END OF THE YEAR TIMELINE 

Residents must vacate their housing assignment no later than 24 hours after their last final exam or by Sunday, December 23, 2012 at 8:00 a.m. whichever comes first.

The late stay request deadline is 12:00 p.m. on Wednesday, December 12, 2012.

24 hour Quiet Hours begin Wednesday, December 12, 2012 at 10:00 p.m. and remain in effect until the halls close on Sunday, December 23, 2012 at 8:00 a.m.

Lock outs during the evening from 4:30 p.m. to 7:30 p.m. will end on Friday, December 14, 2012 at 7:30 p.m. and resume to regular schedule on January 21, 2013.

Final exams begin Monday, December 17, 2012 at 8:00 a.m. and end on Saturday, December 22, 2012 at 5:00 p.m. 

Final Exam Schedule

University shutdown week begins Sunday, December 23, 2012 at 8:00 a.m. and ends Wednesday, January 2, 2012 at 12:00 p.m. 

During this time no residential students are permitted to remain on campus.

All students are expected to unplug all personal electronics

NOTE: This timeline does not apply to residents residing on the Asylum Avenue Campus. AAC residents are permitted to remain in their Townhouse unit for the duration of the break as long as they are returning to their assigned space for the Spring 2013 semester.


SHUTDOWN WEEK During this week no residential students are permitted to remain on campus. It is vital for all students to seek another location to reside. Students residing on the Asylum Avenue Campus are permitted to remain in their Townhouse units. 

Shut down week begins Sunday, December 23 at 8:00 a.m. and ends Wednesday, January 2, 2013 at 12:00 p.m.

Residential students are not permitted to remain on campus and will not be allowed (granted access) to the residence halls at anytime.

Be sure to bring your necessary and/or valuable belongings home with you.

Historically, this winter shutdown week has saved the University more than $100,000 in energy expenses.

Please note all University offices and facilities will be closed including the Sports Center, the University Bookstore, the University Libraries, and University Physical Therapy, LLC.

We ask your help to reduce energy consumption by turning off and unplugging all electrical devices.

If you have a pet fish or plants that are sensitive to lower temperature, you should take them home for the holidays. Thermostats in most buildings will be lowered to about 55 degrees.


Students Withdrawing from Housing If you are graduating, transferring, or not returning to the residence halls in the spring semester, you must check out of your room assignment by calling your area duty phone, noted below. Staff will be available to assist you daily during the advertised check-out times: Check Out Times: Please check out during the times provided. Escorted Check Outs*: Start Friday, December 14 and end Friday, December 21 from 10:00 a.m. to 2:00 p.m. and from 7:30 p.m. to 10:00 p.m. Express Check Outs**: Start Friday, December 14 and end Friday, December 21 from 8:30 a.m. to 4:30 p.m. in the Office of Residential Life *Residents who utilize the Escorted Check Out option will call the RA duty phone of their area and meet with a RA to return room key, complete their room condition report and together conduct a visual inspection of your living space.

**Residents who utilize the Express Check Out option waive all rights to submit a damage appeal for any damages discovered in their living space and any charges associated with these damages.

IF YOU ARE RETURNING TO CAMPUS IN THE SPRING, YOU DO NOT NEED TO CHECK OUT WITH A RESIDENTIAL LIFE STAFF MEMBER. Avoid Improper Check Out Fee ($50.00)

If these checkout hours do not work with your schedule, plan ahead to arrange an appointment. You must give at least 24 hours notice for appointments beyond these posted hours.

If you are not returning to reside on campus in the spring then you MUST meet with a residential life staff member by calling your area duty phone; to complete an escorted check out or express check out, turn in your keys, and get your check out receipt.

Closing Check List □ Clean Your room/suite/apartment thoroughly. 

Place your bagged garbage directly into the open dumpsters

Vacuum/sweep the entire room/ suite/ apartment

Clean your bathroom (i.e. shower, toilet and vanity)

Clean kitchen or kitchenette (do not unplug university refrigerator)

Remove perishable foods

Medication, books and your valuables with you

Your keys and Id home with you

Set to 55 degrees in Regents, Park River, Village Apartments, and AAC Townhouses

□ Lock all windows and pull down blind/shades. □ Make sure your have locked your room door and front door.

RESIDENTS WITH CURRENT VACANCIES IF THERE IS A VACANCY IN MY ROOM, AM I GETTING A NEW ROOMMATE?

If you are living by yourself, or if your roommate is leaving the University of Hartford, you should be prepared to welcome a new roommate for the spring semester. Please move your belongings to ONE SIDE of the room and leave THE OTHER SIDE CLEAR (AND CLEAN!) for a new person to move in. Your RA will be stopping by to ensure you’ve completed this task during finals week. Student conduct charges may result if your room is not prepared for a new roommate. We are planning on using all available vacancies for new and returning students.

REMEMBER: You must prepare the room/suite/apartment to receive a new roommate. 

The room space should be completely vacant and in clean condition. 


END OF THE SEMESTER ROOM CHANGE 

Anyone who desires a room change for the spring semester needs to fill out the online Room Change Request Form located on the Residential Life website.

Submit the form that is marked for the area you currently live in.

All requests must be submitted via the online request form – any request made via email will not be considered.

End of Semester Room Change Requests must be submitted by Wednesday, December 5, 2012.

The following stipulations apply: Room Change to a Current Vacancy If the assignment requested is a current vacancy, the room change request will be reviewed. You will receive communication of an approved or denied request. 

If approved for a room change into a current vacancy: 

Residents can check into (pick up the key for) their new room assignment beginning at 10:00 a.m. on Friday, December 9, 2012.

All check-ins must be completed by 12:00 p.m. on Friday, December 14, 2012.

All check-outs of old space must be completed within 72 hours or by Friday, December 21 at 12:00 p.m.

Failure to complete the move by this date and time may result in the request being denied

A resident’s belongings CANNOT be left in the old room, unless the request is cancelled and the resident stays in their previous assignment.

Room Change to a Currently Occupied Assignment If the assignment is currently occupied for the Fall 2012 semester and should be open for the Spring 2013 the request will be reviewed. You will receive communication of an approved or denied request. 

If approved for a room change into an occupied space: 

The resident will need to arrive to campus and check in on Friday, January 18, 2013 to complete the room change process.

The resident must check out of (and return the key for) their previous assignment by noon on Monday, January 21, 2013.


Damage Charges and Billing The Office of Residential Life staff will provide an opportunity for an escorted check out when a student is not returning for the spring semester. This is not the time to dispute charges. The RAs simply note the condition as they see it and the final inspection is conducted by facilities. Any damages and cleaning costs are determined by the Facilities Department and Residential Life. Do not wait to see if you get a bill, discuss with your roommates now if there are known issues in your room and to ensure the appropriate individual takes responsibility. Keep in mind that it is against The Source and Housing Agreement for any individual other than Facilities Department staff to make any repairs to damages in your assigned space. Any attempt at repairs will still result in charges for the initial damage as well as undoing attempted repairs. Students are reminded to monitor their University of Hartford email account throughout the year, including during semester breaks. Quiet Hours are intended to provide an atmosphere conducive for all community members to study and sleep during the final exam period. Students who violate quiet hours are subject too immediate removal from the residential area.

Late Stay requests are granted to students with extreme circumstances which allow them to stay a bit longer after their last final exam. However, all students must leave by Sunday, December 23, 2012 at 8:00 a.m.

Winter Ter m classes give students an opportunity to accelerate their degree attainment. For more information regarding:

Early Ar rival requests by students not taking a winter term class will begin on January 4, 2013. Residents will not be able to return to the residence hall no earlier than 12:00 p.m. on Sunday, January 20, 2013. All doors will be secured and card access will not be available, unless a student had been approved for winter term or an early arrival. See website for
