CRA’s client has a globally-certified environmental management system extending to its exploration and production operations in various jurisdictions. Its activities at its head office were not included in the EMS, and it was decided to develop an integrated EHS management system (EHS MS) for the operation, management and maintenance of the corporate headquarters in London. CRA initially undertook a detailed gap analysis of the activities and existing management processes at the headquarters buildings, which accommodate approximately 1,000 staff. Two checklists were developed, based on the requirements of ISO 14001 and OHSAS 18001, and the gap analysis was undertaken by specialists in both environmental and health and safety management. The report from the gap analysis provided recommendations for the approach to developing and implementing an integrated EHS MS, including the designation of responsibilities for the EHS MS. CRA worked closely with the client’s facilities management team to develop the integrated EHS MS manual and procedures, which were also designed to be consistent with other management systems used by the client. However, rather than adhere to the management system structure set out in ISO 14001:2004, it was decided to adopt the new ISO management systems structure that ISO 14001 will follow when a revised version is published in 2015.

The work to develop the EHS MS included regular meetings with the client’s staff to ensure that all documentation was developed in collaboration with the end users. Steering group meetings were established to involve staff from a range of functions including, HR, IT and procurement, and whose roles and responsibilities related to EHS management. Consideration was also given to existing relationships with facilities management and maintenance contractors. CRA also developed detailed registers of EHS legislation, environmental aspects and impacts, and health and safety hazards and risks.
