Exhibitor Terms & Conditions BCITSA will provide exhibitors with use of an 8’x 8’ space to set up their display, which also includes one 6’ table and two chairs (if requested). Prior to approval, exhibitors are required to disclose to the BCITSA all products and services, being offered. No products and/or services shall compete with the BCITSA’s.
Terms of use: 1.
Right to Refuse a. The BCITSA reserves the right to refuse exhibitor access to the Great Hall.
2. Limitation
a. For profit or commercial exhibiting uses, exhibitors will be charged the appropriate fees, as defined by the BCITSA.
3. Liability
a. The BCITSA will assume no liability regarding exhibitors products or materials and will not store anything whatsoever for exhibitors.
4. Signage & Materials
a. All signage and informational materials disseminated to students must clearly identify the exhibitor/ group approved for that space and for that date. b. The BCITSA reserves the right to remove the display of materials which it deems to be offensive, obscene, or degrading.
5. Approval
a. Requests to exhibit within the Great Hall are required two weeks prior to the date that the group wants access to the Great Hall.
b. Groups are not approved to have access to the Great Hall until receipt of written confirmation from the BCITSA.
c. The BCITSA will retain the right to terminate or move agreements, without limit to postpone and reserve the right to manage the level of competition between groups within the Great Hall.
6. Timelines & Space Usage
a. Groups exhibiting within the Great Hall are permitted to set up anytime between 8:00am and 4:00pm on the date approved.
b. Groups are not permitted to use space beyond the area allocated for them for exhibiting to solicit students beyond the space.
c. Any group found to be in breach of these guidelines will be asked at once to move back into the prescribed space. The second breach will result in removal from the Great Hall
7. Payment
a. Payment is due at the time of booking. The BCITSA will not guarantee the space until payment is made in full.
8. Cancellations & Refunds
a. The BCITSA requires 48 hours’ notice of cancellation to obtain a full refund. b. Any cancellation within 48 hours of the date booked for will receive only a 50% refund.

Exhibitor Types and Definitions: Contract Sales: Exhibitors whose purpose is to sign up clients for a contract program, such as cell phones, credit cards, subscriptions, or banking. Large Business: Employs a larger number of employees (50 or more), high volume of sales, large amount of assets, dominant in its field of operation, and/or has a significant impact on the market. Small Business: Independently owned and operated, has a small number of employees (less than 50), low volume of sales, and small amount of assets and/or has a limited impact on the market. Craft: A business where all items are handcrafted by the vendor. Items are determined as craft if the starting materials are significantly altered or enhanced by the vendor and/or the handcrafted components functionally or aesthetically dominate any commercial components. Non-Profit: An organization whose primary objective is to support an issue or matter of private interest or public concern for non-commercial purposes, without concern for monetary profit. *MUST be a registered not-for-profit* Charity number must be disclosed on the contract. Without this information, the small business cost will be applied.

Parking: Exhibitors are required to pay for their own parking. This is non-negotiable as parking is owned by BCIT and not the Student Association. It is pay-by-stall parking that is available at the rate of $4.50 per day in any Student Lot.
Internet & Equipment Requests: All internet and equipment requests MUST be made at the time of booking. All audio/visual equipment rentals are supplied for an additional fee (IF the equipment is available).
