In an effort to assist our rental customers in their event planning, we have produced this directory which will cover the “need-toknow” rental information, and become a resource for you to find special event services.

NEED TO KNOW INFORMATION Whether you are renting space at RIM Park Manulife Financial Sportsplex, the Waterloo Memorial Recreation Complex, Albert McCormick Community Centre or Moses Springer Community Centre there is information that you as event organizer need to know.
Advertising There are many advertising opportunities available for your event within our facilities and publications. Advertising options include: facility staff can post flyers you provide on our information kiosks electronic signage at RIM Park and WMRC outdoor electronic signage on the corner of Erb Street and Father David Bauer Drive rink board advertisements Program and Activities Guide advertisements posting information on the City of Waterloo’s online event calendar For more information on advertising your event through our channels, please contact the appropriate Client Services Coordinator. page 3
Deposit and Cancellation Deposit and cancellation details are outlined in individual contractual agreements.
Electrical Services Electrical components differ for all events depending on the scale and electrical components necessary for the event. An electrical inspection may also be necessary and fees vary. Inform the Client Services Coordinator of any electrical needs your event may need. By doing so, we will ensure your event’s electrical requirements are safely met.
Event Agreement All special events are subject to a signed agreement by both the City of Waterloo Facility Manager and the client. The Client Services Coordinator will coordinate this agreement.
Food Services Policy Compass Canada is the Resident Caterer for all City of Waterloo facilities. Compass can be contacted via the information provided in their ad under “Caterers”. If event organizers choose to not use Compass Canada, there is a fee applied, and it is based on the number of people served at the event. Compass Canada holds the liquor license for all City of Waterloo facilities (indoor and outdoor). Please refer to the Food and Beverage Services section of our website at www.waterloo.ca/rentals.
Hawker Peddlars’ License This license is required for all bookings or events where merchandise will be sold. Please contact the City of Waterloo Clerk’s Office for related fees at 519-886-1550. A proof of this license will need to be provided to the Client Services Coordinator.

Hold Harmless A Hold Harmless release form must be completed and signed for any goods or equipment stored within the City facilities. This release form is available through the Client Services Coordinator.
Insurance Insurance is mandatory for all events. The City of Waterloo requires a five million dollar liability coverage proof of insurance. Such policy must name the City as an additional insured. A copy of this insurance must be provided to the Client Services Coordinator.
Internet Services Free public WiFi is available at most City of Waterloo facilities. When searching for wireless internet on your device, choose “Waterloo Public Wifi� and you will be connected to free internet. For dedicated lines suitable for point-of-purchase or similar uses, please contact the Client Services Coordinator in advance of your event day. Hook up and access fees apply.

SOCAN Fees SOCAN is a royalty fee paid to the Society of Authors and Composers when music is played in a facility. Rates differ for each type of booking or event. For more information please refer to www.socan.ca
Ticketing Services The Waterloo Memorial Recreation Complex offers a complete box office ticketing service. Further information can be obtained through the Client Services Coordinator. There are no box office ticketing services available at RIM Park Manulife Financial Sportsplex, Albert McCormick Community Centre, or Moses Springer Community Centre.
