School site

Your classroom resources online, anywhere at any time. This guide will introduce you to your school site inside Office 365. It will provide you with an overview of what’s available, navigation directions and all you need to start building and using your school site.

School Site Within Office 365, staff and students have access to news and current events going on within the school: – Staff and student resources can be maintained in a central location in the cloud. – Staff can add news, maintain a school calendar and link to other sites. – Featured news gets extra focus with the ability to add graphics and multiple items in a slide show. – News, calendar items and links can be restricted to “staff only” or made available to everyone. – Staff can easily create a class site. Welcome to Office 365 About Office 365 Office 365 is a cloud-based system offering email (Outlook), instant messaging and virtual conferencing (Lync), intranet (SharePoint) and online storage (OneDrive for Business), along with access to the Microsoft Office desktop applications, offered under the DEECD-Microsoft agreement (2013–2018).

Starting up

Logging on

Open a web browser and go to the following address:

Students

Students who have returned their http://cloud.<school name>.vic.edu.au parent/guardian consent form will use their eduPass (IDAM) username Substitute <school name> with your and password. school’s domain name. Example username: jcsml123

Teachers Teachers and staff use their ‘eduMail’ username and password. Example username: 01234567

School site areas The school site is your one stop shop for finding out what’s happening in your school. It is also your gateway for accessing Office 365 features:

A. Calendar, OneDrive, newsfeed, messaging Tabs for calendar, news and your OneDrive are available throughout Office 365. Student access to email and Lync are also provided in this bar. B. School branding Personalised to your school, in a format consistent across all schools. C. My class pages Available from a pull down list, displaying only classes relevant to you. D. School resources Available to staff and students, a collection of tools can be listed here for high visibility. E. Staff sites Faculty can share resources without them being available to students.

F. Featured school news items Front page news items, animated into a slideshow with images for extra emphasis. G. School calendar Staff and Student calendar of events linked to Outlook. H. School news items Dates can be set so information only appears when relevant. I. You might like Recommended sites and resources.

Teacher tools When viewed by a teacher, the school site offers a number of functions that teachers can use:

While many of these tools are also available within class sites, it is important to note that within the school site, changes made will affect the school document and picture libraries, not those within class sites. Teachers could create a new class from the school site, but you may find this has already been done for you. Further information on creating a class site is covered over the page, within “Admin tools” section.

Creating a survey Surveys can be used to gather opinion on a given topic. Results can be exported to a spreadsheet or viewed graphically within the site. Notifications can even be sent to your email when someone completes it. New school surveys get added to the “You might like” links on the school site.

Upload to picture library Uploading pictures to the school site allows you to keep a library of images available for everyone to make use of. This is achieved through “Upload to picture library” in the teacher tools menu. Items added on the school site contribute to the “Pictures” library available from the “You might like” links on the school site.

Upload to document library Teachers can upload documents to the school site by clicking “Upload to document library” from the teacher tools menu. New documents are added to the “You might like” section of the school site within “Documents”.

Admin tools The Learning Technologies Coordinator is provided with a pull-down that is not visible to others: “Admin tools”. While many entries are the same as those within Teacher tools, some extras are there to administer the school site:

Create a new class Clicking on “Create a new class” will take you to a wizard where you can add the class name and a brief overview of the content. Next, you’ll need to add the teacher and student names:

As you type their names, a list of matches will appear. By listing the correct students, they are assigned to the class, such that they can submit work. By selecting the correct teacher, they can maintain the site, receive work and add content. For further information on using your class site, refer to the Microsoft Office 365 Class Site Guide.

Changing the main site logo and name Selecting “Change logo and site name” from within the Admin tools menu allows the Learning Technologies Coordinator to adjust the school’s logo and title, with a field to include a description in place of the banner:

Changing the main site theme The Learning Technologies Coordinator can also customise the colour theme and background image of the school site within the Admin tools menu by selecting “Change theme”. Once a background is chosen, you can select a custom colour set and font. When making adjustments, you get to preview the site with them applied – then one final chance to confirm your choice by clicking “Yes, keep it”.

Adding a link to the staff sites menu The drop-down menus on the main site differ according to who is viewing them. While students only see “My classes” and “School resources”, staff also get “Staff sites”. Adding links to “Staff sites” is achieved using the “Add to staff sites” button in both the Admin and Teacher tools menus. Paste a link into the web address box, a description and some further detail about the destination. Once complete, click Save. If your link is not available from the “Staff sites” menu, refresh the page and it should appear right away.

Adding a link to the school resources menu Unlike “Staff sites”, the “School resources” menu is viewable to everyone, even within the class sites. Clicking “Add to school resources” will open a dialog similar to that for Staff sites.

Managing content The Learning Technologies Coordinator can edit “All content” using the “Admin tools” menu. Perhaps most useful is the ability to manage existing content on the site from one central location. Clicking “All content” will display a list similar to the example over the page:

The “All content” screen will show an item count for each area with information you may want to manage, for example, to remove a test post. Let’s click “Announcements”:

As can be seen in the image above, clicking “…” offers a number of options. Using these screens, the Learning Technologies Coordinator will be able to manage almost all areas of the site.

Editing existing content The Learning Technologies Coordinator can edit all facets of the site through the “All content” button in admin tools. Each area has it’s own button within this section. To edit an existing link within “Staff sites”, click it’s entry within the “All content” screen – adding notes or adjusting the link is just a matter of a few clicks:
