History of Berkhamsted Schools Group

Berkhamsted School is situated in the historic Hertfordshire town of Berkhamsted, a prosperous community surrounded by Chiltern countryside and within easy reach of London With Her Majesty the Queen as the School’s patron, Berkhamsted is a leading Independent School for pupils aged 3 to 18 years, the foundation of which dates back to 1541 (when John Incent, the Dean of St Paul’s Cathedral, successfully applied to King Henry the VIII for a license to purchase a piece of land for a ‘freescole’).

In 1888 a Girls School was founded in Berkhamsted under the same governing body, and the Boys’ and Girls’ Schools merged to form a diamond school in 1997 The Prep School was also integrated at this stage, and the School became Berkhamsted Collegiate School.

In 2011 the School merged with Heatherton House, a small independent day School for girls in Chesham Bois, and became the Berkhamsted Schools Group. Operating as a satellite Prep School, Heatherton provides a feed of Girls to the Berkhamsted Girls School every year In 2012 Berkhamsted Schools Group acquired Haresfoot, a small proprietary prep school in Berkhamsted. This site now houses the Berkhamsted Pre Prep and Berkhamsted Day Nursery Limited, and Berkhamsted Prep takes children from age 7 11.

Berkhamsted is the only School in the Herts, Beds and Bucks region, and one of only a small number of Schools in the country, to offer a ‘diamond’ structure that combines the best of both single sex and co educational teaching. Boys and Girls are taught together until the age of 11 (Berkhamsted Pre Prep and Prep), separately from the age of 11 16 (Berkhamsted Boys and Berkhamsted Girls), before coming back together again in a joint sixth form (Berkhamsted Sixth).

Lead, mentor, motivate, assemble, and manage an appropriate mix of in house technical skills and caretaking services to maximise the VAT saving and enhance on site response and productivity.

Supervise and manage external suppliers where appropriate and ensure their performance in accordance with specifications, health and safety legislation and budgets.

Manage all maintenance and caretaking services to the School in accordance with the customer agreements and specifications to the agreed prices

Carry out and maintain a life cycle analysis of M&E assets and update the assets register accordingly.

Carry out regular building condition surveys and compile an ongoing fabric maintenance plan. Review and manage the maintenance and caretaking teams skill sets, workload and training levels to adherer to estates management requirements and compliance needs.

Specific tasks include the following: Daily

Own, manage and maintain the helpdesk system to agreed service levels, issuing, and checking work tickets along with the Estates Administrator to the in house team and contractors. Managing individual workloads and re prioritising as needed. Ensuring all daily checks and planned tasks are carried out as per raised tickets.

Tender maintenance packages

Manage and maintain the water management specialist contractor with statutory processes & procedures together with subsequent files to ensure HSG274 compliance. Manage and maintain the function of the school swimming pool, dosing, and A/C systems. Manage in house repair & maintenance team to deliver maintenance and project works to deliver maximum efficiency. Including providing support to other teams within the wider Estates functions.

Develop and maintain a robust contractor induction process together with compiling the relevant documentation of risk assessments and method statements for all contractor works. Develop and maintain a preferred suppliers list including all relevant documentation and insurances.

Contribute towards the production of the annual budgets including updating of service specifications and asset replacement plans, scheduling and delivery of refurbishment and other customer projects.

Financial Responsibilities and Procurement

To manage all in house maintenance budgets in accordance with agreed annual spend. Provide full procurement and financial control to repairs & maintenance functions.

Raise purchase orders on the Sage system ensuring that supporting documentation such as appropriate financial authority, quotes and other important documents are uploaded. Sourcing and purchasing items required on an ad hoc basis by members of the Estate teams to enable them to complete various tasks, first obtaining appropriate financial approval where necessary.

Ordering appropriate uniform for Estate staff to reflect the School branding and value.

Updating the Sage system with delivery/service information.

Reconciling invoices generated because of both purchase orders and orders placed through the order requisition system to ensure they are accurate and coded to the correct budget nominal.

Preparing a detailed monthly breakdown of all credit card purchases to enable them to be allocated to the correct budget code

Handling queries from the Finance team and suppliers relating to the payment of invoices. Liaising with the Finance Department to set up school accounts with various contractors and suppliers as required.

Monitoring Estates budgets monthly to ensure they remain on track, alerting appropriate budget holder to any unexpected expenditure.

Ensuring end of year charges are accurately assigned, raising accruals where necessary. Organising attendance by suppliers to obtain quotes and accompanying third party staff whilst on the School premises if necessary.

Relationships: The Head of Maintenance must seek to establish an excellent working relationship with the SMT, selected external suppliers and all stakeholders. Above all he/she must recognise that they are a service provider to support the School ethos and brand. Skills, Knowledge and Experience:

The ideal candidate would have at least 3 years in a management, supervisory or Project Management role within relative fields. Qualification as an Electrician or Plumber/Heating Engineer a distinct advantage. Membership of the Institute of Workplace and Facilities Management (IWFM) a distinct advantage. Training in Quality Assurance, Health & Safety and Project Management and customer service an advantage.

Able to work under own initiative, under pressure within structured timescales Have a high quality approach to work Customer focused, generates new ideas and working practices to exceed client expectations without being prompted.

Good communicator able to listen to customer needs and summarise technical building issues in simple easily understandable terms. Good administration skills.
