EVENT PLANNING STUDENT WORKSHEET What to Consider When Planning an Event 1. What are you trying to accomplish with this event? a. Ex. Raise awareness about water conservation/Raise money 2. What are your goals for the event? a. Ex. Raise X amount of dollars/Have X amount of attendance b. How will you measure this? 3. What resources do you have available to you? a. Which of these resources would be valuable to you? 4. Who is your target audience? a. What will entice them to come to your event? b. Ex. Students with little knowledge of your topic may want simplistic facts 5. What is the location and date of your event? 6. What will be the main components of your event? a. Brainstorm b. Narrow down to what is possible and what works best with your objective and audience c. Don’t limit yourself to what is easiest 7. What steps will need to be taken to produce these components? a. Making a list of steps in chronological order for each component may help b. Include materials needed to produce each one 8. How will the event space look with these components? a. Do you need seating, tables, decor 9. Assign people to be responsible for each of these things. a. Who is best suited for each/Who has the resources b. Make a list of who is responsible for what to turn in 10. How long do you have to accomplish these things? 11. Create an event timeline a. Ex. What will be “due” for the next weeks b. When should everything be completed 12. How will you advertise your event? a. Should there be a separate group of people solely responsible for this? b. Facebook, twitter, flyers, donation request letter etc. 13. Contact anyone you may need assistance from. a. Ex. Film student, photography student, fashion student, local businesses, etc. 14. Do you need a staff for the event? a. Ex. Someone to run auction, someone to collect money, someone to run table? 15. Will there be an agenda for the event? a. Ex. One component may be a presentation that only happens in certain time intervals 16. Report to each other often in case of problems you may (and will most likely) run into.
