Club Structure and Committee
It is important that all our sports teams have the following structures in place to ensure that the club is well ran and represents all your members. Constitution A constitution sets out the purpose and rules of your club. It is a basic document which helps to ensure smoot h and proper running of your clubs affairs. Template constitutions which you can amend are available from the Students’ Union Website in the sport me mbers area. Governance Your club is primarily about sport, and while we understand few people want to spend a lot of time attending meetings, working on constitutions, rules and policies it is vital to ensure you r club is well run. The earlier you get this done the better, then if you do encounter a problem you will have some guidelines to refer to. Annual general meeting (AGM) and ele ctions. All clubs within Team Edge Hill must hol d an AGM. This meeting should be open to all registered Team Edge Hill Members who are also registered with your club. The purpose of the me eting is to report back to all members on how the season has gone and your treasurer is to present the financial position of the club and wh ere any income has been spent/ invested. The AGM should also be the opportunity for candidates wishing to run for committee positions to presen t how they can contribute to the club prior to elections, this is normally known as a Hustings. To oversee this process EHSU will ensure an SU rep resentative is present at all AGM’s and Elections. Normally unless agreed in advance, elections will take place following the AGM and Hustings. The Sports development officer will help your arrange a date and meetin g room for your club to hold its AGM and elections. Club Finance Each team will have access to a bank acc ount within the students union here any money collected by the club should be deposited to ensure it is kept safe, and prevent any liability for lost funds on the club treasurer. The club can designate people who are aut horised to withdraw money from the account, 48 hours’ notice should be given for cash withdrawals.
