Phone Interviews

What to expect and how to prepare

Job hunting can start with a phone interview. To get the job, you need to present yourself well over the phone - say the right things, mind your tone, and be confident overall.

Phone interviews are frequently used by companies to save time by pre-qualifying your interest and expertise. The following are some recommendations to ensure your next phone interview is successful for you.

Scheduling the Phone Interview

If you can not speak comfortably when the first call arrives, ask the interviewer if you could schedule a specific time for the phone interview. Be sure to define who will call whom. It is recommended that you offer to call the company. This ensures you are fully prepared and in a situation where you can speak without interruptions. Schedule the phone interview just like you would any face-to-face interview.

Many companies schedule phone interviews in advance just as they would a face-to-face interview. It is important that you ask how much time is needed for the phone interview appointment so you schedule your time appropriately. You should not assume how long it will take. Some phone interviews may last from 30 – 50 minutes.

Find the Right Environment

Yourself Stand Up

Phone interviews place you at a disadvantage because you only have one tool of communication, your voice. The interviewer’s impression of you is shaped by all the sounds coming through the phone. Insulate yourself from distractions and background noises. Do not have your phone interview when you are surrounded by a lot of noise like an outdoor café at a busy intersection or in your living room where your room mates are talking. If the call is on your cell phone make sure the caller can hear you clearly.

When the phone interviewer first contacts you, make sure it is comfortable for you to talk on the phone for at least 20 minutes. If it’s not convenient, recommend scheduling another time for the call.

During the call you may want to standup, walk around and smile. All these things make a big difference in the projection and quality of your voice. Have paper and pen available to write down the questions they ask you. It will help you focus your answer.

Prepare Your Responses and Questions

Phone interviews follow a similar pattern of questioning with the purpose of screening you out of consideration. Below is a list of questions most phone interviewers ask. Write down and practice your responses. It is very important to think about the words you use that will show your enthusiasm and motivation since the interviewer can not see your smile. Be clear and concise. You do not have the visual cues to help you so you may need to pause and ask if that is enough or would they like additional clarification. They may be ready to move to the next question.

You should also prepare questions. Questions are your primary tool of influence with an interviewer. Questions help you direct the conversation and assess if the company is right for you.

Questions You Could Ask

Questions you ask at the beginning of the phone interview.

• What position are you considering me for?

• What are the key things you’d like to learn about my background?

Questions you could possibly ask in the middle of the interview.

• What will the first few months be like? Is there training provided?

• Describe the three top challenges that I’ll face in this job?

• What are the characteristics of people who are most successful in your company?

• What are the key deliverables and outcomes that this position must achieve?

Questions you may ask at the end of the phone inter view.

• What additional information would you like me to provide?

• What concerns do you have at this point?

• When is the best time to follow up with you?

Questions You Might be Asked

• Tell me about yourself.

• What do you know about our company?

• How did you learn about this position?

• What are your salar y requirements?

• What are your strengths?

• What are your weaknesses?

• What job-related skills have you developed?

• Where do you want to be in five years?

• Describe your communication style.

• Do you have any questions?

For more possible inter view questions, go to icc.ucdavis.edu/interview/questions.htm

Get Face-to-Face

If you are interested, ask for a face-to-face interview. Remember that your objective (during the phone interview) is to secure a face-to-face interview. You will be most effective discussing your background and assessing the company in a face-to-face meeting.

Be sure to send a thank you note after the phone interview!

Money Management Tips: 55 Ways to Save Money

Recreation and Entertainment:

1. Instead of paying for a fitness club membership fee, buy some weights or go to the ARC.

2. Don’t smoke. Cigarettes are expensive and the money adds up quickly. Also you’ll be fined if you smoke near school facilities.

3. Wait until after half-time at sport events and get in for free!

4. When eating out, look for coupons or special deals- many restaurants offer them! Also, order water. Drinks are highly overpriced.

5. At the beginning of the semester, many local businesses give out coupon books. Grab one!

6. There are hundreds of free activities on campus. Join clubs, attend student concerts, or go to church-sponsored events for cheap fun. There is usually food involved, too!

7. Illinites, student activities, happen at the Illini Union every Friday night for free.

8. Experience some more cultures while in college and attend a show at Krannert. Student tickets are $10 or less. It’s FREE sometimes!

9. If you’re throwing a party, have your guests pay a little money or bring things to offset your cost.

10. Don’t purchase a book unless you think you really want to keep it. You can check out books for free at libraries.

11. Rent movies with a group of friends or go to second-run theaters for $1 or $2 a ticket.

12. Bring your student ID when you go out for a movie. Most theaters will give discount for students.

Food and Basic Needs:

13. Be a savvy consumer. Before making a major purchase, do some researches on the product quality through Consumer Reports magazine.

14. Sometimes the cheaper product works just as well as the expensive one.

15. Ask for generic medications at the pharmacy.

16. Ladies, ditch the salon and get your hair done at a cosmetology school.

17. Buying in bulk is usually a good option, but try to shop for items by the per unit price. Often times, the biggest options is not the best way to get the most of your money.

18. Scout out garage/yard sales for housewares, furniture, and stuff to decorate your college dorm or apartment. At the beginning of each semester, the YMCA has a dump and run where they sell items collected from various dorms and apartment on campus.

19. Make things for gifts- it’s cheaper and the time you invest shows you care.

20. Take advantage of sales by buying holiday and birthday gifts throughout the year.

21. Get a job at a place where you already spend a lot of money, so you can get employee discounts.

22. Use mail-in rebates or coupons for groceries or health and beauty items.

23. Don’t buy bottled water. Buy a water filtration pitcher.

24. Don’t buy something just because it is one sale. Consider it’s a need for you before buying.

25. If you shop at a favorite store, apply for their discount card if they have one.

27. Pack a lunch instead of eating out.

Clothing:

28. Buy clothes at the end of the season when they’re on sales.

quick tips

Step 1: Before The Interview

Interviewing Basics

Research the employer

During the interview you may be asked what information you know about the employer. Therefore, prior to the interview, it’s important to gather as much relevant information about the employer as you can. The more you know, the more confident you are likely to feel. Helpful information includes: the company’s mission & vision, industry trends, recent news stories involving the employer, their clients and/or customer base, and company competitors. You also need to be able to answer the question “Why are you interested in working for us?”

Prepare for the "Tell me about yourself” question

This question is an opportunity to describe your qualifications and career aspirations, not your love for Netflix and ramen. Your answer should consist of a 2-3 minute overview of your professional and academic experiences and accomplishments. You should highlight the things that are most relevant to the job/internship. This could include: coursework, projects, internships, research, on-campus jobs, and service/leadership opportunities.

Practice interview responses

It’s important to be prepared for the types of interview questions that an employer will ask. A majority of the questions you will be asked during your interview may be behavioral interview questions. Behavioral interview questions evaluate your past experiences to give the employer a sense of how you might perform in the future. These questions should be answered by crafting specific stories or examples using the STAR format (see below). Each answer should be 2-3 minutes long and highlight your role in the story. A list of commonly asked behavioral interview questions can be found on the last page of the guide. Also, review the experiences, projects, and activities on your resume. Know what you’ve done in each opportunity and be able to explain it using the STAR format.

Prep yourself for the day-of events

You should arrive 10-15 minutes before the interview. Be sure to dress appropriately—typically this means business professional or business casual. If you are unsure of what to wear, ask your career consultant or the recruiter you’ve been working with throughout the process. Bring extra copies of your resume as well as your portfolio or any work samples that are relevant. You should also bring a list of questions you plan to ask the interviewer.

1

quick tips

Step 2: During The Interview

Interview Basics (cont.)

Be confident and positive

Remember, everyone you meet that day is an “interviewer.” Be

courteous and cheerful to everyone you interact with. Be sure to greet your interviewer with a firm handshake and a positive

attitude. Try to relax, be yourself, and think of the interview as a

conversation between you and the interviewer.

Respond to questions with strong answers

A strong answer should include a specific example or story that you use to showcase your skills and qualifications. Be sure to share the result of your story or solution to the specific problem. The best way to organize your answer is using the STAR format (see previous page).

Ask thoughtful questions

Prepare a list of 5-8, well-researched questions to ask the interviewer at the conclusion of each interview. Your questions should reflect the amount of research you have done on the employer. A list of sample questions can

be found on the last page of the guide.

Step 3: After

The Interview

Send thank you notes/emails

Evaluate your performance

Each interview should be a learning experience. Write down a

everything you think you handled right and wrong, so you can adjust your responses for the next interview. Also, make a note

of any information you may need to include in your than you notes

It’s important to follow up after your interview. Send each interviewer a personalized thank you note—email format is common practice. In the note, emphasize your qualifications and skillset in relation to the position. Try to mention something you and the person talked about that made this a memorable or enjoyable experience in order to personalize the letter. Send separate thank you notes to each individual you interviewed with, and make sure they

are different from one another.

Emergency Guide Money Saving Tips

The National Association of REALTORS® and Center for REALTOR® Financial Wellness are here for you with information and resources to help you get through challenging times. For even more tips and information, visit FinancialWellness.realtor today!

HAVE AN EMERGENCY FUND

Most economists suggest putting aside 3-6 months of living expenses. Even for those with healthy reserves, monitor your investment accounts and continue to save.

TRACK YOUR SPENDING

Consider cutting back on non-critical spending, and keeping those cost savings in place for a while to help build up your reserves. Make consistent, timely payments to help maintain a good credit score. Visit FinancialWellness.realtor for a FREE monthly budget spreadsheet.

TAKE FINANCIAL INVENTORY

Locate key financial documents to keep accurate records, and have more than one copy. Examples: estate-planning files, bank information, brokerage and retirement accounts, as well as insurance policies, mortgage information, business records, and more.

RESEARCH INSURANCE POLICIES

Consider working with your current provider on reducing your insurance payments.

If your payment can’t be lowered, don’t hesitate to shop around for new rates to help lower your current monthly expenses.

KEEP SOME CASH ON HAND

It’s a good idea to have a couple hundred dollars in cash for an unexpected emergency. Having some cash on hand can ease transaction problems in the event certain businesses are disrupted.

REVIEW AND UPDATE PERSONAL RECORDS

Compile a list of important contacts, such as your insurance agent, accountant, attorney, doctors, and veterinarians. Review the list and make sure their phone number and email address is up to date.

Emergency Guide Tips for Well-Being

Finances are obviously an important part of everyone’s life, but don’t forget to take care of your physical and psychological self too. Getting in financial shape is much easier if you are in good health, mentally sharp and confident in the security of your loved ones.

PHYSICAL WELLNESS

• Consider investing in a humidifier. Medical experts say it helps reduce the transmission of airborne viruses.

• Drink lots of water and fluids, and load up on healthy, nutrient rich meals.

• Contact your doctor and pharmacy to ensure you have at least a 30-day supply of your prescription medicines.

• Create a contingency plan if you or a loved one gets ill.

• Consider setting up a “sick room” in your house if anyone you live with becomes sick with any contagious virus.

• Ensure you and your loved ones have completed a healthcare proxy form in advance of any illness.

• Have fever reducers, cough medicine, and sanitary wipes on hand.

• Have a copy of your medical records ready to supply if needed.

MENTAL HEALTH

• Keep informed of important news updates, but resist the urge to watch a high volume of negative news coverage.

• Be mindful of negative social media posts that don’t contain useful information or have not been endorsed by a reliable source.

• If your circumstances allow for it, safely get outside each day to breathe in fresh air and exercise.

• Keep in contact with loved ones or a friend on a weekly basis. Use phone or video chat if needed.

• If you are a person of faith, practice it.

LIFE & COMMUNITY

• Set up Skype, Facebook Messenger, or Google hangouts to socialize with your friends and loved ones.

• Use your Outlook or Google calendar to set reminders for yourself related to personal goals you still wish to achieve. Create a schedule and regularly check-in with friends, family and colleagues.

• Follow a positive regiment each day to keep your mind busy, your body moving, and your spirits up.

• Put together a list of projects you want to complete — make sure some of them are fun! — and start giving yourself timelines and goals for the week.

• Find something kind to do or say to others, daily. Consider volunteering in your community.

Emergency Guide Checklist & Tips

During any challenging time, it’s important to take stock of what’s most important in your life. Set priorities and establish reasonable goals. There are organizations and agencies that can help. Be proactive, stay educated and positive, and look forward to a bright future!

FACING CHALLENGES

• If needed, reach out to your mortgage company or landlord to ask for a deferment.

• If you are having trouble communicating with your landlord or mortgage lender, reach out to a HUD housing counselor for assistance.

• If needed, reach out to all creditors (credit cards, auto loan, medical payments, student loans, etc.) and request a deferment.

• If you aren’t making progress with your lenders, be persistent. If lenders are charging you additional fees, negotiate.

• If needed, reach out to your utilities and other ongoing payments (auto insurance, property taxes, homeowners insurance, condo association, cable, internet, water, heat) and delay your payments, when possible.

• If you are in need physically or emotionally, seek guidance from a medical professional. Don’t forget to inform those closest to you.

RESOURCES & BENEFITS NEXT STEPS

• Research funds that may be available to you based on your employment status.

• Your local community, county, or state may have additional financial resources available to you. Visit your local government websites and set up Google alerts to be notified as information is provided.

• If you do not need deferments on your loans, continually pay to reduce your interest later and keep your loan term on track. Consider setting up payment reminders through your bank or enroll in automatic payments.

• Put your best foot forward and be optimistic! Challenging times may be difficult to manage, but focus more on the positive versus the negative.

• Don’t overspend on stockpiling goods. Follow the CDC’s recommendations for getting ready, and think about what you want to have on hand for a couple of weeks if you get sick (like herbal tea, Kleenex, cough drops, cleaning supplies).

• Consider doing a thorough cleaning of your home. Keep it clean by limiting or eliminating visitors and sanitizing common areas like the microwave and bathroom.

• Check in with family members who may not be able to leave the house.

• Take time to educate yourself to be better prepared for future emergencies.
