Rental Guide

Nestled minutes away from the world’s busiest airport and local attractions, Douglasville Parks and Recreation Department manages (8) park properties and facilities, with a total land area of approximately 381 acres, including the West Pines Golf Course. Facilities include baseball fields, football fields, pavilions, playgrounds and community centers. Our facilities and park properties are designed to host all of your special occasions, including weddings, parties, family reunions and tournaments.

Field rental requests must be completed online or in person within a minimum of 48 hours. Once submitted, a parks team member will contact the renter within 1 business day. Rentals are not confirmed until the full payment is received for the field. All payments must be paid at least (2) days prior to the rental date to avoid cancellation. Field availability is first come, first serve. – excluding all park and recreation events which sets precedence over outside events or rentals. Rainouts will receive a credit for future rentals and cancellations within 48 hours will not receive a refund.

Additional rental needs such as field dragging, chalking, or park maintenance must be requested at booking. Same-day rentals will not be able to request such services.

• $100 cleaning and damage fee deposit ($200 for gym rentals)

RenteR’s event time must include setup and bReakdown time

• Our facilities provide tables and chairs for rentals

• The renter is responsible for setting up and breaking down the room and all cleaning – including trash removal

• The earliest a renter will be able to enter their event space is (15) minutes prior to the contracted time frame

• Due (3) days prior to the rental date

• All changes – including adding time or rental adjustments- must be provided during the final payment

• All contractual responsibilities (i.e., security, event plan, requested tables, and chairs, etc.) are due at final payment

Rente R ’s Responsibility

It is the responsibility of the renter to ensure all outstanding balances and requirements are fulfilled at least (3) days prior to their event date. The renter is responsible for their guests’ compliance with park and facility rules. The rented space and time are provided on the contract and renter’s receipt. This space is only accessible to the renter during their contractual time. Our department provides an added 15-minute access to the space, prior to the contractual start time, as a courtesy. The renter is responsible for cleaning their event space and disposal of the trash in the designated location. Alcohol, fryers, and generators are not allowed in our parks. Please review the rental agreement for a detailed list of compliance such as acceptable items within the park Failure to comply with park rules will result in the loss of the renter’s deposit.

specialty R entals :

Specialty rentals are summarized as rentals where the renter will be charging a fee, selling items during the rental, or opening to the public. This includes tournaments, festivals, or community events – all must be approved by the respective manager, and a permit is required to be completed during booking. To begin your process for a specialty rental, please visit us at www.douglasvillega.gov and search “Parks Event Proposal Form”. A parks and recreation team member will contact you within 5 business days regarding your specialty rental. Specialty rentals must be submitted at least (6) weeks prior to the proposed event date.
