Job Description This section outlines the principle roles and responsibilities of Set & Class Representatives. Set & Class Representatives will be referred to as Reps throughout this document. Duties Description 1. Sign up on the BCIT Student Association (BCITSA) website (www.bcitsa.ca) immediately after being elected by their class mates. 2. Be responsible for attending and participating in all meetings held by the Chairs of their School. During meetings, Reps are responsible for the following: a. Represent their Technology, Trade, or Class. b. Attend monthly meetings as scheduled. In case of their absence, the Rep is accountable for delegating another student to take their place. c. Retain copies of all School meeting minutes. These minutes are to be passed on to the incoming Reps the following year. d. Email relevant information to their Set or Class after each monthly meeting. e. Verbally report Technology or Trade activities at their School and Technology meetings. Rep meetings will be called by the Chair of their School and will be held on a monthly basis commencing in October and running through to May. Meetings will be scheduled in advance and be on similar dates each month (E.g. last Wednesday of every month). Meetings will be structured by the Chair of your School. The Chair will create an agenda and prepare discussions/handouts before the meeting. An open discussion/question period will be held at the end of each meeting to get feedback from Reps. Food and beverage will often be provided. Meetings will include important information such as current and up-coming BCIT related events (bursary deadlines, BCIT Open House, BCITSA Elections, etc.) and will give Reps the opportunity to voice issues, concerns, or recommendations regarding their BCIT program. Resource Centre, BCIT Student Employment Services, and the BCITSA Student Health Plan Representative can be expected at selected meetings. 3. Report to the Chairperson of their School and fulfill duties as designated. 4. Inform their student body of upcoming activities sponsored by their School, BCIT, and the BCITSA. 5. Relay information between the individuals below at the request of those individuals or to assist in arranging meetings between the individuals below in the event a meeting is required and/or deemed necessary. a. Set or Class members b. Technology or Trade Committee c. School d. Faculty and Staff 6. Provide direction to their Set or Class members in situations such as: a. Instructor difficulties b. Set or Class members need access to Student Executives, Administration, or Deans 7. Be knowledgeable about their position, the BCITSA and its involvement in campus activities, and other BCIT events that may be taking place on or off campus. Such information can be accessed on www.bcitsa.ca or through the Chair of your School. 8. Remain unbiased and impartial as they may be required to represent students, faculty, the Program Head, or the BCITSA Chair of their program. 9. If comfortable taking on role, represent their Set or Class members at a Decision Review Board (DRB) hearing at the request of the student. The DRB Policy can be accessed on www.bcitsa.ca. The BCITSA Advocacy office (www.bcitsa.ca/adcovacy) will provide a representative if Rep is not comfortable taking on this position and the student would still like a representative. 10. Be responsible for setting up and maintaining their Set or Class list. A template is provided by the BCITSA and can be accessed on www.bcitsa.ca. The list is to include all students that the Rep represents as well as basic contact information. Permission must be received from students. By keeping such a list up to date, the Reps can keep an open communication channel with the students in their program. 11. Collect feedback from students and disseminate to appropriate individuals if required.

What a Rep is Not Responsible for: Reps are not in place to watch over their peers. Set or Class members are held responsible for all matters involving their individual success within their program. Reps are encouraged to assist fellow students but are not responsible to: 1. Communicate upcoming deadlines for assignments, quizzes, or tests 2. Communicate the tardiness of a peer 3. Provide notes of missed classes 4. Communicate missed homework 5. Fight personal battles 6. Disseminate information from instructors to students regarding more serious issues (E.G. excessive absences, course failure, etc.) Becoming a Representative The following points outline the election process and provide the relevant information needed to properly elect a Rep: 1. Instructor involvement is encouraged to help inform students to vote for Rep positions 2. Voting will take place the second Thursday from the first day of class. This is to allow time for students to familiarize themselves with potential Rep candidates. 3. Voting can be initiated by Set or Class members or faculty 4. Prior to voting, two members of the Set or Class NOT running for the position should be designated as vote-counters 5. All students present on the election day should vote 6. Ballots are constructed or improvised and disseminated by vote counters 7. Written votes are collected by the vote-counters and then the winner is announced 8. In the event of a tie, another election is to be held the following day
Impeachment Process If a situation arises where a Rep is deemed to be underperforming by the Set or Class, they can be impeached or removed from their position. The Set or Class must take the following steps in sequence: 1. Discuss issues with Rep to rectify the problem 2. Speak with BCITSA Chair regarding the issues

3. Circulate a petition amongst the Set or Class members. A petition template can be found at www.bcitsa.ca. Sixty percent of the voting members within the Set or Class must be in favour of impeaching the Rep. 4. Following impeachment, a new Rep must be elected via the process detailed earlier in this document. Training Session The first Rep meeting will include a training session. The Chair will further explain your role and give you the opportunity to ask questions regarding the position. Training sessions will be held at the start of each new school year or whenever a significant number of new Reps have been elected. In this training session the BCITSA Chair will introduce Reps to the following: 1. Roles 2. Responsibilities 3. Communication Network 4. BCITSA 5. Services provided by the BCITSA 6. Services provided by BCIT You will be given examples of what to do in certain situations (discrimination and harassment, issues with a faculty member, etc.)
Award The Distinguished Representative Award Reps are eligible for the Distinguished Representative Award. The award will be given to a deserving Rep that has gone above and beyond the duties of a Rep. Each School will give out one award of $500 per year to the selected Reps. The nominee must have: 1. Been present at all Rep meetings 2. Been actively involved in discussions during Rep meetings 3. Disseminated all information from the meeting to their Set or Class 4. Been actively involved in BCIT and/or School activities (volunteering, etc.) 5. Be enrolled as a BCIT student during the current semester 6. Be in good academic standing with a minimum grade point average as defined by their program

Nominees may be nominated by faculty, fellow students, or fellow Reps. The nominator will fill out a nomination form as found on www.bcitsa.ca. The nomination forms will be submitted to the Outreach Coordinator at outreach@bcitsa.ca or at the Uconnect Office located at SE2 Room 286. Letter of Recommendation Reps may request a letter of recommendation signed by the BCITSA President and/or Chair. Requests must be made before the third week in April.
