Floating Rate The Floating Rate feature allows you to link a Rateplan to your Default Rateplan. When you increase or decrease the rate on your Default Rateplan, the rate for this ‘Floating’ Rateplan will be automatically adjusted. A new section will expand as follows:
You can use the floating rate in three ways as outlined below.
Option 1 – Percentage OFF Best Available Rate
In this example, the system will take 10% off your Best Available Rate. When you change your BAR in the future, this tariff will be automatically adjusted. E.g. Advanced Purchase Rate
Tick here to recalculate the rate based on your default rateplan Ensure to recalculate the correct date range. E.g. If you only give 10% discount for the next 14 days, please set accordingly. No other rates will calculate outside of this range

Option 2 – Flat Rate ON to Best Available Rate
In this example, the system will add €20 onto your Best Available Rate. When you change your BAR in the future, this tariff will be automatically adjusted. E.g. Rateplan with Dinner or other Enhancements

Option 3 – Flat Rate ON to Best Available Rate (Based on Max Number of Adults) In this example, the system will add 10 onto your Best Available Rate based on the maximum number of Adults in that room type. (10 for Singles, 20 for Doubles, 30 for Triples) E.g. Rateplan including Breakfast

Step 5 – Decide for what room types and URLs to make this Rateplan available
Select which Room types you would like available for this rateplan
Select which URL’s you want the tarrif to show on
Add Specific Terms & Conditions that apply to this Rateplan Only. These will appear on the Booking Confirmation that the hotel and the guest will receive. This field can be left blank if there are no specific T&C's for this Rateplan.
By default, all booking confirmations will go to the main hotel contact email address. If you wish to send a copy of the booking confirmation to a 2nd email address for this tariff, enter the email address in this field.
For multiple recipients, separate email addresses with a comma (no spaces). (e.g. recipient1@hotelname.co m,recipient2@hotelname.c om)
Please click ‘create’ to complete the setup of your new rateplan. Remember:
This field can be left blank.
If the rate is the Default Rateplan or not a floating rate, remember to add rates (see page 12)
If the rate is the Default Rateplan or not pulling from Central Availability, remember to add availability (see page 14)
Every time you create a new rate plan, you will need to go to enhancements and turn on applicable enhancements to this rate (see page 23)

Change Rateplan Name Please click on the name of the rateplan.
Click ‘Rename’ at the bottom of the Tariff Details page
Please confirm that you are sure that you wish to rename the existing rateplan
Enter the new name for the rateplan here Change the URL of your rateplan to match the new name. Simply copy and paste the name into the URL. Important: Replace capital letters with lower case letters. Use hyphens rather instead of spaces. Do not use any special characters
Remember that if you rename a rate plan, the reporting will not differentiate between the two and will report as one Rateplan under the new name. If you want to keep separate statistics, we receommend cloning the Rateplan.

Clone a Rateplan You can clone a rateplan in the rateplan overview if you want to adjust a previous offer, but keep the existing one.
To create an exact copy of an existing rateplan, please click ‘Clone’
Once you are sure that you want to create a clone, please click ‘ok’ You will then receive a confirmation message. Click on the hyperlink to continue.
The clone has been created in your Rateplan overview. Please ensure that you rename the rateplan accordingly and set new rates

Rooms In this section, you can create and update your room types. To set up a new Room Type, go to Administration > Rooms and click on ‘Add new Room Type’
Drag and drop the room types to change their display order (same function as Sell Sequence)
Check the minimum and maximum no of occupants in the room types
Check whether your room type is currently enabled
Add New Roomtype Enter Name of Room Enter Description of the room type
Enter your own singular and plural expression of the room type e.g. Naming-Singular: “House” Naming-Plural: “Houses”
Enter any additional benefits of the room to be emphasised. This will not automatically show on front end
If left blank, this will show “Room” and “Rooms” by default.
Enter min number of occupants – remember that rates will be set as rate per room. Enter max occupants – this is total of adults & children allowed
Insert an image from Net Affinity Image Gallery
Insert an image of the room to be displayed on the booking page Image will be resized automatically

Enter the adult as rate per room children and others are all entered as rate per person as they are charged per person in rates. Occupants can be left blank if not applicable to the room type
Insert the sell sequence – this is the order in which room types will be displayed
Tick to enable the room to be booked online
Tick to allow this room type to show up as an upgrade option at the booking stage. Useful to upsell executive / suite rooms etc.
Room From – Check Availability Page This field is determined in each rateplan. If left blank, the system automatically pulls back the cheapest rate available. You can decide to hide a room type from this calculation e.g. hide Single Room cheapest Double Room rate will be displayed automatically Example: Lowest Price Calculation
Important: Upgrade will only work if min and max occupants for both rooms are the same.

Rates To Load Rates, go to Administration > Click on Rates
From the drop down list select the rateplan you wish to update rates for
Defaulted to update adult rates. You can also set a supplement for any other occupant e.g. Child. If there is no extra charge for the extra occupant, a zero rate must be set. Only then will the occupant appear on the website.
Insert the relevant dates and click on show rates before making any changes. Ensure that you can now see the required dates.
Insert the rates for each room type – rates are loaded per room per night. Rates can be uploaded for more than one room type at a time. If you don’t wish to sell a room type for a specific rateplan, please leave the field blank. If this room type already includes a rate that you no longer require, set the rate to n/a.
Once rates & dates have been entered click set rates
Use the predefined tiers to enter your rate bracket. See page 15 to set up TIERS
This tool allows you to select the dates needed e.g. each day / all midweek / weekend / each Monday. It is a quick way to update multiple dates quickly. (Click on ‘on’ beside each day or all days to select)

Note: For longer stay rates - if packages of 3 or more nights are being set up, remember the rates are still entered per room per night, so the average figure over the stay may not be even – e.g. €169pps 3B1D is €338 in total, per night this is €112.666 which would not display clearly. Divide rate over the stay e.g. 2 nights at €112 and 1 night at €114.

Tiers The Tiers can be used to predefine your rates. Choose the Rateplan for which you wish to set up Tiers and click on ‘edit’
Enter the price brackets for each room type as below and click ‘Save Changes’
Your predefined rates will now appear in your Rates Overview (ADMIN – RATES)

Availability To update availability, go to Administration > Click on Availability
Select the rateplan to update availability for – if all Rateplans are being pulled from central availability only your default rateplan will appear in the dropdown
Insert the date range to be updated and click ‘show availability’
The same as updating in the rates screen here you select the dates needed e.g. each day / all midweek / weekend / each Monday. It is a quick way to update multiple dates quickly. (Click on ‘on’ beside each day or all days to select)
Ticking theses boxes mean that any cancelled rooms will return availability to be sold again. This will leave an * beside the number of rooms below
Insert the availability for each room type Availability can be uploaded for more than one room type at a time
(co) means that there is a closeout in operation, which overwrites your availability
Once availability & dates have been entered click set availability
n/a can be an indication that all rooms have already sold out

Occupants To add a new Occupant, go to Administration, click on Occupants, click on ‘Add new Occupant’
Input the name of occupant in singular and plural
Input age of occupant (not visible to customer) To display age on frontend, please enter name as follows: e.g. Child (under 12)

Closeout To set a new Close Out or Re-open, go to Administration > Click on Closeout
There are four closeout or re-open options: Whole Hotel Room Types Rateplans Enhancement
Key for status of hotel | room types | rate plans
To Close out a date, room type, rateplan or enhancement, tick the relevant green box and click save close out e.g. To close whole hotel for 5th & 6th May, tick the date then click save close out. The date will change to red

To close out a particular room type, rate plan or enhancement, tick on the relevant dates and click save close out e.g. to close out Family Apartment for 13th & 14th May, tick the dates
Click save close out and room types will change to red
Follow the same steps to close out rateplans and enhancements

Min. Stay To set a minimum stay, go to Administration > Click on min. Stay
Select the dates Insert the minimum stay Click on the relevant dates then click ‘Set Minimum Stay’
To set the minimum stay for the whole hotel, use ‘Global Minimum stay’ To set the minimum stay for a particular room type, choose the according field next to the room To delete the minimum stay for a particular night, click on ‘cancel’ next to the date or simply tick the dates and enter zero.

Hotel Information To update Hotel Information, go to Administration, go to hotel info, and click on Hotel Information
Enter Hotel contact details. The main email contact can only be modified by contacting Net Affinity
You may enter an e-mail recipient for daily, weekly and monthly reports. E-mail addresses should be separated by comma
You can also provide a different e-mail recipient for your Accounts. The remaining information is provided by Net Affinity
Activate each of these performance reports to receive regular update on bookings numbers, revenue and no availability stats Receive notice when your availability is low for any of your room types
You can edit the description of your hotel as below:
Simply click on ‘Edit Hotel Information’ and the fields become editable

Hotel Terms & Conditions To update the Terms & Conditions that are shown during the booking process, please click ‘Edit Hotel Terms’
Hotel Emails To update Hotel Emails, go to Administration and Hotel Emails
You can change the Default Terms & Conditions and add additional remarks to the customer’s confirmation email.

ENHANCEMENTS Enhancement Categories To add a New Enhancement, go to Enhancements Each enhancement must be connected to an enhancement category so first set up the category then the actual enhancements e.g. Category: Selection of Wines Enhancement: White Wine, Red Wine, Rose Wine

Control the tariffs enhancement categories will appear on

Insert the sell sequence. This controls the order the enhancement categories will be displayed in

Enhancements Once you have set up the enhancement category next set up the enhancement, click on enhancements
From the drop down list link the enhancement to the relevant category
Enter name of enhancement here Enter a description of the enhancement here. This is visible on the booking engine, text needs to entice guest to select the service
Enter email address to be cc’d. Can be left blank, all enhancements are automatically included on reservation email
Tick to link the enhancement to the number of guests the booking is for Tick to link the enhancement to the number of nights the booking is for
Enter the price of the product / service
To allow hotel notice to organise wine etc. enhancements may need to be limited to 1 to 2 days prior to arrival
If you use the loyalty scheme function, identify how many points can be earned and for how many points this enhancement can be purchased
For example dinner could be linked to the number of occupants and number of nights so the booking will automatically add on dinner based on the number of adults and nights staying
Attach an image to promote the product service. This can be left blank. Recommendation: Add image to each category, but not individual enhancements
Insert the sell sequence – this allows you to organise what order the enhancements appear within the enhancement category If the enhancement is time related e.g. dinner reservation or spa treatment then tick this box. This can be left un-ticked if not needed # of people the reservation is for (e.g. table of 4 or spa-treatments for 2

VOUCHERS Voucher Groups To Set up Vouchers, go to Vouchers There are two sections to vouchers; firstly set up the voucher groups and then set up the individual vouchers
The code is not visible on the frontend. Please re-enter the name of your group or use G1, G2 etc.

Vouchers Once the Voucher Group is set up, click on Vouchers and click on Add New Voucher
From the drop down list select the voucher group the voucher relates to Insert name of the voucher

Click ‘update’ once all information is entered
Voucher Orders Go to Vouchers, click on voucher orders Voucher order section keeps a record of each voucher order. If the guest selects the option to receive the voucher by email, the voucher is marked as paid and the date and time of when the voucher was sent is recorded. (see v00027 below) If the guest selects the option to send the voucher directly to the recipient by post, the voucher is not marked as processed. The hotel should click on ‘Mark as Paid’ under actions to record the date and time when the payment was taken. Also click on ‘Mark as Sent’ once the physical voucher is posted out. (see v00028 below)

Events Event Groups Event groups (Festivals | Sports | Seasonal etc) can be set up to group similar events together. To Add a New Event Group, go to Administration, click on Events, click on Add New Event Group
Enter a code for this group that reflects the name of the group, e.g. group – concerts Code – concerts
Enter short description of the event group Sell sequence in the group. This controls the sequence event groups appear in Enter a title for your event, description and keywords into this section for SEO purposes

Events To Add a New Event, go to Administration, click on Events, click on Add New Event
Enter a description of the event sporting / concert / festivals / in-house events
Input the relevant dates. If the event only takes place on one night, make it valid until the next day anyway. Otherwise it will not show on your website
Load a relevant image for the event – helps events to stand out Stock Image Gallery is also available for use (see p. 22)
Link the event to a relevant event group or select ‘none’ to display the event under no particular group
Link the event to a relevant package or rateplan available for the dates of the event – this increases the likelihood of a possible booking converting, select ‘none’ to display all Rateplans for certain events

Corporate Clients To set up a Corporate Client, go to corporation, click on Corporate Clients
Insert a reference code for the company. This code can be entered into the rate code field to access the corporate rate

Wedding Clients To set up a Wedding Client> Weddings
Insert a reference code for the company. This code can be entered into the rate code field to access the corporate rate

Packages Module The Packages Module within the Net Affinity booking engine allows you to create code to give to clients to offer them the option of several rateplans – 1 night, 2 nights etc. with only 1 code. The code will bring guests to a page dedicated to their event – using their images, description and dates, while allowing the hotel to use generic group or wedding rateplans and not have to create a separate rateplan for each event in the hotel.
You firstly need to build your rates as rateplans as you would build any other rate within Admin -> Rateplans. These can be built with the regular rateplans; they do not have to be built in the wedding or corporate module. Rate needs to be i. Hidden from General Availability ii. Not available on any grouped specials. iii. Do not put a rate code here; the rate code will pull from the packages page when set up.
These rates can be seasonal o e.g. you might build a Wedding Rate Winter 2016 valid from 1/1/16 to 30/4/16 and a Wedding Rate Summer 2015 valid from 1/5/16 to 30/9/16 that you offer to weddings in the respective seasons o or Wedding Rate A €99 BB, Wedding Rate B €109 BB, whichever works best for your business For availability, these rates can either pull from o their own availability if you are offering a limited number of rooms or o from central availability if you are offering all rooms in the hotel on an exclusive basis (please remember to close out all other rateplans on the dates in this case) Please ask your account manager for advice if you are unsure which way will work best for your hotel.
Under Packages (Admin -> Packages) build a new package

Name – Bride & Groom’s Wedding or Company’s Event ( this is only seen on the booking engine) Valid From & Valid To – dates of the wedding, the dates that you would like guests to stay on. This will appear on the date boxes under the rateplans for the guest Package Code – this is the promo code that the bride and groom or event organsier will give to their guests to book. i. Keep this simple, but it needs to be unique to each wedding, e.g. brides initials plus the date, e.g. Kate O’Brien & Alan Murphy getting married on the 6th June could be OBM0606 ii. If the guests use this code on the searchbox with an incorrect date, it will show the package page with the correct dates regardless Make Public – this needs to be ticked to allow guests to use the code and see the page Notification Email – this is a new feature, you can put the brides and /or grooms or clients email address. They will receive an email for each booking or cancellation associated with their wedding. The guest will receive the same confirmation email as the guest. URL – this will be filled in when you save the event Page Title – this is the name of the page that the guests will see on the site Page Description – this is a description unique to each wedding that can be edited and formatted. Suggestions to include here i. Message from Bride and Groom to their guests ii. Details and timings of the wedding day iii. Information about activities the day after the wedding SEO Title, Description, Keywords – these do not need to be filled in. Upgrades To View Room Upgrades Report, go to reports, go to Upgrades The report shows room types selected, before and after they upgrade and the option to view the booking Enter the relevant date range, then click apply filter
Report shows the room selected and the status after the upgrade stage When the room type is being set up, it is at this stage where the room is ticked to allow upgrades to it (Go to administration, click on rooms) Tick to enable the room to be booked online Tick to allow this room type to show up as an upgrade option at the booking stage. Useful to upsell executive / suite rooms etc.
