How the Board functions

A maximum of 12 members, elected for one year.
• • •
Monthly meetings (6PM to 9PM). A large volume of Board-related e-mails. Consensus is the preferred method for all decisions, with voting being used as a second option.
School Council and Establishment Council Elections
• •
We will register all candidacies tonight.
• •
Elections will be held on October 14.
We will finalize the APE election list (11 delegates and 11 alternates) and send it to the LFAY management on Monday October 3. Parents elected to the Establishment Council will then nominate representatives to the « Conseil du 2ème degré”.
How the councils function

3 to 4 meetings per year (6PM to 8PM). Work carried out on files before each meeting. Consultations and joint work with the APE Board.
Suggested activities for the 20112012 school year School Bus • The main task of the APE. • Its mandate: • Pick up students at various designated bus stops (no door-to-door service offered) in the morning and take them to the Lycée safely and in a timely manner. • Return the students to the bus stops on one of two afternoon return trips (leaving the Lycée at 2:50PM and 4:30PM); a third return operates on Wednesdays, leaving the Lycée at 12:50PM. • Existing resources • 24 buses carrying 440 students every day. • 24 bus monitors, each speaking some French or English, who ensure that all students are aboard the proper bus and that safety rules are followed. • A smoothly-operating system, using since September an ID card system for kindergarten students as well as a bus numbering system in the schoolyard where students gather. • The very professional assistant of the APE Board, Mrs. Van, manages all school bus issues and any emergencies on a daily basis, while liaising with the bus provider’s coordinator (the Duc Huy company).
• The role of parents and students • Follow all school bus rules and directions from the bus monitors • Warn the APE Board assistant whenever : • Your child will not take the bus (whether sickness or pickup by a parent at school) • You expect to be late picking up your child at the bus stop • Your child is to be picked up at the bus stop by somebody else than usual Please make sure to program Mrs. Van’s number (and that of your school bus monitor) into your cell phone ! Please be on time at the bus stop both in the morning and in the afternoon. If you are late: • In the morning : buses do not wait for children • In the afternoon : children who have nobody waiting for them at their bus stop are taken back to the Lycée, where their parents will have to pick them up. However, children not picked up on the 4:30PM return trip will have to stay with their bus monitor in the bus parking lot until parents pick them up (the bus parking lot address will be given shortly).

The relocation of the LFAY The role of the APE 1- Represent the interests of parents in the relocation process 2- Keep the parents informed of major changes in the file 3- Offer support as needed to the LycĂŠe, the French Embassy and the AEFE (human resources, corporate memory, network of contacts, etc..) Evolution of the file in 2010-2011 1- Harmonious relations and improved collaboration between the APE, the LycĂŠe and the French Embassy 2- Since the first trimester of 2011, a greater mobilisation by all stakeholders: new site proposals, consultations and debates 3- The Vihajico (EcoPark) proposal has progressed faster than other potential sites 4- 45% of votes at the April 2011 consultations were in favor of the EcoPark site, vs. 24% and 11% for the other two sites. Over 85% of voting parents do not wish to wait for further site proposals.
The current situation 1- Three proposals are still considered, although they are at very different stages of completion: Dai Mo, EcoPark and Long Bien 2- Recurring challenges in exchanging with the Hanoi Peoples’ Committee and in making it move on those sites it is responsible for 3- Looming deadlines: October 31, 2011 (confirmation to Vihajico) and August 31, 2012 (end of the LFAY lease at its current location) 4- A tight and relatively expensive real estate market in Hanoi Next steps 1- Discussions with the Hanoi Peoples’ Committee and Vihajico will continue simultaneously (a contract with Vihajico is being drafted) 2- The October 31 deadline will demand some important choices 3- Once a site is chosen, the tender and construction process led by the AEFE will start (minimal duration of 3 years) 4- We will need to manage a move to a temporary Lycée site and/or a permanent one
School cafeteria

The next cafeteria tender will take place in the first semester of 2012.
•
The next tender document will need to be stricter than the last one, namely with regards to nutrition, kitchen hygiene, traceability of ingredients and inspections.
•
We need experienced parents to help with the drafting of the tender documents.
English-language education
•
In recent years the LFAY has developed various structures for English education (bilingual classes, the EMILE system, etc..)
•
LFAY management will evaluate this system during this school year.
•
A small group of parents will be needed to join in this evaluation process alongside the reviewer, Lycée management, teachers and students.
•
Should we hold a debate on education in other languages ?
