Convention Overview
ALPFA is excited to host our 51st Annual Convention in San Antonio, Texas at the Henry B. González Convention Center and Grand Hyatt San Antonio Riverwalk. We have completely reserved the adjoining properties for 4 days of Professional Development, Career Fair, Student Mentoring, Awards, Receptions and in-person Networking!
This convention will be the embodiment of the positive changes that are happening within ALPFA and beyond - globally. We want this convention to showcase the importance of standing in the power of our history and culture. San Antonio is known as a Real & True City, in the same spirit we have decided our theme this year is, “Real Power. True Culture”.

Adding Your Team to Your Virtual Booth
Once your team is registered to attend the Convention, you can add them to your Virtual Booth to be seen as a company representative in your virtual booth. Each Virtual Booth Staff can also check in to make themselves self-available to chat with attendees.
Any admin can Add Registered team members to your virtual booth via the “Team” Tab. Once you select a team member (by searching via registered email or confirmation #) and “Import Selected,” they will be visible to attendees in the Attendee Hub.

Career Fair

Please refer to your partnership agreement to confirm the size of your booth. Our Career Fair will be open Tuesday, August 22 from 9:30AM - 5:00PM and Wednesday, August 23 from 9:30AM - 5:00PM. The Career Fair will take place in HALL 3 of the Henry B. Gonzalez Convention Center.
We are working with Freeman for the event buildout. Freeman will make its online ordering system available to each company, enabling partners to preorder any equipment or services they may require to properly display within their booth area and to make shipping arrangements. A digital link with userspecific log-in and password information to the Exhibitor Kit will be emailed to all partners when requested by Show Management.

Physical Presence
Partners are encouraged to represent this year's theme through their booth and show the Real Power & True Culture of your company through the design and activities hosted in their booth.
Booths that are creative, welcoming and host unique offerings and activities receive the most engagement throughout convention. We welcome you to host giveaways, competitions, video, photo stations and popup activities at your booth.
We look forward to seeing all the unique booth designs this year and ask that all partners are mindful and do their best to avoid obstructing the view of other booths when designing the booth experience.

Digital Presence
Partners are required to update their organization profiles via the Cvent Exhibitor Portal. You may also list direct links to open roles on this profile for attendees to access. Please note: this profile will be visible in the attendee hub and convention app. The organization profile is your virtual career booth so please be sure to add informative, engaging and relevant links and assets there!
Swag Bags
UPDATE: Partners are being encouraged to include all swag giveaway items at their booth. ALPFA Bags will be available at the ALPFA Booth and attendees will be encouraged to visit exhibitor booths to receive swag items.
Partners are encouraged to ship items to Freeman using the shipping labels included in your exhibitor portal and in the appendix. Swag bag items should be meaningful and useful items and/or postcards that encourage attendees to engage with your team at career fair or vouchers that allow them to pick up special items from your team throughout the convention.
Appointments
Partners who have purchased interview spaces and/or interview rooms will need to designate a main point of contact who will be responsible for managing all appointments (interviews) for the organization in their exhibitor portal.
This individual will receive instructions a month from the event date and be given access to our appointments feature via the cvent platform that will allow them to set-up appointments with potential candidates during the designated times and locations for each partner.

Career Fair Activations allow partners to host a pop-up activity inside of the career fair in our designated booth area. Whether you want to do an interactive branded takeaway, a headshot station, a pop-up podcast recording studio, get creative!
Workshops
One of the best ways to connect to our professional convention attendees is by showing off your expertise in a professional workshop aimed at developing our professionals’ essential and technical skills. Choose from a variety of workshop topics and development tracks (including Women of ALPFA, Veterans and LGBTQ+) or suggest your own and present toan audience of up to 100 participants.
Information Session
Information sessions are one hour long and are intended to be used as an opportunity to connect with attendees prior to the grand opening of the Career Fair. Partners may choose to use this opportunity to network, host a panel, pass out materials or facilitate group conversations. Think of this as an open Office Hour for all interested attendees.

Local Tours/Excursions
Hosting a local tour and excursion is a great way to interact organically with attendees by inviting them to participate in a local excursion or to tour your facility. We will promote and market the tours on behalf of partners and include details on our website.
Lounge Takeovers
Lounge takeovers provide partners with both an amazing branding opportunity and networking opportunity with convention attendees. Lounges are located in prime locations and partners can expect plenty of organic traffic.

To ensure that our corporate partners are providing us with high-quality assets that help us promote their brand and align with the goals of the Convention, we have created guidelines that partners should follow when sending assets:
01. PROVIDE HIGH-RESOLUTION IMAGES: Corporate partners should provide high-quality images in a minimum resolution of 300 DPI, which will allow us to use them in various formats such as print, digital, and social media.
02. SUBMIT AND INCLUDE THE APPROPRIATE AND APPROVED BRANDING: Ensure that all assets provided are on-brand and include the correct logo, color scheme, and any other elements specific to the company. Changes will not be possible after submission.
03. MEET DEADLINES: The deadline for all of the assets is June 1, 2023. Please submit assets well in advance of the deadline to ensure that we have enough time to review and approve them.
Please upload all of your assets through the form Again, the deadline for all marketing assets is June 1, 2023 . Extensions will not be granted . Failure to submit by deadline can impact onsite hotel and convention production . Please make sure that assets are in its approved and final format .

Q: When is the Convention?

Q: Where is the Convention being held this year?
A: San Antonio, Texas
Q: Where is the Convention venue?
A: Henry B. Gonzalez Convention Center is the Convention venue. We will hold most major programs at the convention center and host some events at the Grand Hyatt.
Q: What does a ticket to the Convention cost?
A: Please see pricing here. Early Bird pricing ends on April 30, 2023.
Q: What events are optional tickets not included in the regular admission tickets?
A: The Convention Gala is an additional $150, and The Women of ALPFA Luncheon is an additional $150.
Q: What Hotels will be associated with the Convention?
A: Our hotels (until Sunday, July 30th) are:
Grand Hyatt - $199/night (Connected to the Convention Center)
Hyatt Regency - $199/night
Marriott Riverwalk - $199/night

A: The Convention will be 100% in-person.
Q: What is the refund policy?
A: Registrants can receive an 85% refund until 8/19/2023. After 8/19/2023, we will not issue any refunds.
Q: Do we have a quick access agenda?
A: You can view the high-level agenda here. We will have the latest updates to the schedule in the convention Attendee Hub and the Mobile App.
Q: What is the refund policy?
A: We want to remind our registrants that our refund policy returns 85% of the original purchase price and is only available until August 1st, 2023. After this date, we will not be able to process any refund requests. We encourage our registrants to review this policy before making a purchase. We appreciate your understanding and cooperation in this matter.
