

In either case, the only person authorized to change delegates or alternates is the Chapter Basileus and the change must bear her signature. For undergraduate chapters, the Graduate Advisor is authorized to change delegates or alternates.

Please complete and mail the Official Delegate Registration Form to the Regional Director. This mail must be postmarked on or before Sunday, March 1, 2015. Any Official Delegate Registration Forms postmarked after this date will result in the delegates not being certified to vote at the Regional Conference. NO EXCEPTIONS.

UNDERGRADUATE/GRADUATE EAF AKAPOLLO TALENT SHOW General Information: All Chapters must be in good standing with the Sorority and financial at all levels to register to participate in the Step/Talent Show Competition. All members of the step team and individual participants must be registered participants of the conference and have paid their EAF dues for 2015. All participants must purchase an AKApollo ticket. Required Documents for Team/Individual Participants to Submit: 1. A completed and signed EAF AKApollo Talent Show registration form; and 2. Payment of a $25 non-refundable chapter registration fee for undergraduate participants and payment of $50 registration fee for graduate chapters. Please mail payment to Soror Delicia Narcisse, Regional Financial Secretary, at 828 Windy Meadow Drive, Desoto, Texas 75115-7535. The deadline for the application and payment must be postmarked by February 27, 2015. Authorization Rules: 1. If you are an Undergraduate Chapter, you must obtain approval from your Graduate Advisor and the Regional Director before you proceed with performing for AKApollo. 2. Graduate Chapters wishing to compete in the Stepping Category must meet the criteria as listed in Graduate Guidelines for Stepping, submit the Authorization To Step Request Form, and receive approval from the Regional Director before their participation is confirmed.

Performance Rules and Regulations: 1. Step team performances may not exceed 6 minutes. A one point deduction for every second over time will be taken. Performers will automatically be disqualified at 7 Minutes (time starts once movement or music begins, including skits or dancing). An official time keeper will be present. The 6 minutes does not include your set up and breakdown time. 2. Talent performances may not exceed 3 minutes. A one point deduction for every second over time will be taken. Performers will automatically be disqualified at 4 minutes (time starts once movement or music begins, including skits or dancing). An official time keeper will be present. The 3 minutes does not include your set up and breakdown time. 3. The Judges Coordinator will oversee the fairness of the competition between all participants. Judges will be WELL informed of the IMPORTANCE of their role, so NO MISTAKES are made.

They should be included in the group’s total participant number. CD’s will be checked with the DJ during your stage time. However, you are asked to keep your own CD until your performance. PLEASE BURN YOUR MUSIC ON A CD-R as well as on a USB. Please bring multiple copies of your music. The DJ is not responsible for music that is not properly recorded. 5. Only the number of members reported, will be admitted with the team. Groups/teams will be counted upon arrival and are strongly encouraged to arrive together. Show order will be predetermined. 6. The use of profanity, sexually explicit material or distasteful conduct will result in disqualification. 7. Organizational pride and respect for affiliate National Pan-Hellenic Council organizations must be exhibited. Any malicious intent or slander of another National Pan-Hellenic Council organization will result in immediate disqualification. 8. Pyrotechnics or any types of special effects that are a fire hazard or weapons are prohibited. Special equipment needs should be e-mailed to Soror Brigid Roberson at eafakapollo@akasouthcentral.org no later than Feb 27, 2015. No tickets will be sold after registration.
