We will then be able to suggest the appropriate space depending on the size of your promotion, target audience and availability. We will then require you to email us a completed booking form along with your

public liability and risk assessment. We usually ask for a mock up or photograph of your promotions and we may need further information to make sure it is suitable for our sites. All bookings need to be made 10 working days before the event or a 25% surplus charge will be applied. Once we have received this information we will be able to circulate your request to local agencies (Police, Highways, etc). Assuming there is site availability for the day you have selected and no objection from the agencies, then your promotion can go ahead.

The use of the site shall be at the hirer’s sole risk and the hirer is required to indemnify The Bath BID Company against all actions, claims, loss or damage arising out of the use of the site, except to the extent that such loss or damage arises from the negligence of the Council or its employees. The hirer is strongly advised to take out a sufficient policy to cover the above eventualities. The hire shall at all times during the period of hire maintain order and efficient supervision of the exhibition and keep the site in a clean and tidy state to the satisfaction of the authorised officer. The hirer shall at all times comply with any requests or conditions imposed by the authorised officer for the effective management and control of the site. The hirer shall ensure that the site is cleared immediately at the termination of hire and left in a clean and tidy condition to the satisfaction of the authorised officer. The authorised officer may cancel the hiring at any time without stating a reason therefore and the hirer must immediately close and remove the exhibition from the site. Any such cancellation shall not be a breach of contract and no compensation will be made. No performing animals shall be brought upon the site. The hirer shall repay to the Council on demand the cost incurred by them as certified by the authorised officer of repairing or making good any damage to, and if necessary, the cleaning of the site which may happen or be caused during or in connection with the hiring. Organisations are responsible for ascertaining whether they also require Street trading consent. To apply for this consent contact Bath & North East Somerset Council’s Licensing Department: 01225 477536 The hirer shall not permit, encourage or arrange for fly posting or other illegal advertising in connection with the exhibition. If fly posting or illegal advertising takes place, the hiring may immediately be cancelled and the hirer refused further bookings of land and premises under the Council’s control. If you intend to have a street collection you may only do this by applying for a permit in advance from Bath & North East Somerset Council: 01225 477536. The hirer shall not operate any wireless, loudspeaker, gramophone, amplifier or similar instrument without the consent of the authorised officer. Where permission is granted for you to play live or recorded music it is your responsibility to contact the Performing Rights Society (Tel 020 7580 5544) and pay the relevant fee. No mobile phone exhibitions shall be held on the sites. No site may be let for more than seven consecutive days except in special circumstances by arrangement with the council. It is the hirer’s responsibility to ensure that the Fire Brigade (John.Brown@avonfire.gov.uk) and any other relevant authorities are aware of and have given permission in respect of any activities carried out during the hiring of the site. On receipt of the booking form, The Bath BID Company inform where appropriate, the Highways, Police, Public Health (if food stuffs are being promoted), Licensing, Parking Services, Bath Tourism Office and the Bath Abbey. It is important to ensure that the events do not disrupt local residents or businesses. For any event, hirers must contact the relevant surrounding businesses. Public liability insurance must be provided by the hirer or company for at least £5,000,000, for any one occurrence. It is the responsibility of the hirer to ensure that they obtain all the necessary planning and advertising consent (if applicable) and to conform with all health and safety and government legislation in relation to this space hire booking Copies of your booking form and public liability form must be available on request for the duration of the event to be inspected by licensing officers or the Police. Without this authorisation, the inspecting officer will assume you are running the event without permission. The hirer shall notify the Bath Bid Company, 21 Stall Street, BA1 1QF immediately of any convictions or cautions obtained by the holder of this Consent. The hirer shall not do or suffer anything to be done in or on the street which in the opinion of the Bath Bid or Council may be or become a danger, statutory or common-law nuisance or annoyance to or cause damage or inconvenience to the Bid or Council or to the owners or occupiers of any adjacent or neighbouring premises or to members of the public. The hirer shall provide at their own cost and expense litter bins or similar receptacles for the deposit of cartons, wrappings, containers and similar discarded items and remove them and their contents at the end of each daily period of use under this Consent. The hirer shall indemnify and save harmless the Bath Bid and their agents, servants and workmen from and against all proceedings damages claims or expenses in respect of an injury (including personal injury) which may be sustained by the Bath Bid or any person or persons body or company whatever arising out of or in any way connected with his trading and the provision of facilities under this Consent. The Hirer shall ensure that the site equipment is sufficiently weighted to the ground to prevent adverse weather conditions or members of the public from causing the stall to become hazardous.

KINGSTON PARADE ONLY 24. In addition to all the above, it is the hirer’s responsibility to ensure that they do not conflict with any events which are taking place in Bath Abbey 25. It is the policy not to conflict with events in the Bath Abbey and in the case of funerals, weddings etc. it may be necessary to stop, delay or even cancel any such conflicting event 26. It is important to ensure that events on Kingston Parade do not disrupt local residents. For any event other than a charity sale, hirers must contact the Abbey Residents Association before completing a booking form for Kingston Parade.
