Design factors for wellbeing and creativity in work environments. By Alexandra Moore, Interior Architect, Bcs of Economics and Adm., PhD Student at Luleå Technology University in Sweden.

What if we could find out what factors in our work environment that affects us to become innovative and creative ? The management would celebrate. However, there is still a lot to do in this field, if we really intend to reach such goals. My interior design experience has been focused mainly on offices, schools and universities, hotels and restaurants and elderly living. I have developed a method to create design concepts that works, and today I constantly add new knowledge from my research project to each design case.

“ Many people feel stress or other symptoms at work due to high demands ” With a career as an interior architect and economist in Sweden for almost thirty years, I combine my work as an

interior architect with studying how man, technology and organisation interact from an architectural point of view. My studies are undertaken at the Technological University of Luleå in the northern part of Sweden. The background is that many people feel stress or other symptoms at work due to high demands and stress caused quite often by a bad interaction between man and technology. We are all in some way a part of a global arena with high expectations on us regarding our work and performance. However, our work environment does not always support us doing our tasks. Lack of good design or ergonomics may cause

for good results ! That is the background of my research work. The work is so far financed by TCO Development, Telia Sonera, scholarship from Jarl Andersson and the design and colour business in Sweden.

“ Interesting connections between design factors and energy and creativity in relation to work ” The first large case study at the call center of Telia Sonera in Sweden, aimed to find correlations between an open plan office with wellbeing and creativity, influenced by the design factors colour, lighting, noise and also the factor privacy, varied in several ways. Every combination was measured with questionnaires, consisting of questions about the physical and the psychosocial environment. The results showed a correlation between all design factors and wellbeing, sometimes good and sometimes bad. However, there were also interesting connections between design factors and energy and creativity in relation to work, participation, control and workload. A new significant effect was shown due to the individual workstation position in the open plan office. Many experienced architects have already an insight or feeling about many of these results in practice. The issue here however is how you can identify specific design factors and connect with specific psychosocial factors. Later my case studies will also investigate the connection to essential economic key figures, and how we can enhance organisational feedback and learning with help from strategic design factors.

human errors or just a bad comfort. This may lead to – not just bad results – but also to lack of stimulation, irritation, physical pain due to computer work, or in worst case stress or burn-out. Some companies have lost a possible positive output just by offering people a working place or spot in an open plan office, at the same time expecting miracles. Today companies or organisations have to be more sophisticated in a competitive global market. Output from office work comes from brainwork, and you must learn what inspires the brain to work well. And believe me, there is a war out there many years ahead, to recruit and keep the best brains. So, why not start to focus on an attractive environment and organisation to inspire people to work and stay with you ? It´s much a question of image, and the tools are not far away. We just have to see the connections and links.

With a focused use and combination of design factors, we are closer to brain stimulation in a work environment. But to be completely efficient, you have to interact with the organisational philosophy. Otherwise, there is no meaning at all to try to find the right design combinations. My intention is to provide a method, a tool and a check list for people planning a strategic work environment where people and organisations can grow in harmony together.

However, this leads to today’s topic, about the importance of good design, architecture and ergonomics interacting with and supporting a good organisation. Et si l’on pouvait trouver les facteurs qui nous affectent dans notre environnement de travail pour être innovants et créatifs dans nos solutions ? La direction s’en féliciterait. Cependant, il reste encore beaucoup à faire dans ce domaine, si nous avons réellement l’intention d'atteindre ces objectifs. Mon expérience d’architecture d'intérieur est axée principalement sur les bureaux, les écoles et les universités, les hôtels, les restaurants et les résidences pour personnes âgées. J’ai développé une méthode pour créer des concepts de design qui fonctionne, et chaque cas étudié et traité ajoute de nouvelles connaissances à mon projet de recherche.

Avec une carrière d’architecte d’intérieur et d’économiste en Suède depuis près de trente ans, je combine mon travail

Au fond, beaucoup de gens ressentent du stress ou d'autres symptômes au travail en raison de la forte pression qu’ils subissent, et, très souvent, ce stress est causé par une mauvaise interaction entre l‘homme et la technologie. Nous sommes tous en quelque sorte sur une scène avec de grands espoirs fondés sur nous quant à notre travail et notre performance. Cependant, notre environnement de travail ne nous encourage pas toujours dans nos tâches. Le manque de bonne conception ou d’ergonomie peut causer des erreurs humaines ou tout simplement rendre inconfortable.

Cela ne conduira pas seulement à de mauvais résultats, mais aussi à un manque de stimulation, une irritation, une douleur physique en raison de travaux sur ordinateur, ou dans le pire des cas au stress ou au « burn-out ». Certaines entreprises ont perdu une production positive en offrant à des personnes un lieu de travail en « open space », et en espérant des miracles. Aujourd’hui, les entreprises ou les organisations doivent être plus sophistiquées dans un marché mondial très compétitif. La production du travail de bureau est un travail cérébral, et vous devez donc apprendre ce qui permet au cerveau de bien fonctionner. Et croyez-moi, il y a une compétition qui s’ouvre pour de nombreuses années à venir, afin de recruter et de garder les meilleurs cerveaux. Alors, pourquoi ne pas commencer à mettre l’accent sur l’attrait de l’environnement et de l’organisation pour inciter les gens à travailler et rester avec vous ? C'est souvent une question d’image, et les outils ne sont pas loin. Il nous suffit de voir les connexions et les liens. Toutefois, ceci nous amène au sujet d'aujourd'hui, sur l’importance d’une bonne conception, et d’une architecture et d’une ergonomie interactives en soutien d’une bonne organisation. La raison en est que vous pouvez améliorer la performance humaine, ce qui est la base pour obtenir de bons résultats ! Tel est le contexte de mes travaux de recherche financés par TCO Development (organisation spécialisée du syndicat suèdois des cols blancs), Telia Sonera (Télecommunications suédoises), une bourse de Jarl Andersson (fondateur de Kinnarps), et les métiers suédois de la couleur et du design.

“ Des liens intéressants entre la conception et l’énergie et la créativité au travail ” La première étude de cas importante au centre d’appels de Telia Sonera, en Suède, avait pour but de trouver des corrélations entre un « open space », le bien-être et la créativité, influencés par la conception architecturale en matière de couleur, d’éclairage, de bruit et d’intimité et de confidentialité, selon leur variation. Chaque combinaison a été mesurée à l’aide de questionnaires concernant l’environnement physique et psychosocial. Les résultats ont montré une corrélation entre l’ensemble des facteurs de conception et de bien-être, parfois bonnes et parfois mauvaises. Cependant, il y avait aussi des liens intéressants entre les facteurs de conception et l’énergie et la créativité au travail, de participation, de contrôle et de charge de travail. Un effet significatif nouveau a été constaté en fonction de la position de chaque poste de travail dans l’ « open space ».

De nombreux architectes expérimentés ont déjà eu leur idée ou leur sentiment sur la plupart de ces résultats dans la pratique. La question toutefois ici est de savoir comment vous pouvez identifier des facteurs de conception spécifiques et les relier à des facteurs psychosociaux précis. Plus tard, mes études de cas ont également porté sur le lien entre les chiffres économiques clés, et comment améliorer le retour d’informations et l’apprentissage organisationnel avec l'aide de facteurs de conception stratégiques. Grâce à une utilisation ciblée et à une combinaison des facteurs de conception, nous sommes plus près de la stimulation cérébrale dans un environnement de travail. Mais pour être totalement efficace, vous devez interagir avec la philosophie d’organisation. Sinon, la recherche de la bonne combinaison des facteurs de conception n’a pas de sens. Mon but est de fournir une méthode, un outil et une liste de suivi et de contrôle pour les personnes chargées de la planification stratégique d’un environnement de travail où les personnes et les organisations peuvent se développer ensemble, en harmonie.

Here is a selection of some seats that seem to give a quality dimension to the sitting posture. So sitting on a seat that rotates on a spring, what an idea! Some will think : but for us, how can it serve ? and how can I get used to it ? The SpinaliS chair is certainly not a classic chair. Thanks to the Spina Orangebox revolutionary technique, the individual depth and lumbar adjustment is not necessary ! Spina Orangebox has a unique gliding mechanism. When seated, the seat slides approximately 50 mm back and sinks backwards to encourage the user to sit into the lumbar support .The lower part of the backrest is automatically adjusted 50 mm outward from the original position. by American HERMAN MILLER launched in October 2008 : “ A chair that restores the balance between human and computer by supporting both body and spirit ” is designers Stumpf and Weber challenge (Bill Stumpf died in 2006, he was among the designers of the Aeron seat). Embody is a one size working chair, that adapts itself to almost any size and postural habits. With a backrest looking like a human spine, it can move freely and naturally. “ Pixelated ”, the backrest fits the curve of each single spine as well as all micro pressure of each vertebra. Having not yet been able to really try Embody “ in situ ”, we can only describe its look as seen on its pedestal at Orgatec 2008. Its aesthetics : emphasis on the product technology “ it is a bare skeleton ”. The backrest seems narrower than usual for this kind of seat, but the manufacturer ‘s presentation says that it “ allows to move the arm from forward to back in a natural way. And therefore the rib cage expands and allows the lungs to absorb a greater amount of air, which provides more oxygen to the brain. ” This has to be checked , as it is supposed to be “ a UFO in the world of design ... and for organizing office spaces ”as described by the press office.

Pixélisé, le dossier s’adapte à la courbe unique de chaque colonne vertébrale et à toutes les micro pressions de chaque vertèbre. N’ayant pas encore pu réellement essayer Embody « in situ », nous ne pouvons vous décrire que le look vu sur le stand à Orgatec 2008. Son esthétique : la mise en avant de la technologie du produit « le squelette est à nu ». Le dossier paraît plus étroit que d’habitude pour ce genre de siège, mais la doc fabricant dit que cela « permet de bouger les bras d’avant à l’arrière de façon naturelle. Et qu’ainsi la cage thoracique prend de l’expansion et permet aux poumons d’absorber une plus grande quantité d’air, ce qui fournit davantage d’oxygène au cerveau ». A vérifier donc car parait-il, il s’agit d’un « OVNI dans le monde du design … et de l’agencement des espaces tertiaires » comme le qualifie le service de presse.

Daniel Lazennec, Dirigeant du centre de recherche « Ergograf Innovation » et du Centre de formation en ergonomie appliquée « Formergo ». « Faire la différence » dans un marché fortement concurrentiel passe par la formation optimum et permanente des compétences des salariés. Dans chaque secteur d’activité, chaque entité (entreprise, collectivité, association, etc.) se retrouve en concurrence à un moment ou à un autre. Parmi les leviers de différenciation, la formation continue en est un majeur. Tout formateur se doit d’apporter à son « client », un niveau de satisfaction atteignant les objectifs « inscrits » dans le partenariat. A charge pour le client d’utiliser ses propres acquis pour se différencier lui-même sur son propre marché et ainsi atteindre les objectifs qu’il s’est lui-même fixé. Les clés pour que ça « marche » : l’évolution : • du savoir, • du savoir-faire, • des nouvelles techniques • des besoins du client, Ces quatre clés, se doivent d’être mises à jour, périodiquement (domaine de la prévention : sorte de veille en fonction des quatre clés), soit réactivement (une obligation légale ou une demande de compétence nouvelle est formulée, pour gagner un marché et/ou conserver son client), « se mettre à jour » devient alors indispensable. La formation continue est un des leviers essentiels du développement des performances d’une société et de sa pérennité. Les salariés en sont donc les « agents », les « acteurs ». Par l’acquisition, de nouveaux savoirs, savoir-faire et savoir-être, Ils « boosteront » la différenciation de leur société sur le marché.

Les facteurs psychosociaux. Rappelons quelques-uns des facteurs psychosociaux : motivation, stress, valorisation, reconnaissance, communication, etc. La notion de « motivation » pourrait être remplacée ou pour le moins enrichie, par celle de la « stimulation ». En effet, il est souhaitable qu’un salarié soit, lors de ses débuts dans une nouvelle structure, motivé par son emploi, et dans ses objectifs de carrière. Le temps passant érode l’ardeur des débuts, il est donc vital pour les deux parties d’en ranimer la flamme. A l’aide des formations qualitatives, qui sont un moyen efficace pour la remotivation des salariés. Le stress, très et trop souvent présent actuellement, n’aide pas à la mise en œuvre des capacités cognitives, psychologiques et physiques des salariés. Trois axes majeurs peuvent être renforcés par des formations : le savoir, le savoir-être, l’état physiologique et psychologique. Bien que chaque individu puisse mettre en place les moyens de son évolution et ceux du recul des « moments de dépassement de ses propres capacités cognitives, psychologiques et physiques », l’encadrement a un rôle de mise en action des compétences de ses salariés. La formation continue se doit d’assurer une partie de ce rôle. Le salarié se sentira alors reconnu et valorisé par l’acquisition de nouvelles informations pratiques et exploitables, dispensées dans la cadre de sa formation Le développement des compétences de chacun (pas seulement le « savoir »…) engendre une dynamique personnelle nouvelle, pour chacun des maillons de la chaîne, les clients, la société et son environnement.

Coût, investissement et retour sur investissement. Le coût est une dépense financière accompagnée, très souvent, d’une sensation de dépouillement, d’appauvrissement et finalement… de douleurs. A la différence l’investissement fait appel à une prospective, une analyse et des attendus qualitatifs et quantitatifs pour aboutir à d’autres attentes financières, débouchant non plus sur la notion de « douleurs », mais sur celle de « satisfaction ». Les conséquences de ces deux vécus étant effectivement en opposition… leurs conséquences pour les salariés et les employeurs aussi.

“ Making a difference ” in a highly competitive market goes through optimum training and ongoing competence of employees. In each sector, each entity (business, community, association, etc.) is competing at one time or another. Among the differentiation levers, training is a major one. Every trainer should bring to its “ customer ” satisfaction levels reaching the objectives planned in the partnership. Then it is up to the customer to use its own achievements in order to differentiate itself in its own market and therefore achieve the objectives it has set for itself. The keys to make it works : the evolution of : • knowledge • know-how, • emerging technologies • customer needs, These four key must be updated periodically (preventive action : a vigil on the four keys) or reactively (a legal obligation or a request for a new knowledge is now compulsory to win a contract and or keep one’s client), to keep updated becomes essential. Continuing education is one of the key levers for developing the company’s performance and its continued existence. All employees are therefore the “ agents ”, the “ actors ” of this : through the acquisition of new knowledge, expertise and know-how, they boost the differentiation of their company on the market.

Psychosocial factors. Let’s remind some of the psychosocial factors : motivation, stress, valorization, recognition, communication, etc. The “ motivation ” concept could be replaced or at least enriched by that of “ stimulation ”. It is indeed desirable that an employee beginning in a new structure be motivated by his job and his career goals. Over time, the early motivation fades, it is therefore vital for both sides to rekindle the flame. With the help of qualitative training, which is an effective way to re-motivate employees. Stress, too much and too often present, does not help the implementation of the employees’ cognitive, emotional and physical capacities. Three major areas can be strengthened through training : the knowledge, the “ know how to perform ”, and the physiological and psychological state. Although each individual can put in place oneself the means of its development, the management has a role in boosting its employees’ skills. The training should assume part of this role. The employee will feel valued and recognized by the acquisition of new practical and usable information, provided during one’s training. Skills development of everyone (not just “ knowledge ” …) creates a new personal dynamics, for each link in the chain, the customers, the company and its environment.

Cost, investment and return on investment. The cost is a financial expenditure accompanied very often by a feeling of deprivation, impoverishment and pain … finally. In contrast, the investment involves a prospective, an analysis and expected qualitative- quantitative results, to reach other financial expectations, leading not to the concept of “ pain ” but of “ satisfaction ”. The consequences of these two experiences are actually in opposition … the consequences for employees and employers also.

We have discovered a ready-made customizable concept, which we feel is a serious approach to taking into account the human and business and sustainable development constraints. Designed in wood, glass, natural and recyclable materials, it meets Health and Safety environmental standards. The concept includes equipment that can vary depending on the needs and types of business. Gerard Moratille & Marie Morazzani from GMIE offer global solutions for implementation and integration as well as specific adaptations. The project, which can be integrated into various architectural configurations represents a real answer to the problem of space management and prevention of stress in businesses. Nous avons découvert un concept en « prêt à porter personnalisable » qui nous paraît être une approche sérieuse en tant que prise en compte de l’humain et des contraintes des entreprises et de développement durable. Conçu en bois, verre, matériaux naturels et recyclables : il répond aux normes environnementales HQE, Hygiène et Sécurité. Le concept intègre des équipements qui peuvent varier en fonction des besoins et des typologies d'entreprise. To determine the total amount of fat in the human body uses GEM anthropometric data of the subject (sex, weight, size, umbilical perimeter and mid-thigh perimeter) and the thickness of fat measured in 4 points by the ultrasound probe. The principle of implementation is identical to that used in an echography. Mesurer à partir de l’écho ultrasonore de seulement 4 points de mesures la composition du corps humain :

C’est ce que propose le français TEA (technique assez similaire à l’impédancemétrie moins fiable à cause de sa sensibilité à la sudation) avec le GEM qui est composé d’un boitier ultrasons, d’un logiciel de traitement (système d’exploitation Windows Nt et Vista) et d’accessoires dédiés. Le boîtier ultrasons, transmet les mesures au logiciel (via USB) pour un suivi individuel des sujets, permettant l’affichage des données, la visualisation graphiques et statistiques, leur enregistrement et leur édition. Pour déterminer la quantité totale de graisse dans le corps humain, le GEM utilise des données anthropométriques du sujet (Sexe, Poids, Taille, périmètre ombilical et périmètre à mi-cuisse) ainsi que des épaisseurs de graisse mesurées en 4 points par la sonde ultrason. Le principe de mise en oeuvre est identique à celui utilisé lors d’un échographie. - The papermill Billerud in Grums, Sweden,

has once again invested in a control room and they have chosen Swedish MPI Teknik as their supplier of operator tables. 7 new tables were delivered and this is the second large investment Billerud makes to create an ergonomic environment for their staff. In the sound isolated control room, with suitable furniture, the papermill´s machines are being supervised. The personnel works in three-shift, which demands flexible functions of the tables and they must be reliable in running. The tables are equipped with 2 pieces of 3-part columns, which enable a height adjustment range between 650-1250 mm. With its stable screen suspension, the tables can be fitted with up to 8 screens and they can be adjusted vertically, horizontally and can be angled and turned for optimum individual adaptation. www.mpi.se

La papeterie de Billerud Grums, en Suède, a de nouveau investi dans une salle de contrôle et ils ont choisi le suédois MPI Teknik comme leur fournisseur de tables opérateurs. 7 nouvelles tables ont été livrées et c'est le deuxième grand investissement que Billerud réalise pour créer un environnement ergonomique pour leur personnel. Le personnel travaille en trois-huit, ce qui exige de la souplesse pour les fonctions des tables et une grande fiabilité de mise en oeuvre. Les tables sont équipées de 2 colonnes en trois parties, qui permettent un réglage de la hauteur entre 650 et 1250 mm. Grâce à la crise boursière, le travail retrouve ses lettres de noblesse, l’enrichissement à partir de l’immatériel ne sera plus triomphant (du moins on peut-le supposer). Le monde du travail change, pas de révolution spectaculaire, mais un aménagement réformiste, une politique des petits pas, un mode de pensée. La méthode dite « Kaisen » qui nous vient du Japon, c’est, chercher constamment un résultat meilleur. (cf *Toyota : « la meilleure qualité au coût le moins élevé, et dans les délais les plus courts, en mettant en place un système d’élimination des gaspillages et qui ne se satisfait pas d’une situation donnée »). Changer les modes opératoires des exécutants pour rendre leur travail plus productif, moins fatiguant, plus efficient et sûr, à charge pour les responsables d’entreprises d’améliorer les équipements, notamment en installant des systèmes « anti-erreur » dits détrompeurs ou poka-yoke, et /ou en changeant la disposition des machines ou carrément ces dernières, afin de permettre à l’opérateur de se concentrer sur son travail, sans avoir besoin de faire des actions inutiles pour la prévention des erreurs. Un système poka-yoke est mis en place pour empêcher à coup sûr que tous défauts envisageables puissent survenir. Voir également l’article sur le logiciel AviX page 16.

Pour SOLUTIONS PRODUCTIVES, la mise en place de l’amélioration en continue « Lean » passe par la détermination de ce qui a véritablement de la valeur pour le client. Identifier ce qui constitue un gaspillage, diminuer ensuite les temps de cycle et leur dispersion, laisser le client tirer la chaîne logistique pour demeurer au plus près de ses attentes, et enfin être capable de faire vivre cette démarche . Mais pour parvenir à ce « nirvana », il est fondamental de revoir les procédures, d’analyser et de quantifier les performances actuelles et ensuite, d’estimer comment peuvent être améliorées les performances, de les observer un certain temps, afin une fois la phase de stabilisation passée, de réviser les standards. Dans la mondialisation de l’industrie, le facteur commun à tous pour fabriquer est le facteur TEMPS : à chacun d’y apporter sa valeur ajoutée avec le zéro défaut qui évitera le déchet et optimisera la production. Seuls des professionnels aguerris aux méthodes d’évaluation, d’optimisation de la production pour une meilleure santé au travail, sont à même de travailler avec l’ensemble des opérateurs pour transformer en douceur et avec efficacité les méthodologies, ce que ne dément pas, bien au contraire Hassan Khomany du cabinet conseil en ergonomie SOLUTIONS PRODUCTIVES :

When the world of work rediscovers

1969, 30 years ago : « one small step for man, a giant leap for mankind. » It was July 20, 1969 at 3.18 pm, Washington time Neil Armstrong’s voice, commanding Apollo 11, and speaking live from the Moon.

1980 The years when « everything was thrown away and replaced by new ». 2009 Bye-bye « bling bling » Hello « common sense ». Model : Japan (2nd world economic power) Kaisen method, or permanent improvement ? The “ Lean ”.

Thanks to the stock market crisis, work is trendy again, enrichment from intangibles will not be triumphant any more (at least we can assume). The world of work changes, not through a dramatic revolution, but a with a management reform, a policy of small steps, a way of thinking. The Kaisen method coming from Japan, is to be constantly seeking a better result. (cf * Toyota “ the best quality at the lowest cost, and in the shortest time possible, by establishing a system to avoid wasting, and that does not satisfy itself from a given situation ”) The change of performers operating modes to make their work more productive, less tiring, more efficient and safe, business leaders being in charge to improve equipment, including installing “ anti-mistake ” systems, called undeceiving or “ poka-yoke”, and / or by changing the machinery layout or even the machinery itself, to enable the operator to concentrate on his work, without needing to act to prevent unnecessary mistakes. A “ poka-yoke ” is in place to surely prevent possible defects to occur. See also the editorial about AviX software on page 16

For SOLUTIONS PRODUCTIVES, the “ Lean ”, implementation of continuous improvement, is determined by what is truly of value to the customer. Identify what constitutes wasting, then reduce cycle times and their dispersal, let the customers pull the logistics chain to remain close to their expectations, and finally be able to support this approach. But to achieve this “ nirvana ”, it is fundamental to review procedures, to analyze and quantify the current performance, and then to estimate how performance can be improved, to observe for a certain time, so once the stabilization phase has ended, to be able revise standards. In the industry globalization, the common factor to all is the TIME, everyone can add value with zero defects to avoid wasting and to maximize production. Only professionals seasoned in evaluation methods, and production optimization for a better health at work, are able to work with all operators to transform smoothly and efficiently methodologies.
