01 INTRODUCTION FIND DATABASE The database is on the C3 Global website, head to:

https://database.c3churchglobal.com/churches On the right hand corner click on the Membership section, then Database. Once the log in page appears, you can log in using your email and password that has already been set up. If you don’t know your password you can either use “forgot my password” or contact your regional office if you need an account set up.

PERMISSION LEVELS Below are the list of permissions levels and what you can access/do. If you think you are on the incorrect level please contact your regional office. Level 1

DATABASE HOMEPAGE Once you enter in your login details it will take you to the database home page. You should be able to see the contact or locations relevant to your permission level. The top bar lists the various information groups and the account details.

The middle bar has some additional tools to help you navigate the site. Current information group

CUSTOMISE VIEW Options to customise the layout of the information. The size of each column can be altered by dragging the sides (as pointed at) of the column to make it bigger or smaller.

You can alter the actual content in the columns. By clicking on the notepad and pen image in top right corner (as circled) drops down several options including:

When we select ‘Edit Grid columns’ it comes up with the following box, which allows you to customise each individual column header by selecting each individual field.

The individual fields include church name, area, start date, pastor’s name etc. After customizing the view, ensure you select save in the bottom right corner (as circled) to apply the changes. Once you have applied a view that you like, you can save that view. Click on the notepad and pen icon again and there is a ‘Save View’ option. This opens the following box where you can enter the name of the view and click save (circled). It also lists already saved views down the bottom.

Once you have saved a view you can select the ‘Load View’ option, again under note pad and pen icon in the top right corner. It opens up a screen where you can see your different ‘View’ options and apply your preferred one to your database.

Finally, under the note pad and pen icon there is the option to ‘Save current view as default’. When you do this it will set whatever the current view is to be what the database will automatically open up to every time.

02 EDIT CHURCH To edit a location, simply double click the file.

This will open up the church details. There are four tabs for the church: 1

Who is on team at that location

Where you add your monthly stats

This page is where you’ll enter and edit all the details for individual locations. This information can be viewed by the public via the map function.

GENERAL DETAILS To edit any section, you need to first click on the Edit button in the top right corner, as you can see below:

Make sure you scroll down the general page to add in your location address, service times that you want advertised and any locations that are related to you e.g. campus, extension service etc. 8

If the location was birthed, or planted, from another location enter its details here. When you start entering the name it will come up with the option to select the name Select the level of the location. This is the total number of members placed in the following brackets: •  0-75 •  75-175 •  175-500 •  500+ •  1000+ If the location had a previous name enter it here Enter the date of the location’s first service See below for more details for entering dates. Select the date of the last service if the church has closed or left C3. Write details in the closure reason as to why the church closed or left. NOTE: Church Closures can only by the Regional Office

Select the currency your tithes and offerings will be collected in.

CHURCH LOCATION + CONTACT DETAILS Enter the location’s name. Please ensure the name is in capitals, and note: you do not need to include ‘C3’ at the beginning (e.g. TEST CHURCH) Select the location type out of the following: •  Full Member •  Extension/Service Campus •  Satellite •  Plant •  Provisional Select the region, area and country If the location is registered with the government enter its registered company name NEW: please tick this box if your location is part of a multi-site family

Enter the church contact and social media details, this information is accessible to the public. (Please do not enter the location pastors’ details).

NEW: this section is for your regional office to help with accounts and levy payments.

SERVICES This section is for adding any repeating services held at this location that anyone is welcome attend. To add a service click on the Add button in the top right corner (as circled in the image below).

Enter the location room of the service e.g. Auditorium, glasshouse etc. Select the age group from the following options: •  Kids •  Youth •  Young Adults •  Open •  50+ Enter any pertinent details regarding the service for the general public to be aware of e.g. kids program is available etc.

RELATED LOCATIONS A related location includes any satellite, plant, campus/extension service that was developed out of this location. To add a related location click the Add button in the top right corner.

You can search for your location in the search bar, and then click select.

ADDRESSES This section is for adding location addresses. This will need to be done 3 times for venue address, office address, mailbox address, and street delivery address. To start, select the add button in the top right corner (as circled).

Select the venue type from the following: •  Venue Address •  Office Address •  Mailbox Address •  Street Delivery Address Enter your full address details

Once the address is entered, a pin drop will appear on the map to represent the applicable location. If the pin dropped is not in the right location, you are able to click on the pin and move it to the correct location.

CONTACTS This section holds the people/contacts for this location including: •  Location Pastors •  Executive team – Financial Controller, Board members, Business managers •  Regional Directors – and Regional Office team •  Area Directors •  Church overseers •  Staff

To add someone to the location who is already in the system for any of these categories click on the Add button on the right hand side of the category you want (as circled on page 15).

Search for the contact, then click Add

If you are linking an Executive Team Member that is already in the system, use the same method as above but you will also need to select/tick what position they hold (Financial controller, Board member, business manager).

If the contact you want is not in the system, you will need to add the person to the database. To do this leave the church details page and click on database Contacts at the very top of the website.

Click + to add a new contact The details include the first name, surname, gender, email (of the pastor, not the location), phone number, mobile number, and date of birth. Once they have been added to the database you can then add them to your church contact page.

CONTACTS (continued) If you need to remove anyone in your church contacts click on the three dots near the name and click Remove.

LOGO The next step is to upload the logo of the location. The logo file must be a .PNG .JPG or a .GIF to be uploaded and must also be within the naming guidelines of the C3 Church Global Policy Document. To upload an image you can either drag and drop the file into the logo section or you can click upload file to search for the logo.

STATISTICS Entering stats This process is for any location pastor or Level 2 staff member to enter or edit stats for a church location. Click on the Statistics tab within the church page to view/enter stats.

To add statistics, select the Add button towards the top right corner (as circled). In Add New Record, add the details for your stats, then click Save. – NEW Monthly stats

Notes for entering stats: •  Salvations, visitors, attendance: this is the total number across all your services within that 1 month period. •  Memberships: is the number of people that are on your church database that call your church home, but may not attend every week. •  Date: when selecting the date the Sunday is the only option. Even if it is not a Sunday service it covers that previous 7-day week. •  Currency: If the currency for offering is incorrect this must be changed in the basic details of the location file If you wish to delete or edit a stats that has already been entered and saved, click on the three dots to the right hand side of that stat (as circled below).
