PUTTING SHAREPOINT INTO ACTION Interculturality, territorial distribution, and high interdisciplinarity changed the way companies approach the collaboration between knowledge workers. These days, companies need faster processes and their decision makers need clear and correct information at the right time. Microsoft understood this needs long time ago and created their best collaboration solution – SharePoint. We discussed about some of SharePoint’s benefits for companies in our previous article and today I would like to present you a SharePoint implementation program that we conducted for one of our clients, a major Oil & Gas producer in Eastern-Europe.
Mixing technical and business knowledge - As any SharePoint integration program needs highly professional teams, we formed a mix team with our client’s specialists. By mix team I refer to a team of highly skilled technical professionals – SharePoint specialists, IT administrators, programmers - and of business-oriented specialists, able to understand specific and unique business processes. The collaboration between these kinds of specialists is essential in order to support one of the main challenges of any SharePoint integration program - the adoption.
Analyzing business needs - This stage had the main role to identify users’ needs and to define the correct way of managing the new platform, based on the newest information and content management technologies
Solution design - In the design phase we proposed an extended architecture for the entire company, which is comprised of a main management platform and two integrated platforms, located in Austria and Romania.
SharePoint integration involved applications implementations on servers and integrating them with the existing services infrastructure: Active Directory for authentication, SQL Server for databases, Exchange Server for e-mail, UAG for publishing the infrastructure outside the network, security systems to protect information and platform’s infrastructure.
Knowledge transfer was an important stage in our implementation program during which we concentrated on explaining and sharing important information about platform maintenance and development with key-users and administrators.
Adoption - One of the keys to the successful implementation of SharePoint is to drive user adoption, which means gathering useful company information. As SharePoint’s usability is easy and effective, all users found it easy to add important information.

Migration - The last phase involved the migration of various sources of documents and processes to the centralized platform of document management and collaboration.
SharePoint now provides decision makers with easy access to important and relevant information.
