EVENT PLANNING facility reservations
room reservations should be arranged prior to booking your event with bon appétit catering. to reserve a room on campus, please contact the grove city college campus events and conference manager patty priester at x-2211 or (724) 458-2211.
schedule your catering
the professionals at bon appétit catering will work with you to provide a memorable event for you and your group. the success of your event is dependent upon careful planning and timing. please book early to ensure a successful event. • major events (100 guests or more) should be booked ten (10) business days in advance. the final guest count must be confirmed three (3) business days in advance of a major event. • breakfasts, luncheons, meetings, and small receptions (events under 100 guests) should be booked a minimum of five (5) business days in advance. the final guest count must be confirmed two (2) business days before the small event. • small snack breaks (25 guests or less) should be booked a minimum of three (3) business days in advance. the final guest count must be confirmed two (2) business days in advance of the small event. • last-minute catering is possible, dependent upon the availability of schedule and product. In these instances, we encourage you to review our “last minute catering limited menu” at the end of this catering guide. when you are ready to book your event, please call bon appétit catering at grove city college at x2210 (724-458-2210). at that time we will discuss your needs, your estimated attendance numbers, and the style of your function. when booking, please have ready: • name of group • date, time and length of event (including preferred setup and pickup time) • location • type of service: buffet, served, set-up, picnic, menu/décor • estimated guest count • table set up and additional linens • contact person including phone number, email and address • faculty advisor • title or name of event • final billing info: name/department, billing address, billing contact and phone, and tax exemption # • special dietary requirements

EVENT PLANNING customized menu planning
in addition to the standard items and menus listed in this catering guide, we at bon appétit catering understand the importance of customizing menus to meet our client’s needs. we are eager to work with you to create a unique and personalized event and menus. our catering manager will meet with you to discuss the requirements for your event, such as event theme, type of service, table appointments, floral decoration, linens, rentals, and special dietary needs.
food allergies and dietary needs
bon appétit catering can accommodate most special dietary requests given appropriate notice during the event planning process. please contact the bon appétit catering director regarding these dietary concerns at your earliest convenience.
catering confirmation
once your final menu selections and catering arrangements have been made, a catering event order sheet (sometimes called a b.e.o.) will be provided to you. please review the information on the event order sheet carefully.
leftover food
we will prepare a sufficient amount of food to meet the needs of your group. food and beverage leftovers may not be packaged for take-out.
cancellations
notification of cancellation is required within a minimum of 48 hours prior to the event. if a cancellation occurs after this time period, any incurred expenses will be billed to your department.

BILLING additional fees, costs and taxes
• for standard banquet services, bon appétit catering executes events for grove city college on an inclusive basis (i.e. price per person includes food, labor, linens). beyond standard banquet services, additional labor costs may be applied for upgrades or special services (i.e. cake cutting, butlered services, additional linens). if there is a program before or after the meal, please notify the catering manager. additional cost will be added if events run longer than scheduled. those circumstances will be agreed upon in advance. beyond standard services, additional labor costs may be applied for upgrades or special services. • linens lend a finished look to an event. for any food or beverage order which is price per person, linen for the buffet and dining tables are included in the cost of the event. additional cost will be added if any additional linens are requested for other purposes (i.e...gift, registration...) • events paid for by the college are tax exempt • events not paid for by the college will be taxed at 6%, unless a tax exempt form is issued prior to the final billing. • to reserve a room/location, or to discuss any audio/media needs contact the grove city college events coordinator at 724-458-2211 or pjpreister@gcc.edu
deposit + payment
bon appétit catering requires a guaranteed number of guests to be confirmed no later than: • two (2) business days before small events • three (3) business days before major events your final billing will be the higher of the two: • 95% of the guaranteed number of guests, or • actual guest count
student meal credits
the client must provide a list of student names and ids to bon appétit catering within 24 hours of the event, in order to receive the current student meal credit value. this meal credit will only apply to those students who have the 21 meal plan. off campus client events will require a 50% deposit five (5) days prior to the date of the event. The remainder of the balance is due at the time of the event. upon completion of your event, the final invoice will be sent to the department billing name indicated on the event sheet.
