Foreword With new technologies and the use of online communication ever growing, the way that people consume information is changing and evolving. While online networks shouldn’t replace physical connections, it’s increasingly important to utilise and integrate online communication channels into your practice, to help strengthen, share and involve people in the work that you’re doing. There are many tools you can use to help bring clarity and structure to your messaging, drive momentum and help build a community around your cause. However, it’s important to understand that each tool has it’s own role to play, and the intention for using each tool needs to be clearly defined. The following document serves as an introductory guide to digital communication strategy and tools. While it certainly isn’t a definitive list of everything online, it offers a taste of some of the prefered tools that exist, why they could be used, and how to access them to get started.

What is a

Digital Communication Strategy? A digital strategy is the who, what, when, and where of listening and responding to your community, sharing your cause or purpose and collecting and activating relationships in order to accomplish an actionable and measurable objective. As such, before you begin, it’s important to understand what you’re trying to achieve as an organisation, and how you see the use of digital tools assisting you in meeting your goals.

Why develop a

Digital Communication Strategy? With the many communication channels available both online and off, it’s increasingly difficult to reach and engage your community. However, a considered digital strategy should help to create a road-map for your online activity that will help you navigate its many tools, understand where and how your audience is currently communicating, and help you use digital tools in the most effective way. It’s important that your digital strategy is informed by, and integrates into, your broader communication plan. Rather than creating an extra stream of work, your digital strategy should complement and extend on events, activities, key milestones and organisational objectives. Your digital strategy needs to be realistic about your organisation’s current digital footprint vs. how you’d eventually like to see your organisation utilising online tools to ensure that it’s practical and realistic to action and achieve.

How to develop a

Digital Communication Strategy? Digital strategy is going to be vital for not-for-profit organisations as they work, connect and collaborate in the future. Leaders who embrace the challenge and help to move their organisations forward in the digital world will need to look at a number of different areas to make the right decisions.

How to create a

Digital Communication Strategy? To create a viable digital strategy we need to ask ourselves some very specific questions. No matter if you are just starting out, or have been exploring digital communication for some time, it’s recommended that you explore the following questions, to help inform your digital strategy: 2.

1. Who is your primary target audience?

What are the strategic objectives of your organisation?

. 5.

1

What is your cause? What are you working to achieve?

Who do you need to involve to achieve your goals?

3.

4. What is the current operations model for your organisation? What capacity do you have for implementing digital communication? Who will be responsible, how much time is allocated ?

What is your organisation’s point of difference? What makes your organisation unique?

7. What is the timeframe you have to achieve the previous objectives?

6. What is the budget/investment the business will need to make in order to deliver your digital marketing strategy??

What is the purpose of your digital presence?

Once you understand these 7 points you can then‌ Curative Online Toolkit

Plan

how best to reach your audience online By understanding how your audience currently communicates with you, and with each other online, you can ensure that you are communicating with them in the spaces that they are most likely to engage in.

Craft

your story and brand message Storytelling is highly beneficial to any organisation when it comes to digital communication. People want to connect with you before investing in your cause. As such, it’s important to craft your story and messages, in a way that will help your community identify a meaningful value or relationship with your organisation. You may also need slightly different messages for different segments of your organisation. For example; potential donors are likely to be interested in hearing why your cause is important, while current supporters will want to see the impact their contribution has made.

Measure

growth or changes in audience over time Using Google Analytics, Twitter Ad Analytics, Facebook Insights and the many other services readily available for little to no cost, determine your organisation’s digital impact and readapt your digital strategy. There might be a new social platform ten years from now that could highly benefit your cause, or maybe a new generation of potential donors will feel differently about how they contribute.

MailChimp MailChimp

@

www.mailchimp.com

$

Free!*

What:

Why:

MailChimp is a simple email marketing service. It helps you build databases, design email newsletters, send bulk emails out to your networks and easily track all of your results.

Most email providers like Gmail, Yahoo and Outlook, are designed for one person to send just one email to only a couple of people at once. This can be a problem when you have a large database of people/ members you need to get in touch with. MailChimp makes it easy to reach a large group at once.

Top 5 reasons you should be using MailChimp: 1. Approved bulk mailer. Most email service providers limit the number of emails you can send at one time. This is designed to prevent spamming, but can become frustrating if you are trying to get a newsletter out to a large group of people. MailChimp however has an approved bulk mailer and you can contact an almost unlimited number of people at any given time. 2. Customisable. With MailChimp, you can theme and customise your email to fit with your brand and the content you want to share. You can also easily segment your database so that you can send emails to selected groups. 3. It’s a law abiding citizen. In this day and age it’s required by law to provide an unsubscribe link to all your emails. Not only does MailChimp provide this on your behalf, it also asks your members why they are unsubscribing valuable information to get your hands on.

31

Curative Online Toolkit

4. Compatible with almost every device. When MailChimp sends you an email, it gives you the option of how you wish to see it. You can view the message in full HTML style or just text only. You can also follow a link to read the message through your web browser, rather than on email. 5. Know if people are reading your emails. MailChimp provides automated analytics so that you can see who is reading your emails, with stats on opened, vs. unopened messages, links clicked, and if your email has been forwarded on. This helps you understand how people are interacting with the information you’re sending, and can allow you to tailor future content to get the results you want.

What:

Why:

YouTube is the largest video sharing site in the world.

YouTube is the perfect tool if you want to access, upload or promote videos.

Top 5 reasons you should be using YouTube: 1. Establish your name. Grow your brand. Video is an effective way to grow and establish a brand. Video for storytelling enables an organisation to not just tell a visitor who they are and what they are about, it enables you to actually show them. 2. Start a conversation. Videos are easily and often shared, and YouTube’s comment function allows people to have a conversation around a video that’s posted. 3. Drive people towards your website. Video content is proven to help increase traffic to a website or Facebook page; and the additional conversation and traffic that you drive to your site, will also help to improve your search engine ranking, making it even easier for people to find you and your organisation online.

4. Create your own channel. If you are uploading a lot of video content you can create your own YouTube channel which makes it easy for you to store your video content in one place, and even easier for people to find and watch the videos you produce without having to search too far. 5. Learn how to do almost anything. More than 24 hours of video content is uploaded to YouTube every minute. This means that there is an enormous repository of content, allowing you to search for and learn how to do almost anything, whether it’s how to save a document or how to ice a cake.

In Summary While this resource is an introductory guide to digital communication strategy and tools, it does not provide a definitive list of all that is available. With the plethora of tools and technology solutions available, it’s easy to get overwhelmed. As such, it’s recommended that before you start exploring and using online tools you: • Outline a clear digital communication strategy, which defines the purpose and realistic resource that can be attributed to using each tool. • Don’t feel like you need to run before you can walk. Start with the tools that you feel most comfortable with and then follow, watch and research new tools before using them yourself. • Have fun! Digital communication should be an extension of what you’re already doing offline, and if used well should help to simplify, strengthen and increase the impact of the work you do each day, not create more work or make things harder.
