When a hotel sets out to make changes for the good of the planet in particular and society in general, it is very common to start the process by first looking at our own operations and make the necessary adjustments as to how we run our operations. However, procurement plays a vital part in a hotel's efforts to operate more responsibly. Any business relies on a complex supply chain to keep it running and the decisions made in the purchasing process can have far reaching impacts in terms of how those products and services are sourced. By passing on your requirements and ethos to your supply chain it is possible to ensure that you only deal with products and services that meet your own principles. In this month's edition of our newsletter, we will try to give you useful information that will hopefully inspire and help you to improve your purchasing policy to sustainable standards.

Trends that drive us: While much of what you read here is seemingly a blinding glimpse of the obvious, it is so often forgotten in the heat of the purchase. If you believe you are doing everything possible to be a considerate purchaser then perhaps use this as a check off list – just to be sure. If not then hopefully this will help you to do so. Some key examples could include: Ensuring that products have minimal environmental impact in manufacture, use and disposal. For example, high recycled content, low energy equipment, organic ingredients, biodegradable materials and packaging. Local sourcing where possible. Food and beverage departments can have a significant impact in this area, working with local producers and farmers. The use of local crafts and trades in any works undertaken will also support local businesses. Consider setting a maximum radius for a percentage of your procurement to originate from. Seasonal sourcing. Again, very important for food is to work in keeping with what is available at different times of the year. Avoid shipping in ingredients from half way around the world if not in season. Ethical sourcing. By purchasing through certain accredited processes it is possible to guarantee fair and decent wages and working conditions for those providing the item. For example Fairtrade produce gives farmers a better deal, allowing them to take control of their futures. Making a clear and well thought out commitment to responsible procurement will not only help you to achieve your environmental goals, such as reduced carbon footprint or cutting waste, it will also have many social benefits like engaging with local communities or providing trade to less-developed nations. Once a policy is in place, it is then very important to ensure that management and purchasing staff enforce the policy by asking the right questions and seeking the right assurances in the process. Consider how you wish to build your relationships with suppliers, by working with them to improve how they operate. sometimes be possible to work with suppliers to reduce the packaging that they provide, if it is not of use to you. They may also be able to take it back and use it again. Ultimately, a lot can be achieved by selecting your supply chain carefully, and as a result this will only serve to improve how all businesses operate in a responsible manner with each other rather than in an isolated way. CH has produced a short guidance note for members on how to create a Considerate & Responsible Purchasing Policy, this can be downloaded here. Additionally we give a huge amount of importance to responsible purchasing policies for the entries to ALL categories of our Considerate Hotel of the Year Awards, so as a reminder to all preparing their applications, the more detailed your policies the better chances of winning you will have. Another interesting document for reference is the Green Source Guide, which CH published in conjunction with the London Development Agency, and with the help of several purchasing directors from member hotels. and when attending public events, hosting members of the press and in marketing material. As an example, the hotel uses Hypnos beds: not only are these a luxury bed company providing a great sleep for guests but they are also 100% recycled beds. They ensure the wool used to make every mattress is from British Sheep and are active supporters of Prince Charles’s The Campaign for Wool. Hypnos has also developed a retailer format of its hotel bed recycling business, The Furniture Recycling Company, which collects old beds from retailers, then shreds old mattresses and divans, creating recycled raw materials for other industries.
Cedar Manor, Cumbria Food & Beverage The following are some examples of the principles followed by the hotel: local and seasonal sourcing is used wherever possible and the names of local suppliers are listed on menus and website; Seafood is sustainable and it is ensured it is not on any endangered list; Local produce is clearly listed at the bar so guests know what is available, for example, local ales, gin, damson gin and any other produce from Cumbria or the NW. For all guest chocolate and in-room treats a local supplier is chosen and marmalade and jams are home-made or locally sourced Rooms, Equipment & Amenities A local interior designer is used and the brief will always be to use sustainable materials, local craftsmen (where possible), and consider the environmental implications of all work and refits (energy and water consumption). Low energy or LED lighting is maintained throughout and a local lighting company is used for supply and advice on technology. Lead free paints and recycled materials are also used wherever possible. Gilchrist and Soames’ “Sprout Out” range was selected for the rooms. The hotel ensure these products are recycled after use. Nominated local suppliers are used for all equipment. Many of the hotel’s non-food and beverage suppliers are from the South Lakes. This includes cooking equipment, bathrooms, furnishings, interiors, flooring, stone work and building trades. within 5 years.

The Landmark Hotel, London The Purchasing procedures at the Landmark London support the hotel’s sustainable procurement strategy and, where possible, this includes food, beverages and all products. Examples of how the Purchasing Department at the hotel support sustainability include: - Buying local, seasonally available ingredients where possible (list here), to minimise energy used in food production, transport and storage. - Purchasing food from farming systems that minimise harm to the environment, such as certified organic produce. - Reducing buying of fish species identified as most at risk by the Marine Conservation Society, and purchasing fish from sustainable sources such as those accredited by the Marine Stewardship Council. - Buying where possible Fairtrade certified products for foods and drinks imported from poorer countries, to ensure a fair deal for disadvantaged producers. All new suppliers must answer a Supplier Screening Questionnaire detailing how the supplier operates as a responsible employer and asking for information on Environmental Issues including their Environmental policy: the Purchasing department conducts fresh food supplier audits by using a supplier questionnaire. The hotel also work with suppliers to reduce packaging to a minimum, and have a return system where possible.

London has an extensive and wide scoped Responsible Business program. In keeping with these policies Rythms by Design conducted the sourcing and procurement for all in - room “dry” amenities for guest bathrooms. The brief was to focus on being cost effective, high quality and responsibly produced. These amenities included: - Organic loofah: Sourced direct from farms in Egypt (considered to be the world’s best producers of quality organic loofah). Interestingly a number of hotel guests later made direct contact with Rythms by Design in order to seek information how they could purchase additional loofah since they were so impressed with the quality and performance of the loofah. - Natural sponges: Sourced from the deep waters of the Caribbean (known for its high quality and performance). A French based company sources and works directly with the fisherman in order to guide and ensure responsible harvesting of the sponges without harming the marine ecosystem - Organic Cotton amenities (including cotton wool, ear buds etc). These are the only certified organic cotton amenity producer in Europe. - Organic Cotton Pouches to hold various amenities. Produced by women coops in Nepal.
Aman Spa at The Connaught hotel Both Aman Resorts and Spas and The Connaught hotel each have a set of responsible business and responsible luxury programs and policies, which all contribute towards enhancing the wellbeing of people (especially guests and the local community), planet and profit. Rythms by Design sourced and produced all the various types of high quality, performance oriented and organic spa linens, toweling’s and accessories that are being used in The Aman Spa. Also included was the guiding and assisting to ensure maximum after care of the textiles being washed in the laundries.

business today without considering how your endeavours impact on the world, communitites and the long term viability of your product or service. Why is it so important? Because it says so much about your business, people judge your ambition, your value and your quality by your efforts in this area. Its also a key aspect that both potential customers and press look at to differentiate you from your competitors. Standing out from the pack is the number one goal of our coffee business. We loved the convenience of Nespresso machines but just hated the complete lack of ethics. We use a recyclable pod and we only buy the best organic and fair-trade coffee beans. It is incredibly important that we work with the small producers at origin who we know our business makes a difference to. Often people point out that striving to be sustainable costs more money and sometimes it does. But I would encourage people to look at this cost as a market spend. I don't know one business who strives to do their best sustainably that has a poor product or service. Be open minded, take a leap of faith and never ever give up. An unforgettable place I travelled to in the last year I went on a solo surf trip to the north coast of Cornwall this year, rented a van, threw a mattress in the back and cooked on the side of the road. I need a yearly 'back to basics' trip to clear the mind and soul. My favourite hotel The Ravesis bondi. I love that one of the best beaches in the world is its home and I love the that the ground floor is 99% cocktail bar 1% reception desk. I also met Owen Wilson the night I stayed there. What does our “Topic of the Month� mean to you To me it means an opportunity to do some good. By purchasing responsibly we can also look at reducing waste.
