7.1. Meeting Called to Order The meeting was called to order by the Chairperson, Samantha Yeung at 5:45 pm. (18 voting members) 7.2. Acceptance of the Agenda It was moved by Jay Selinger and seconded by Patricia Stefani that the agenda be accepted without any changes.

7.3. Acceptance of the Minutes – November 4, 2002 It was moved by Jay Selinger and seconded by Patricia Stefani that the minutes of November 4, 2002 be accepted with the following amendment: Motion on page 4 to read as follow: Motion: Be it resolved to purchase an HP Laser Jet 1200n for $900 + taxes for the Event and Environmental Coordinator.

Moved by: Jay Selinger Seconded by: Samantha Yeung 12/2/2 Carried 7.4. Guest Speakers Karen Marten introduces herself as the new SA Environmental Coordinator.

She will be working on the 2003 Ecofair scheduled for April 1st, 2003. The focus will be on eco-commerce. Displays, exhibits, contests & guest 1

speakers will be part of this event. Karen asks everyone to give some input about what students might be interested in doing for the event.

If people have other idea related to Ecofair and or other environmental topics please contact her at 604-451-7062 or e-mail her at kmartand@hotmail.com.

She also requests that information be given to set and tech representatives.

Reports Executive & Director

Jeff Patton, Electrical/Electronics /CST Chair • Nothing to report.

Daniel Boffo, VP Campus Life • Dan will be meeting this Friday with the School of Construction and SA staff to finalize the plotter issue.

• Canucks tickets will be available for the following games: Minnesota – January 25 and Atlanta – February 28.

Patricia Stefani, VP Public Relations & Marketing • Nothing to report.

Cristina Roman, Business/Health Chair • Nothing to report.

John Alexander, VP Student Affairs • Alcohol Awareness Week went well. 2 groups (MADD & AA) gave presentations to students. th • Deadline for special funding for sanctioned student groups is November 30 .

The application has still not been developed. After receiving funding, AIM felt that they were discriminated against given that they had only received $500 while other groups received $1000.

• John visited the Child Care Centre. Staff recommended that some maintenance needed to be done (i.e. fence) and they were also inquiring about the budget for Toys.

Samantha Yeung, President • Sam requests feedback on the idea of bringing Sue Johanson, host of the Sunday night Show, in January 2003.

Question Period

Patricia inquires about how sanctioned student groups are made aware that funds are available. John thinks that an ad went out in the Link but can not confirm. Sam proposes that poster be done to increase awareness by Friday and offers the services of the Receptionist to assist John in this matter.

Caroline informs council that Child Care staff are aware of the budget for toys and this budget is managed under the Support Program Manager. She also states that any maintenance on the facilities is done by BCIT Facility Management.

Unfinished Business

7.8.1

3-hour Break – Jay

Jay thanks everyone for their input and presents council with the last draft.

Motion: Be it resolved that the final draft, as presented, of our letter to the BCIT administration be sent to Dr. Tony Knowles upon BCIT SA letterhead, signed by our President, Smantha Yeung.

Furniture - Jay

Jay presented a compilation of all the requests that were made to him with regard to the purchase of furniture and microwaves (see attached document).

The committee will do a walk about next week to evaluate the “real” need vs. the wish list. Jay anticipates that a motion will be ready for January. If others have a wish list for other facilities, please bring them to Jay ASAP. Daniel inquires about why NE1 had not request. Jay confirms that no submissions were made.

7.9.

New Business

7.9.1

International Students - Caroline

Caroline informs council about the issue surrounding International Students and their feeling of exclusion. A staff representative met with the students to discuss various solutions. Students suggested that set reps be appointed and they be represented by a tech rep. Caroline asks the Chairs if any of them would volunteer to include them as part of their network system.

Cristina volunteered to take them under her position. She will be in contact with them after Caroline gives her the list.

7.9.2

Lap Top - Jay

Jay informs that the SA needs to purchase a lap top for the Director while on Maternity Leave. A budget of $2000 was already part of the budget; however more funds ($3500) need to be allocated. Jay also confirms that the lap top would remain the property of the SA. Motion: Be it resolved the BCITSA approves spending of $3500 towards the purchase of a lap top and the server software necessary to connect remotely to the BCITSA network.

Moved by: Jay Selinger Seconded by: Patricia Stefani 14/2/2 Carried Dan asks about funding. Jay confirms that SA will save in wages during the maternity leave, thus relieving funds for this project.

Various issues are raised such as: lap top vs. desk top; using Director’s personal desktop.

Dan agrees that portability would be an asset.

7.9.3

Sea Island Finances – Winston

Given that no one is representing Sea Island Campus tonight, Winston proposes that this issue be postponed until next meeting.

Motion: Be it resolved that this issue be postponed definitely until next meeting.
