Before we begin, Bronfman Group Solutions would like to thank you for considering us as a potential client to help you with your IT project implementation process.
IDENTIFICATION After familiarizing ourselves with your situation, our team has compiled a list of possible concerns that we believe should be looked at in greater detail. To begin, the first concern we identified is regarding the misplacement of the books on the shelves. Some possible reasons for this could be that the shelves are overcrowded by too many books or that there are not enough vacant spaces available. Users have also been seen hiding books to prevent others from having access to them. The final reason could simply be due to theft. Though the books have a magnetic strip that must be demagnetized before passing the exit gates, there are ways of cracking and abusing this system. Furthermore, the library services are unable to track how many books are missing from the shelves or the library. Another source of concern is the barcode system currently being used. The barcodes are clumsy, they require a direct line of sight, and must be directly below the beam to be read. To make matters worse, the location of the barcodes is not homogenized between all the books, further reducing the speed of checkout. This leads to another concern that our team found, which are the long checkout queues of up to 20 students during peak times.
OPPORTUNITIES Our goal is to improve the organisation and efficiency of the University Library. More specifically, we want books to be readily and neatly accessible on the shelves according to their call numbers, all while reducing the likelihood of books being hidden or stolen. We would also like to greatly improve the long checkout queues at the library. These improvements would offer a better library experience to students, however that is only the direct impact. The much bigger picture is that more students will have access to more books and knowledge, which can contribute to better academic performance and a higher quality of learning in the long run. There are several solutions we will explore in order to achieve these goals. The easiest one would be to continue with barcodes due to their very low price. However, the many disadvantages such as the requirement of a direct line of sight and the limitedness of scanning may be proof that change is necessary. One of the changes which you have already discussed is RFID technology since scanning is quicker, more accurate, and orientation and distance are flexible. However, as you mentioned, there are health concerns, the cost of RFID technology is rather high, and its security is still questionable. Another possibility we will be looking at is to implement an automated self-serve solution in order to completely eliminate checkout queues, however, as you can imagine, costs would be very significant. Finally, the most drastic possible solution is the complete removal of the library, and a strong focus on ebooks, which seem to be paving the way for the future. We will be studying in great detail each of these alternatives, and weigh out the advan-
tages and disadvantages of each. We are confident that by doing so, we will come up with the solution that best solves the library’s current issues, ensuring the highest level of efficiency at the lowest possible cost.
