Two of our own have been very secretive lately, and the rest of the team has taken notice. To protect their identities, let’s call them…Austin and Tim. What’s so secretive, you ask? I’m not positive, but context clues have led me to believe we are hiring a new security guard. His name is Ted. Just, Ted. For weeks I’ve heard whispers about who will use Ted and how he’ll improve current procedures for everyone. I’ve struggled to understand how one security guard can suffice for all the City departments, but Austin and Tim act as though they’re confused when I ask about the new security guard. Very suspicious. Today, I’m on a mission to find out more about this "Ted". Since Austin and Tim refuse to address my questions, they’ve left me no choice but to embark on a covert operation. I’ve received intel that they’re meeting together today, so I intend to learn more through this secret investigation. Tim: Okay, TED is a go! We’ve received the first one, and I must say, it is a good-looking model!
*First one? Of how many? Wait. Is Ted a CLONE? Star Wars prepared me for this. I just didn’t expect it to happen this year.
Austin: Agreed! Once we’ve put TED through some testing, we’ll order the remaining equipment necessary to do the job.
*What is this, the clone cartel? How much equipment does a security guard need?!
"TODAY, I'M ON A MISSION TO FIND OUT MORE ABOUT THIS 'TED'." Tim: Yes, and we’ll make sure to do several rounds of training so all departments understand TED’s process. We certainly don’t want anyone’s time to be cut short because of a user error! *Note to self: Stay on Ted’s good side. He is armed and possibly dangerous. Tim: Do you think we should have a “meet and greet” before we deploy TED? You know, so people can get comfortable with the new system? *Maybe I can bribe him at this meet and greet. Austin: Definitely! We’ll schedule time for each department to get acquainted with TED and the functions that ExecuTime offers. I was surprised at how convenient it will be in the end. *Execute-time? Gulp….. Tim: Yes, the ability for TED to identify us by our employee ID badges is a major plus. But, the most important message we need to convey when we deploy the TED is this move is not for attendance tracking; it’s for accuracy. TED is, first and foremost, a time-keeper. *Oh, sure, ID the victims by their badges!
Austin: Hence the name TED, right? Time Entry Device! *IT’S JUST AS I…. wait, what?
It seems there may have been a misunderstanding about Ted. It’s possible that I inflated this perception a little. So, Ted isn’t a new employee/security guard/combat clone. As it turns out, it’s new technology from Munis that helps employees keep track of their hours. It will work in conjunction with the existing ID badges that each employee already has. Each building will receive at least one TED for employees to utilize. The first TED is undergoing testing to ensure it functions properly with our existing software. Once it is deemed fully functional, employees will be trained on using this new system. We’ll talk more about TED as the January launch date gets closer.

ENTRY DEVICE Recently Completed Tasks: 1. The City’s Project Management Team (PMT) and Project Manager (PM) met
weekly for project status updates. 2. The City’s PMT, PM, and Tyler PM met weekly for Tyler status calls. 3. The City’s Executive Steering Committee (ESC) met May 21st to review the April Status Report and overall project status. 4. The City’s PMT held two meetings on April 9th with the City’s department heads to discuss time entry methods and processes. 5. Tyler conducted Phase 3 Utility Billing (UB) data conversion mapping sessions April 20-23. 6. Tyler conducted Phase 2 Human Capital Management (HCM) analysis and configuration sessions April 28-30, that covered the topics of Payroll, Tyler HUB, and Role Based Access Control (RBAC). 7. The HCM team and Tyler consultants spent significant time in May setting up Pay Master, Deduction & Benefit Master, Accrual Tables, Job Classes and Position Control. 8. Tyler conducted the 1st pass of data conversion for Utility Billing data on May 22nd. This effort consisted of taking all the current Incode customer and account information and converting that data into Munis. Significant effort will be spent through the Summer and into the Fall reviewing the converted data.

Upcoming Tasks: 1. The City’s PMT and PM will continue to meet weekly for project status updates. 2. The City’s PMT, PM, and Tyler PM will continue to meet weekly for Tyler status calls. 3. Tyler will conduct Employee Master configuration and power user training throughout the month of June. The Tyler team will also begin setting up and testing connectivity of ExecuTime. 4. The Utility Billing team will continue to review converted data from Incode. 5. The PMT expects to receive 1 Time Entry Device (TED) to begin testing set up and functionality.
