Greetings! Cal Dining is excited to announce the beginning of our 2013-2014 athletics calendar and our continuing partnership with Cal Athletics for all athletic events at Memorial Stadium, Haas Pavilion, Edwards Stadium, and all sporting venues at UC Berkeley. We are looking for non-profit organizations and service groups to partner with us to reach their annual fundraising objectives while working in a fun, spirited environment. Your school, service club or other non-profit group can raise money by working in the concession stands at California Memorial Stadium or other Cal Athletics sporting venues. Organizations that can provide 10-35 volunteers per event will receive a commission of ten percent of their total net sales. Your organization will be matched to a stand best suited for your group’s size, experience, and abilities. Cal Dining will provide all of the training, products, and supplies needed to ensure your organization’s success. We are excited for the new era of Cal Football at California Memorial Stadium and look forward to working with your group. CONCESSIONS FUNDRAISING OPPORTUNITIES 2013-14 SEASON

Thank you for your interest in fundraising opportunities in the concession stands at Memorial Stadium and other Cal Athletics events. Cal Dining is the official food and beverage provider for all athletic events at Memorial Stadium, Haas Pavilion, Edwards Stadium, and other sporting venues at UC Berkeley. Non-profit organizations, service groups, and recognized student organizations partner with us to reach their annual fundraising objectives while working in a fun, spirited environment. Organizations that can provide 10-35 volunteers per event will receive a 10% commission of their total net sales, less any shortages or overages. Cal Dining will provide the training, products, and supplies for your volunteers. Training must be completed prior to working in the concessions stands and will take place in August. Here are the requirements for being selected for the concessions fundraising opportunities: 1. Groups must submit and complete the application process to be considered for concessions fundraising opportunities. 2. Groups must be recognized by the IRS as a 501(c)3 exempt organization and provide the group’s Tax ID number and determination letter. (For more information about 501c status please visit: www.irs.gov/charities/charitable/index.html). 3. Your group will be required to work ALL seven home football games, plus a minimum of (2) other sporting events throughout the 2013-14 season. Please be sure that your organization can commit to the following football game dates before applying to work: August 31, September 7, September 14, October 5, October 19, November 2 and November 9. All game times are still to be determined by Cal Athletics and television networks. 4. Volunteers must be 16 years of age or older to work in a stand. 5. Your group’s total staffing requirement will depend on the location your group is assigned. Your organization must commit to bringing the required number of trained volunteers to staff the assigned location for each game. Not fulfilling your commitment will result in your group being placed on probation or possibly removed from our fundraising program. 6. All groups will need to carry and provide proof of a general liability insurance policy that meets the below minimum requirements: • $2M aggregate • $1M each occurrence • $2M products and completed operations aggregate • $1M personal and advertising injury • $100,000 fire damage (any one fire)

• $5,000 medical expense (any one person)

FREQUENTLY ASKED QUESTIONS What goes into running a concession stand at Cal Football games? Our concessions program allows your group to work in the concession stands at one of Cal’s sporting venues. It will be a “turnkey” operation and your stand will be stocked and ready for service upon arrival. Your group will come in and run the stand as if it is your business. You prepare the food and snacks and service the customers with each transaction. Your organization is responsible for every aspect of service to each customer. We require each organization to supply a core group of workers that will serve as leadership for the remaining volunteers in your group. We recommend that you organize your concessions leadership team as follows. •

(2) Group Stand Manager: Responsible for the overall operation of the stand. This includes beginning and ending inventory counts and personnel management.

(2) Assistant Stand Manager: Responsible for all monies.; will collect beginning stand balance, monitor cash throughout the event and verify receipts at the end of the game.

(2) Food Preparation Lead: Responsible for managing food production, quality, quantity and presentation.

We require, at least, one person from each position attend every event in which your group participates. The team leads can rotate throughout the season, but potential leaders need to be identified prior to the first game so they receive proper training.

How many workers will a concession stand require? Your group’s assignment will depend on how many members your organization can provide. We have many concession stands available. Some require as few as 10 people. Many require 15-20 people. There is even one stand that can accommodate 30-35 workers. Remember, the higher the number of workers required in a stand, the larger the potential revenue is for that location. More revenue generated in your stand equates to higher commission payments for your organization!

How long will can our group be expected to work on football gamedays? Groups can expect to work about 8 hours for football games. Report time will be 3.5 hours prior to kickoff, and expected completion time should be approximately 1 hour after the game has finished.

Will there be any staff training? There will be mandatory training sessions for all groups during the month of August. Group leaders will attend a training session that introduces policies and procedures, stand operation basics and critical game-day information. These sessions are key to having a successful fundraising season and will assist you with planning and coordinating your group volunteers. “In Stand” training will also be held for leads and volunteers inside your actual concession stand or kiosk. This training will act as a “mock-game” inside your assigned concession stand. You will review the set-up and breakdown of your location, including inventory processes, equipment operation and menu preparation, as well as meet your Cal Dining Stand Lead. You will also interact with your group members and other individuals to practice Cash Register transactions and customer service. Each group should have as many of their volunteers as possible in attendance for “In stand” training. Training for the stand leads will take place the 1st week of August. The “Mock Games,” requiring the majority of the group to be in attendance, will be held the 2nd – 4th weeks of August. Our Concessions team will coordinate with each assigned group for an optimal “Mock-Game” session between all parties.

What do we wear for an event? Every volunteer will be provided an apron and a hat to wear during service. Volunteers are also required to wear full-length pants, closed toe/slip resistant shoes, a Cal or solid black or white t-shirt. Red clothing is not permitted on game days. Spaghetti straps sleeveless shirts, skirts and shorts will not be allowed. Group members may be removed from the concession stand if they do not follow the dress code.

How much will our group make by working in the concession stand? Your group will earn a 10% commission of net sales (minus sales taxes and any shortages on product sold). The amount of money your group earns will depend on the size of the stand, the number of workers the stand requires, and how many sales your group is able to generate. The commission earned can be several hundred dollars to more than $2,000 each game.
