BACKGROUND
A
MSEP (Asian medical Students’
Exchange Program) is one of AMSA’s programs which established since 2003 as the only one exchange program between students of AMSA. The first AMSEP was formed between Indonesia and Japan in November 2006 and January 2007. As the only one exchange program in AMSA, A s i a n M e d i c a l St u d e n t s ’ E xc h a n g e Program (AMSEP) gives an opportunity for all AMSA members, preclinical or clinical. The program varies according to the host country and University that will organize the schedule. All participating students will have a very complete package in AMSEP, they will have an experience to learn about health system in another country, medical education, the culture, and they will also have an opportunity to make memories with local people through Social Activity. Every year, the number of people join AMSEP is growing. AMSEP International always has a new member every year. Now, chapters that are involved in AMSEP include: Indonesia, Malaysia, Singapore, Australia, India, Philippine, Japan, Taiwan, Hong Kong, Thailand, Egypt and UK. And for the first time, China and Pakistan will join as AMSEP chapters this year. AMSA International also successfully makes an exchange with EMSA (Europe Medical Students Association) that called EuropeAsian Medical Students’ Exchange. And fortunately, the 2nd EAMSEP was held between Indonesia and Croatia.

AMSEP International keeps growing. So does with AMSAIndonesia. The number of hosting universities in AMSA-Indonesia also keeps growing. That’s why to maintain our quality, we will need some standardization and guidebook. AMSEP is the only exchange p r o g r a m t h a t c a n f u l fi l l a l l philosophies of AMSA which is Knowledge, Action, and Friendship. That’s why AMSEP always need to be developed.

2. Making The Proposal Proposal form template will be given by the director of AMSEP.
3. Preparing The Program a.
Permission from the university, it is important to get the permission from the university before hosting AMSEP. It will be helpful to arrange academic programs and to get monetary support, etc.

You will get money with the minimum total of Rp. 2.000.000 x total of delegates or 300 USD x total of delegates from AMSAIndonesia in the time of the inbound. So if the inbound will be earlier than outbound, you have to prepare money with the minimum of Rp. 2.000.000 x total of delegates or 300 USD x total of delegates. You can do fundraising for extra money.
If you want to make an extraordinary program, the remaining money (from AMSA-Indonesia) in the end of the program, should be saved and will be used for the next hosting will be done by your university.

c. Committee The committee is recommended to be consisting of: Project oďŹƒcer Program division, this division will arrange the program and make sure the program goes as it is planned. Arranging permission for academic sessions, preparing for social session, booking the ticket for tourism sites, etc. Transportation division, this division will prepare the transportation for the delegates Accommodation division, this division will prepare the accommodation, food and other needs of the delegates. Publication and documentation division : this division will prepare the welcoming video, farewell video, poster, also making Facebook group for the delegates and the committee, publicize AMSEP to AMSAIndonesia , and documenting AMSEP during the program. Also make the video report.

The standard program is 7 days long (please kindly check AMSEP Host Standardization), includes: Welcoming Party AMSA session, should include a presentation about overview of Indonesia Medical School system and AMSA-Indonesia (the slide will be given by the Director of AMSEP) Academic Social act, it is highly recommended to arrange the social program using AMSA Indonesia Community Outreach's theme Cultural session Free Time Farewell Party

Accommodation, the accommodation for the program can be any place such as: committee’s house, dormitory, hotel, apartment, etc. The place should be comfortable, clean, and the room should be air-conditioned (except if the area is cool enough).

7. Ready for presentations about hosted in one of National Events -

The university that hosted latest AMSEP must do a presentation in upcoming national event (National action event, or IMSTC, or NLT) The university that hosted latest AMSEP must send the presentation file to Director of AMSEP at least D+21, and Director of AMSEP will upload the presentation to mailing list AMSA-Indonesia. The Post AMSEP Presentation in University is an optional.
The presentation must include number of delegates, name of delegates, origin of delegates, date of AMSEP, overview of the program, and evaluation.
