BETTER BUYING POWER FOR SCHOOLS Term 4, 2021 | Spring Issue

ASCA Keeping in Touch As we move into Term 4 it has again been a difficult year for schools, particularly with the lengthy lockdowns in NSW and Victoria. In a normal year ASCA would meet representatives from about half of our 6000 member schools, usually at the events we support run by the Business Manager and Principals Professional Associations. While we have still been able to do this in Queensland, South Australia and Western Australia, it has been much more difficult in the other states due to event cancellations and border controls. There has been much to talk to you about, so you will have noticed an increased amount of electronic communication from us. In addition to this Smart Schools Newsletter sent to you each term, we send out monthly shorter electronic newsletters and EDMs noting new information and offers from ASCA’s school supplier partners. We also encourage you to attend some of the webinars we arrange with suppliers that offer a greater opportunity for you to hear more about new products and services for schools.

We are aware that your time is precious in your schools, but we do encourage you to spend a little time checking our newsletters for items that may be relevant for you. For example, in our previous Smart Schools Newsletter two ASCA suppliers, Honeywell and Mamachi, highlighted their services focusing on air quality in schools. This pre-empted recent Australian Government announcements concerning the prioritisation of improving air quality in schools. You may also have seen in our newsletters in the last year that Officeworks and Bunnings are now supplier partners of ASCA. Most schools buy from these important school suppliers, but not all schools get the best deal. Make certain you do by ensuring Officeworks and Bunnings are aware that your school is a member of ASCA. We are always interested in hearing from you about matters that you think ASCA should prioritise. David Edwards - ASCA CEO

MAINTAINING CUSTOMER SERVICE IN COVID TIMES By Learning With Technologies

Learning With Technologies (LWT) is one of Australia’s largest IT providers, providing solutions for more than 3,000 schools across Australia as well as a number of Universities and Local Government Councils. Covid and associated product shortages have caused massive problems with international supply chains. They have required major planning and stocking decisions to ensure that LWT maintains its customer service and meets customers’ delivery timelines, particularly around Term 4 and Early 2022 where schools across Australia do 30-40% of their annual purchasing. With 4-6 months delay in the supply of most notebooks and chromebooks, it is not an easy task. SOME BACKGROUND ON LWT At little background on LWT: •

Locally owned Australian business with revenue of $90 million plus per year.

We ship over 80,000 notebooks and desktops each year

Our mission is to build long term relationships with our customers by removing the headache out of the IT procurement process and ongoing fleet management, and to do this by providing quality products, services and solutions that exceed the expectations of our customers. We look to provide our customers with a one stop shop for their IT purchasing and BYOD solutions Regarding BYOD, LWT has active BYOD portals with over 300 schools spread across Australia. Over the past few years we have shipped 49,000 notebooks and chromebooks to parents and schools with and average ship time of 3 days.

to Schools, Universities and Councils and manage the warranty on a fleet of over 200,000 units. •

We were Lenovo’s Education Partner of the Year in 2018 and 2019 and also have strong relationships with Acer and HP.

We hold large volumes of stock locally to ensure quicker turnarounds. We store up to 20,000 machines locally or with our partners. and work with our customers to ensure required goods are in the country ready for deployment as required

We do all configuration services such as imaging and asset tagging in our own Victorian configuration center to ensure quality control

We are Lenovo’s largest education and 5 star service partner in Victoria and have 16 LWT technicians in Victoria providing warranty support for Lenovo hardware. Using our own technicians allows us to guarantee repair times. We also service Acer and HP fleets.

ISO 9001 Quality Certified, ISO 14001 Environmental Management and ISO 4801 OHS Certified

With BYOD, LWT will set up you up with a portal with your own dedicated web address, provide Online Tracking and Reporting of all your portal orders, payments and service jobs. LWT will also offer Pre-Imaging, Enrolment and Labelling of devices to ensure they are ready to use out of the box, and provide Onsite Service Support through our own technicians and where that is not possible our service team will arrange for you through our partners. We attend Complimentary Parent Nights wherever possible. LWT holds over 20,000 BYOD units locally to ensure quick delivery to you, and provides $100 Deposit and Payment Plans, which enable parents to pay much closer to the delivery date, and also provides important Accident Insurance for families. Through its website LWT offers its customers online access to purchasing in excess of 80,000 products where pricing is always displayed. Customers can generate a quote online to assist with purchasing decisions, can order online and can track online a full history of quotes, orders, shipments and warranties. As well as notebooks and chromebooks, LWT is a major supplier of AV equipment, Interactive Panels, Laptop Bags and Cases, Peripherals, Printers, STEM, Storage and Servers to schools and businesses across Australia.

ASCA Smart Schools Newsletter

2021 - A YEAR OF SUPPLY CHALLENGES FOR GOOD CUSTOMER SERVICE In the first half of 2021 it became apparent that all major suppliers of IT equipment were looking at 4- 6 month supply timelines on most of their models, brought about by Covid and associated , chip, panel and other component shortages. In addition, for whatever supply was available, Australia was way down the priority list, unable to compete with the huge volumes on order in countries like Japan and the United States. Given this we set our Sales staff the challenge of trying to firm up End of Year intentions by Mid Year The picture was clearly painted that intentions this year had to be known 3-4 months earlier than usual due to the massive supply chain problems to be overcome. Our customers were terrific in moving early to identify their End of Year requirements and by around mid-year we knew we required: •

Approximately 40,000 notebooks and chromebooks across a wide variety of models for School, Universities and Councils; and

Approxinately 12,000 notebooks and chromebooks across a wide variety of models for BYOD

Our customers were encouraged to forward order, advised they would not be invoiced unti after delivery, and also given the opportunity to adjust their orders up or down as their circumstances required. As expected large volumes of the stock ordered do indeed have 4-6 months timelines, but the expected delivery dates for most of our customers are looking good due to the steps taking by LWT to order in very early the extremely large quantities of stock to meet the needs of our customers Once received much of this equipment will be swiftly put through our Deployment Centre for services such as Imaging or PreRegistration, Asset tagging, Tekskin Application, Student Name Labelling and Placement in Bags Without LWT making these $35 million of forward purchases, many schools would be facing 2022 without computers for their students at the start of Term 1 2022 Instead of Covid making 2021 very problematic for our customers, things are now looking good.

To ensure supply to our customers LWT took the unprecedented step of forwarding ordering $35 million in stock to arrive over the 6 months leading up to December 2021.

National Science Week at Camp Australia From the 16th – 20th August, every Camp Australia OSHC service celebrated National Science Week with this year’s theme of Food: Different by Design. Our team designed the perfect program to delight our children and engage them with exciting food science experiments and experiences. To celebrate the food themed National Science Week, we gave our future scientists and chefs the chance to be featured in our recipe book, The Experimental Cookbook! At Camp Australia, everything we do is focussed on guiding children’s growth. COVID-19 restrictions have affected children’s eating habits, so we encouraged curiosity in the kitchen and educated children about how healthy diets lead to healthy development and that nourishing our body creates a healthy mind. CASHLESS SOLUTIONS FOR SCHOOLS HERE TO STAY

by My School Connect

The shift towards digital payments is a trend that is here to stay. The proliferation of mobile and electronic devices, as well as the preference for digital options, is driving Those with the technological ability to take advantage of cashless solutions have most likely found it to be very convenient – payments can be processed instantly, at a time that suits them, and often from the comfort of their own home. The onset of the COVID-19 pandemic saw a rapid transition towards digital, especially for payments, as people needed solutions for online shopping and contactless deliveries. With a focus on hygiene and minimal handling of cash, anyone who had not yet adopted online payment solutions have been forced to embrace it over the past 18 months. While the concept of a cashless society was evident long before the pandemic hit, there is now an urgency for schools to transition to cashless solutions – to stay at the forefront of innovation and to meet the evolving needs of parents and students.

The cashless app allows schools to reduce the time, effort and expenses required to collect and chase payments from parents and students. Payments can be made online and school staff can request and record payments more efficiently. Pre-ordering and cashless catering can also help kitchen staff be more prepared for lunch orders by running a smoother operation and eliminating the need to count cash at the end of the day. My School Connect can also better prepare volunteers with scheduling and managing school events. Schools have also embraced online ordering as it minimises person-to-person contact at the canteen and uniform shop. Lunches can be delivered to classrooms ahead of time and uniforms can be sent home with the student or delivered via post, offering added convenience. Easy access for parents and operators

This is where My School Connect comes in. The online payment system, available via an easy-to-use app, offers schools, parents, and students an easy way to transition to a cashless solution for a range of payments. The benefits of a cashless payment platform Cashless platforms make accepting payments for everything from school lunches to raffles and events simple and seamless. Here are a few of the benefits of using My School Connect, a cashless payment platform for your school:

For parents, a cashless payment option allows students to order lunch beforehand and pay up-front, eliminating those last-minute requests for lunch money before school drop-off. It also provides parents with direct notifications when money needs to be paid, as well as an easy way to transfer funds and manage regular payments without ever touching cash. My School Connect’s cashless platform also makes ordering uniforms a breeze. With easy access to your school’s stock, parents can select the uniform items they need, as well as sizes, and order them online to be delivered straight to their door.

Going cashless is a great way to eliminate admin time and improve efficiencies within schools.

Telling parents to adopt a new technology can be daunting, and complaints and screening help centre calls is that last thing that any school wants. That’s why My School Connect has worked tirelessly to build an intuitive system, with some schools reporting just 3 out of 800 parents calling in for a minor issue they had.

Gone are the days of handling cash, issuing a receipt, recording the purchase and subsequent banking, along with any extra paperwork and admin.

My School Connect offers online chat support during business hours, so parents and operators can have their questions answered in minutes.

My School Connect offers schools across Australia a completely cashless solution to manage their funds with five easy modules: Tuckshop, Uniform, Volunteer, Event, and Raffle — all available online, with one simple login screen.

Healthier food options for students

Reduce admin, improve efficiencies

18 | Term 4, 2021

Healthy eating can be a challenge for students, but by allowing parents to select and pay for lunch orders via a cashless platform, pupils are encouraged to spend their lunch money more responsibly.

ASCA Smart Schools Newsletter

Parents have extended access to see how their children are spending their lunch money and can keep track of what they are eating. With clear information and food labelling in the My School Connect Tuckshop, parents can make more informed choices and select nutritious food options for their children, allowing them to build a foundation for healthier habits. Investing in technology for a cashless future Recognising this need for a cashless school environment, My School Connect has invested significant resources in the development of an intuitive point of sale (POS) system.

WHY THE DIGITAL VISITOR EXPERIENCE IMPROVES SAFETY AND EFFICIENCY by Honeywell

When safety is your top priority, placing your trust in dated paper visitor logs leaves¬¬ more room for uncertainty and less for security. Emerging security concerns require comparable protection measures. A traditional paper guestbook is not just unsatisfactory, it’s also risky. While some have been slow to modernise from written check-ins, lack of communication and disjointed management procedures, others are seeing their daily processes catapult in efficiency and security through self-service options, virtual tracking and customer experience automation. The International Data Corporation (IDC) predicts that 65% of the global GDP will be digitalised by a fast-approaching 2022. Furthermore, the IDC forecasts that half of enterprise applications will deploy hybrid, multi-cloud management to provide agility and deliver a frictionless experience.2 As digital capabilities progress, staying up to date with your options can not only better your operations, but also keep you and your team safe. In a 2021 report, Business Wire projected the visitor management system global market to reach US$1.9 Billion by 2027 and a CAGR of 12.8% over the period 2020-2027. 3 More than ever before, organisations are growing increasingly safety-conscious and looking to pad their security with smarter, stronger risk management strategies. A visitor management system (VMS) doesn’t end with the lobby sign-in. Programs, such as Honeywell SINE, have become integral to both the staff and visitor experience. Besides general safety, an updated visitor management system improves operational efficiency, guest privacy, compliance and scalability. Cloud-based visitor management software offers an integrated approach that shifts your campus from a disconnected system to a seamless one.

Operational Efficiency An enterprise visitor management system helps organisations streamline the visitor management process, with services that include pre-registration, contactless visitor sign-in, ID verification, photo badges, watch list creations and personalised notifications for hosts and security. Wi-Fi capabilities, self-service options and total control of access, compliance and safety make it easier to address every visitor’s unique needs. Paper-based check-in systems provide limited value to any organisation. Unlike a visitor log, data captured within a digital system draws insightful analytics and identifies trends that can improve day-to-day operations. Geofencing is another function within a visitor management system that offers a range of capabilities. The virtual geographical boundary is useful in maintaining remote or unmanned sites and adds an extra layer of security to know exactly who is on-site in real time. Visitor Privacy All visitors deserve to have protection over their privacy and confidentiality. This is especially important for those that work in sensitive industries, such as legal and financial services. Many visitors have reservations about providing personal data at a traditional front desk check-in. Unprotected information can easily be exposed to a data breach. Preserving your records in a paper visitor logbook is no longer an effective solution to ensure privacy. Going digital takes a visitor’s personal information off display in a paper log and helps ensure it stays private and confidential, while capturing the core data an organisation needs for their records. Software-based security solutions provide extra protection for your staff and visitors peace of mind. Compliance Digital visitor management systems – as compared to traditional paper logs – help organisations navigate and evolve within an increasingly complicated risk and compliance environment.

Safety Detect who is present and when, keep out unauthorised individuals, manage safety compliance and keep your staff and guests safe with a digital visitor management system. Amid a global pandemic, health concerns are on everyone’s minds. Pre-screen visitors before they arrive, offer contactless sign-in, aid social distancing with capacity management and quickly contact trace with full visibility of any movement through your site.

Common compliance documents for schools, such as Working With Children Checks (WWCC) and Safe Work Method Statements (SWMS), are essential and can have a serious impact on both the organisation and those in leadership when not facilitated correctly. With so much documentation to capture and information to relay, induction and check-in can become complex processes, and doing them manually increases the likelihood of error. The key to effective compliance is not only developing a comprehensive framework, but also enacting the correct measures to ensure the framework is upheld. Designated inductions to match different visitor types make collecting compliance documentation and other information a breeze and ensures everyone going in and out is providing the necessary workflow to gain access to your campus.

A subscription VMS entails minimally invasive setup, lower operating costs and an ability to easily identify and ultimately fix challenges you may not have originally been privy to. The operational impact of a subscription software to an organisation is less work and more gain. Optimisation For the Digital Age It’s not just a duty of care, it’s a management tool. Make a lasting impression on visitors by leading the charge in digital optimisation. Scalability It is critical for organisations to evolve to the new paradigm of flexible, cloud-based infrastructure to deliver scalable services. Subscription software services minimise initial overhead and maximise flexibility.

Visitor management services like SINE from Honeywell offer a cloud-based approach that optimises visitor and contractor management, keeps compliance in check and enhances the user experience. Check-in visitors, contractors and staff, manage deliveries and track assets with a visitor management platform that is focused on occupant well-being, safety and security.
