EXCEPTIONAL SERVICE We serve and amaze our clients, nurturing lifelong relationships that span the generations. This means we go beyond our traditional job descriptions to help a colleague or client in need. Exceptional service is not doing the bare minimum. It is not settling for status quo. It is making the extra effort and taking those additional steps to ensure a job is performed exceedingly well.

This is exceptional service in action CHRISSY PAPSCUN After learning BoardMax would be unsupported as of June 2020, Chrissy jumped in to help plan, create timelines, prepare training presentations, and develop an implementation structure for a February 1 launch. She manually added over 400 users, set up categories, workgroups, workrooms, zoom accounts, and branded templates. Without Chrissy’s dedication and skill set, we could not have launched this platform on time.

She worked late nights and weekends to make sure we met our deadline. I can’t thank her enough for her support and work on this project. Anna M.

STEWARDSHIP We safeguard donor intent in perpetuity, ensuring the resources entrusted to us are protected and invested in positive, sustainable outcomes for our communities. We are mindful of our expenditures and make a concerted effort to ensure we carefully manage the resources entrusted to us. It is not overspending. It is not being careless when researching vendors and contractors. It is identifying the best and most cost-efficient option possible.

This is stewardship in action BRENDA BERNARDI After meeting with the administrative team, Brenda swooped in to support the team and assisted in updating office processes, policies, and the functionality of our office, even while working remotely – all with a focus on doing the best while being mindful of our donors’ administrative fees. It has been a wonderful experience learning how to find ways to be more efficient.

This is integrity in action LISA STRATTON Embracing Salesforce as a part of daily work is important for ACF’s future data collection. Lisa quickly became an All Star Salesforce user by logging activities and thinking about new ways to run reports and track professional advisor activity. Lisa has gone above and beyond to make sure important information is recorded. This data will provide transparency and operating efficiency.

INNOVATION We demonstrate and welcome creativity, resourcefulness, and ingenuity. We invite and encourage new ideas, pioneering practices, and inventive methods for achieving community good. We welcome a first day mentality. Fresh outlooks and ideas are welcome. We think outside of the box. We welcome creative ways to solve a problem. Innovation is having fun and developing new ways to overcome roadblocks that might be hindering us. It is not saying “This is the way we always perform this task.� It is not settling for status quo. NIMBLENESS We are flexible, responsive, open to creative strategies, and able to take prompt action. We monitor, evaluate, and pivot when necessary. It is moving beyond what is expected and identifying the best, most creative solution. It is not being rigid and inflexible. We are open-minded when presented with a new solution or another option to address a problem.

This is nimbleness in action MARISA VOILAND It is hard to pick one Core Value that describes Marisa and her willingness to jump in and take on a huge project to help support the grants team. She has been facilitating the second round of Small Business grants for the City of Phoenix without missing a beat. Accepting this assignment on short notice, she is managing reviews, decisions, and communications between all parties on top of her regular duties.

INCLUSION Our strength is found in our differences. We believe diverse voices, engagement, and participation are essential to building and sustaining thriving communities. Are we including all voices at the table? We are committed to equity and inclusion. We ensure all functions are equitable and relevant for all members of our community. This is inclusion in action KIM COVINGTON During a time of civil unrest, Kim Covington engaged members of the Black Philanthropy Initiative to create a webinar series in August celebrating Black Philanthropy Month. Kim worked tirelessly to respond to inquiries, establish expert speaker panels, and host four webinars that addressed the racial inequality we see in Arizona today. In addition, she created a list of Black-led organizations to address donors interested in supporting these topics.

COLLABORATION We believe in the transformative power of partnerships around shared passions and objectives. We encourage and celebrate teamwork, pooling of resources, open communication, and trust. We work together to achieve a common goal. We listen, learn, and work with our teammates. We are open-minded and understand that there are multiple paths towards achieving success. It is not going it alone or being fiercely independent at the cost of true progress. Nor is it being rigid or closed-minded when new ideas are suggested.

This is collaboration in action BECCA ALLPOW I received a call from a friend of a family whose son had passed away unexpectedly. I took the call on Monday, the memorial service was scheduled for the following Saturday. On Tuesday, the father called back to say he was interested in setting up a scholarship memorial fund. Becca took over and did not skip a beat. The fund was set up by Friday, in time for the Saturday service. For ACF to get the fund set up in a smooth manner was comforting to the family who had more important issues on their mind.

Rewarding actions that support our core values is important to our culture. Core Value Awards We are proud of our peer recognition program, the Core Value Awards! Each month, up to four staff members receive an award for embracing one of the core values in their work.

WE WELCOME DIVERSE VOICES We understand and recognize the importance of integrating equity and inclusion in all aspects of our business. A Diversity, Equity, and Inclusion (DEI) committee, comprised of staff members from various business units, is responsible for driving this strategic initiative forward.

Diversity, Equity, and Inclusion Inclusion, a core value of ACF, has been a focus over the past ten years. ACF recognizes the importance of consciously integrating diversity, equity, and inclusion into all aspects of our business.

Hiring, recruitment, and advancement Diversity among staff brings alternative viewpoints that support better decision-making in all aspects of our work. ACF is committed to promoting hiring opportunities to a diverse audience to ensure that we reach a wide variety of qualified candidates. At the same time, we aim to support staff members in an inclusive and supportive environment. Staff training and dialogue sessions ACF is committed to normalizing conversations about race and racial equity and strengthening staff capacity to advance racial equity. We are currently working with an organization, Race Forward, who is providing staff with interactive training, strategic coaching, and tools to normalize, organize, and operationalize racial equity in all facets of the organization. DEI-logue sessions have been created as a time for staff to connect and engage in a deeper dialogue to discuss issues related to race, equity, and inclusion. Board composition We are proud that our board reflects both geographic and racially diverse demographics, representing all communities across the state. 27

Grantmaking ACF has taken on the responsibility to address inequities and strive for balance in our grantmaking to support the diversity of the communities we serve. Our team is committed to evaluating and developing a strategic grantmaking focus that serves diverse populations and communities. Philanthropy for All We strive to engage and support inclusion through our giving circles and other initiatives. ACF’s African American, Native American, Latino, and Asian Giving Circles and Initiatives, as well as The Kellenberger + Tollefson Center for LGBTQ Philanthropy allows anyone to contribute and/or advocate to a common cause, either as a supporting donor or as an active committee member. Additionally, ACF’s convening platform The Courage to Listen, Learn, and Act addresses many of the social justice issues impacting people of color.

Guidelines to ensure communication is clear Treat all of your colleagues as peers and embrace collaboration across business units. Ask for help or engage with resources to continuously improve interpersonal communication. Practice grace, patience, and empathy with colleagues. Learn to use communication tools and follow standards (once established). Be clear on your role and responsibility and feel empowered to do your part. Seek clarity when you don’t have it. Hold fellow staff members accountable to the standards (once established) and listen to feedback.

Your feedback matters Yes, we have blind spots. However, we are committed to engaging staff in continuous improvement. Annual employee engagement survey An annual engagement survey is distributed in March. This is one of many opportunities for you to provide feedback and suggestions for improvement at ACF. As a follow-up to the survey, we convene team members to discuss the results in an all-staff meeting. When necessary, separate peer committees are formed to address high-priority themes that are raised during the survey. We are committed to listening, learning, and modifying We recognize that we are not perfect and that our organization is comprised of team members that come from various backgrounds and professional experiences. As team members, we are committed to continuous improvement and this is reflected in the time we take with engaging staff to modify and adjust practices and procedures. Staff members will often be asked to join peer committees to identify and develop new ways to solve a problem.

PROFESSIONAL DEVELOPMENT IS ESSENTIAL TO SUCCESS We understand the need for training and development programs to support staff and the foundation. Training is not a one-size-fits-all – staff development requires different training for each staff member.

All team members should expect the following Job-specific training Your supervisor will provide you with your job description, department information, and one-on-one job training to ensure you understand all functions and responsibilities associated with your role. Communications training What we say and how we say it matters. This training will delve in deeper and provide you with even more clarity about ACF, who we are, and how you should communicate about the foundation. All team members are expected to actively engage and utilize these new software applications and participate in training programs that help them master these technologies.

Managers and Directors can expect the following Leadership development training is essential for our existing manager and senior leaders in the organization. This training will provide information on how to effectively lead, motivate, and coach. Strategic thinking and planning training sessions are provided to ensure senior leaders take time to think of the “big picture.� We take time to be intentional, set goals, monitor productivity, and evaluate outcomes.

Additional training and professional development are always encouraged All team members have the opportunity to attend peer conferences that provide additional training and professional development. Check with your supervisor for opportunities and availability. We strongly value education and provide incentives and reimbursement for team members to pursue advanced degrees and continue their educational pursuits.

Employee appreciation and social activities If you like dressing up in a costume, you may find yourself helping our event committee plan an amazing Halloween luncheon. Whether you are an official, active culture ambassador or not, one point remains the same: We ALL contribute to culture at ACF. To ensure all staff members have the opportunity to actively participate in ACF’s culture, current ambassadors will nominate new members bi-annually in July and December. To be eligible, prospective members must have been employed by ACF for a minimum of 90 days and receive permission from their supervisor. Active Culture Ambassadors serve two-year terms on the committee. At the end of their term, members move to advisory-level status.

My hope is that this playbook provides you with a framework to help guide you on your professional journey at ACF. The tools, training, and resources available should be clear to you. If they are not please reach out directly to your supervisor, human resources, or me. You should also have a clear understanding of the expectations set for you and in turn, what you can expect from ACF. We ALL contribute to culture at ACF. You should understand our core values and the behaviors they represent for a thriving and dynamic organizational culture. I like to think of them as the protagonist in the story of ACF. They are the leading character and our driving force.
