Salary Range: $78,000 - $82,000 annually
Employment Term: Contract term September 2024-March 31, 2025 (possible renewal), Part time - 28 hours per week (4 days)
General Description
Every One Every Day (EOED) Kjipuktuk/Halifax is a Reconciliation Initiative of the Mi’kmaw Native Friendship Centre (MNFC) working to develop a system of neighbourhood participation that invites learning and action towards Truth & Reconciliation. To date, we have built infrastructure to support a growing network of practical participation projects, including a Neighbourhood Shop and Community Build Trailor in the North End of Halifax. Every One Every Day projects create opportunities for residents to connect and learn over shared interests, facilitating social cohesion and resilience. Drawing on their knowledge and skills, neighbours work together to co-create inclusive civic and social spaces.
Mi’kmaw Native Friendship Centre & EOED are looking for One (1) Co-Director Operations. The EOED Co-Directors will work together to co-lead both the strategic and operational development of Every One Every Day Kjipuktuk-Halifax. Specifically, the co-directors will work collaboratively to:
• Provide leadership and support to the growing EOED team and identify and manage emerging priorities and align skill sets across the team with key areas of work;
• Build and maintain systems and procedures that help to support and streamline operational functions across the EOED project team and activities;
• Support connection and learning across a wider ecosystem of actors across regional, provincial, National and Inter-National levels that are invested in advancing the work long-term;
• Lead the short- and long-term planning of EOED including the on-going development of culturally relevant infrastructure and program initiatives as well as the long-term sustainability of the work (ie. Fund and resource development, strategic partnerships, etc.).
Specifically, the Every One Every Day (EOED) Co-Director of Operations oversees the operational development of EOED Infrastructure and Programs, including: fund development and financial oversight, guiding the development of key infrastructure and resources, supporting operations & policy development, engaging in strategic communications and partnership development, facilitating team design processes for seasonal programs and projects, and management support for a growing team. The Co-Director of Operations is also the primary lead for ensuring that the EOED participatory approach is continuously embedded within team learning and development processes.
Key Responsibilities:
Strategic Fund and Partner Development
• Lead the annual and long-term planning and budgeting processes for EOED including partner engagement and serving as the main point of contact for MNFCs broader strategic development initiatives;
• Manage relationships with funders and strategic partners, including adherence to deliverables and plans, submitting reporting documentation (in connection with MNFC finance department), and engaging in on-going communication and relationship building;
Operations Oversight
• Identify and secure key operational resources and supports including space and lease agreements for EOED storefronts, pop-up program locations or rental agreements, as well as any associated permits, insurance, or licencing agreements (working with the Administrative Assistant/Bookkeeper);
• Support the identification and development of external contracts related to team training and capacity building, strategic communications, and other professional development;
• Oversee annual budgets, including financial tracking systems and approvals.
• Develop and revise EOED financial & operations processes and policies that ensure team members have the necessary tools and training they need to be successful.
• Act as primary point person for emerging requests (access to EOED spaces and resources).
Strategic Communications:
• Working with the Coordinator of Media and Design to:
• Develop annual communications workplan including strategic development of core communications channels including the website, newsletter, and social media.
• Identify and delegate core areas of content development that align with strategic goals (ie. Learning tools and frameworks, stories of impact, etc.)
• Act as a key spokesperson for EOED alongside the Co-Director of Strategy, supported by MNFC Executive Director including the development and delivery of presentations, media interviews, conferences and meetings with funders and partners.
• Co-lead the development of annual reports, impact summaries, and strategic story-sharing initiatives that help to build support and momentum for the work.
• Support content development for regular communications products including seasonal newspapers, website content, and featured stories and blogs.
Team Leadership and Development:
• Oversee recruitment, hiring and training processes for new team members.
• Work to develop a culture of learning and development across the EOED project team and identify opportunities to extend capacity building efforts across MNFC teams and the organisation as a whole.
• Develop and lead culture building sessions within the team (ie. Team values and Community Care Guidelines).
• Provide management and development support for EOED team members; Coordinator of Media and Design, Administrative Assistant/ Bookkeeper including:
• Lead and support processes for on-going feedback and performance management, conflict resolution and trust-building across the team;
• Performance appraisal processes and on-going feedback.
• Approval of time off requests and support for the development of EOED specific processes and policies.
• Provide guidance for individual work-plan development while supporting connectivity across the team around workflow and timelines.
Program Design & Development
• Act as content specialist for EOED’s inclusivity approach and support the team in facilitated learning and design sessions that help to build knowledge within the team and refine practices of inclusive co-design over time.
• Develop learning tools and processes for integrating inclusive co-design into EOED’s annual cycle of neighbourhood and business programs.
• Provide support and oversight for the strategic development of EOED’s collaborative business frameworks.
• Overseeing agenda planning (within collaborative framework) and facilitation of team meetings and work sessions.
• Adhere to all the MNFC policies
Qualifications:
• An Undergraduate degree in a relevant area (social sciences, community studies, Indigenous studies, management, etc.) or equivalent work experience; and, minimum three years of combined experience at an operational and staff management level, preferably in the non-profit sector;
• Strong relationship building skills and ability to collaborate, with an interest in participatory approaches that foster inclusive engagement and participation across diverse audiences, particularly in relation to Urban Indigenous and African Nova Scotian communities;
• Highly organized and detail oriented with a passion for creating and implementing functional and flexible systems and procedures that support and strengthen team and organizational effectiveness;
• Collaborative, inclusive management style and commitment to team building, learning, and creating an equity-based work environment;
• Strong communication (written and verbal) and interpersonal skills with a passion for building relationships;
• A high degree of self-motivation, leadership and ability to excel in both team environments and independently;
• Demonstrated ability to facilitate stakeholder and community conversation, listen and respond to diverse issues and ideas;
• Proficiency with software applications including Microsoft Office and Google Suite, and a high degree of comfort with virtual meeting technology;
• Must provide a background check prior to hiring.
