INTRODUCTION

Information design is a practice to present the information effectively and efficiently for the users. In some context, it also helps to facilitate communication and empower the identity. Recently, there are many voices towards the Hong Kong society and government. In certain extent, upon the contribution of design field, the information design perhaps is a tool to empower the government and facilitate the communication between the people and government. In this project, we are going to design an information graphics system and a design manual of a Hong Kong governmental department to handle the typical tasks and guide the users. We chose Leisure and Cultural Services Department as the target department, and focus on Hong Kong Public Libraries and Hong Kong Public Museum and we are going to design information graphics system of the event calendar as it is inconsistent and difficult to read. The objective of the report is to record the design and thinking process for three event calendar design. In the report, detailed discriptions of prototypes and user tests would be shown.

BACKGROUND

We would like to use Leisure and Cultural Service Department as our target departmeny because it is the one that we are the most familiar with and in contact with. We started the research based on the existing publication og its branches. Surprisingly we found that Hong Kong Public Libraries is the department which has the greatest problem on brand recognition and consistency that even most of the people did not know it has a green logo. Thus, we desire to change and help maintain the brand identity. We used it as a starting point. With the over and over research, we finally decided to focus on the event calendar because it handles a lot of information and is able to apply on a system as there are other departments doing the similar things.

In order to gather more data and inspiration, we collected 4 local examples and 10 foreign examples among Asia, Europe and even America. OVERALL FINDINGS Findings After doing the SWOT, we found some of the existing problems of the event calendar of HKPL. Here are the three major design directions that we summed up.

1. Enhance the legibility and readability Event calendar is the communication between the department and the people. It is important to consider how the people read it. As what we found, there is a huge problem on the arrangement of the information. There is also lacking the sense on the typographic arrangements and layouts, such as the use of space, tracking, row spacing and font size, to maintian the reading hierarchy. Hence, hindering the usersâ&#x20AC;&#x2122; readability and legibility, in addition to affecting the overall presentation. Thus, in order to enhance the communication, it is necessary to maintain a better legibility and readability of the design.

2. Strengthen the corperate identity Hong Kong Public Library is somehow a big govermental department. However, as what we found, the brand identity is not as obvious as other govermental departments. Even though there is a logo for HKPL and the color scheme is blue and green, we did not find them applying in all HKPL publications. Therefore, in order to maintain a better brand identity and reputation, it is necessary to strengthen the corperate identity by the consistency of the designs.

3. Enhance the visual impact Most of the people focus on the apperance of the design at the first sight. In the existing HKPL event calendar, we found that there is lack of visual elements. There are a lot of texts compressing on a single page without any images or graphical elements. The black and white printing also makes the layout boring. In order to gain competitiveness among the other leaflets and grab peopleâ&#x20AC;&#x2122;s attention, it is necessary to consider more on the visual impact of the design, such as the color.

4. Elements that we concern Based on the SWOT and content analysis, we came up with a general list of elements that we would concern in our future design, under the area of design, typographic treatment and content information.

Context We would like to clarify that we are working on the designs of the event calendar based on the context of Hong Kong environment. Since we are on behalf of Leisure and Cultural Service Department under Hong Kong Government, we keep no changes to the original language background and original depart-

Findings Through the sorting test, we have found that most of the users preferred portable size for leaflet, because it can easily clip/put inside the folders or even books. Moreover, some of the users will concern about the size of leaflet will fit their pocket or not. In this case, users may fold the large leaflet if the size are too big. 1. Event name and Date are mostly prioritised when reading a event schedule Through the card-sorting test, we have found that selected user are usually struggle about the priority date of the event, and the event name. The reason is some readers will check the date of availability first when they choose the events, whereas a bit more people would concern about the interest of the events. 2. Smaller size are more usable, attractive for event calendar Concerning the size of the leaflet, most participants prefer a portable size, such as 125x180 or 90x220 mm. The test participants think that leaflets which attract them to take, should be easy to put it inside their pockets which distorting or creasing. Larger size like a trifold of A3 are too big. According to the feedback of participants, the y said that the trifold of A3 is easy to crease and difficult for storing.

Evaluation 1. Event name and date need to be prioritised Through the finding of this user test, we decided to emphasize the event name and the date of the event. The reasons are obviously reference the reading preferences of the test participants. Besides, the unnecessary/unimportant data,such as remarks, are decided to minimize in the lower or unapparent positions. 2. Portable size and thicker paper As the participants mentioned some interesting points, for example, they would put the leaflet in the middle of the book, or the will put it in their pocket. Therefore, in term of the usersâ&#x20AC;&#x2122; habits on receiving a leaflet, we should design a portable size for user, instead of make the leaflet stand out. Moreover,concerning the storage problem, the thickness of paper should be concerned.

EVENT ITEMS LAYOUT Based on the results, we developed some layout for the event items showed on an event schedule. We shared our design and discussed together. We first eliminated the choices and had further development on the choosen layout for the user test afterwards.

Result summary Design Combination 6 and 4 will be eliminated as they get the highest marks.

Findings 1. The reading flow should be created by designer, lack of focusing point will affect the reading hierarchy of users The contrast of the information enhance the effectiveness of reading. 2. The exaggeration of date are only benefits to its layout, but not functional at all The date and the number are very confusing, although it offer reader a new and creative way for reader to read the data. However, the test participants claims that date should not seize the attention of the event name. 3. The column should be too short, it will affect the readability or its appearances The squeezed paragraph will reduce the effectiveness of reading the information, weird sentences breaking are applied owing to our ignorance and carelessness managing text.

Evaluation 1. Controlling the reading flow of user by emphasis some important data By reviewing the comment of the participants, we found that we should not emphasis the date. The reason of diminish the importance of data is Event name are more important for an event calendar. The event name is the largest inducement of user to attend the event, therefore, we have to adjust the typographic treatment of the event items, such as bold the event name and generalized the date etc. 2. The arrangement of date have to be reconsider When the events hold in different dates, it is easy to confuse user, for example, when 02 09 16 are combined in the same sentences, it will give a wrong interpretation for user. Therefore, for design 2 and 4 , We have to design a new way to solve the troublesome caused by this treatment.

Findings 1. Months should be included to improve the communication on date column As we are designing a system for event calendar for Leisure Department, some of the event may cover more than a months, therefore, it is important to add the months in the data. Moreover, reader would confused about what the numbers mean even the header of the leaflet are indicating “ October Events”. 2. Event name should be more exaggeratted than the date According to user test one, event name is the most important data which readers read first. Date are important as well, therefore, the design of the single combination should be create a reading hirerchy, i.e, from event name, date,time etc. In our four selected design, few of them, like Design 4,3, there are lack of focusing point to motivate the reader’s reading hiereachy. 3. Font size need to be adjusted to fit the elderly’s eyes Some of the test participants claim that the font size is too small for reading, especially the aged people. Besides, in term of the font size, we should design appropriate variation in purpose. 4. Normal layout are much more functional owing to the users’ habits In term of the layouts, although Design 1 and 4 are functional in most of the participants’ eyes, but some of them are striking for something special and creative in the layout.

FOLDING Design 1 This is the most basic and common Z- folding of the pamphlet.

Design 2 This is the folding based on the Z-folding. The only difference is that there are categories shown in the cover page.

Report

Design 3 This is the prototype further developed from Design 1 and 2. The difference is that the categories are hidden inside the pamphlet.

Result Concerning the printing and layout of event items, we would prefer Design 1 as the final of our folding. After the informal survey, we found that most people prefer the most common one because of their reading habit. Thus, concerning Hong Kong as the cultural context, we would like to keep the most common folding while varing the content to make it outstanding and attractive. It would be better to fit the preference of the user groups.

Prototype

OVERALL LAYOUT Based on the results, we fitted the event item design (1 and 4) into the overall layout and different foldings. We also keep updating the design together with the comments from tutor and groupmates in order to have a better outcome.

BRAND COLOUR SCHEME Throughout the analysis and research, we found that there are no corporate colours of the departments. The original colour scheme generated from the existing publications are not very attractive at all. In order to explore more possibilities on colours, we brainstormed and generated the new potential colour schemes of the departments by our personal experience, perceptions and ideas from the online websites. After the generation and brainstorming, we selected the more favourable colours for the future user tests.

Stage 1 Since we do not have the limitation on choosing the number of colour blocks, there are a huge and complicated result generated from the participants. To facilitate the efficiency of analysing the useful result, we only picked up the highest rate of the colour blocks from 3 different departments respectively.

Stage 2 To avoid misleading and narrow down the colour range, we try to avoid the use of the colour blocks which overlap between departments. We focus on the colours which only appear once in a specific department.

Stage 3 After generating the new colour blocks, we further developed it to build up a new colour scheme of each departments

Findings 1. The colour perceptions of people are more or less similar Before going to the user test, we had generated a series of colour blocks based on our perceptions towards the departments. Most people can relate the colour blocks correctly from the original departments. It showed that people are having the similar perceptions towards the images of departments. For instance, for HKSM, they can easily refer to the dark purple and dark blue of space. For HKMH, they can easily refer to the vintage colour like brown and grey. However, for HKPL, they are hard to find a colour to represent because they think the image is not strong enough.

Evaluation 1. Modifying the colour palette Since the colour we selected may not good for CMYK printing, there is a chromatic aberration when printing out. It may mislead audience the wrong impression.

Stage 1 Overall rating To calculate the performance of all the cover prototypes, we use scores to represent the ranking, i.e. rank 1 = 5 scores, rank 2 = 4 scores ... rank 5 = 1 scores. By combing all the results, we found that cover 4 is the best. Design Score 1

Report

Findings 1. The majority prefers big colour contrast and clear layout As shown in the result, we found that the majority prefers Cover Design 1 because they think that the layout and the month display are more clean and clear. Since the prototypes we displayed are in black and white, the colour actually did not affect the visual impact but the contrast. So, we do think that the contrast affects their visual impact and a big colour contrast in the cover is necessary to be concerned. 2. A high recognition of the microphone As shown in the result, we found that the majority thinks that the second icon is better for presenting the guest-speaker. Most of them mentioned that it was because the second one is in the most typical and common microphone shape. Although the first one is more like the microphone placed on the stage, people were not very familiar with it as it was too specific. Thus, we finally prefer the one with more people can recognize it.

Evaluation 1. Placing the icon on an actual size Sometimes, we have to be aware that when we are testing the small icons, we have to place it on the actual size because as shown in the prototype page, there is a big difference in showing the icons in different scale. As we can see, when we reduce the icon, some significate features may be ignored. Thus, it is necessary for us to place the icon on an actual size to ensure that the users are not misled.

Findings 1. Higher performance of the new design In terms of the overall layout, the information organisation and the aesthetic value, it is obvious that the new one is much better than the old one as shown from the comparison of the average rate. The average rate of each item is almost double than before. It shows the effectiveness and improvement of the new design 2. Shorten the searching time of an event Before doing the test, we supposed that the minimum time of searching an event in the old one is much longer than the new one. Yet, as shown in the results, we found the surprising fact that the minimum time of both design are the same and only the range of searching time is shorter. The reason probably leading to this result is that the required event item is placed in the middle on the old design while that is placed in the back side of the new design. This makes the comparison unfair. Anyway, the shorten range also proves the improvement of the new design because the colour coding and categorisation guide the way of people searching things.

Evaluation 1. Making a fair comparison We should do a pre-test among the group before working on the real user test because we may discover some minor mistakes during the process. To ensure a fair comparison and a quality test, a pre-test is necessary. 2. Quantative survey is needed To investigate and compare the effectiveness, it is necessary to conduct the survey in a larger scale within a larger group of people. Yet, since the tight time schedule, we are unable to interview a lot of people. The lacking of interviewees means the lacking of data, in addition to the lack of supporting result, which makes the overall result inconvincing.
