EVENT LOAD-IN PACKET

Thank you for joining us for Shirlington’s Spring Fling! The following packet will provide important day-of information that will help ensure that you have an easy load-in!

DATE: Saturday, May 20 TIME: 11am – 4pm

KEY TIMES:

ADDRESS: 2700 S Quincy St, Arlington, VA 22206

• SITE OPENS TO VENDORS: 7:30am (First come, first serve venue placement)

• SUGGESTED ARRIVAL TIME: 8:00am – 9:00am (Depends on your length of setup)

• ALL VEHICLES OFF-SITE: 10:15am (No exceptions)

• EVENT BEGINS: 11:00am

• EVENT ENDS/LOAD-OUT: 4:00pm (Must stay open until 4pm, no exceptions, begin load-out)

• VEHICLES ON-SITE: 4:40pm (Tentative, need to be safe for people & may not have access)

• MUST BE OFF-SITE: 5:00pm

SPOT SELECTION: This event is a first come, first serve basis with reserved spots for tenants of Shirlington, activations and sponsors. There is no pre-selection and vendors will have designated areas to setup and will be directed to which spot next to an existing vendor, no exceptions. Our on-site vendor coordinators will help place you in a specific location when you arrive on-site.

ARRIVAL PROCEDURES:

When arriving on-site, please pull-in to the designated streets where a member of our event team (in yellow or gold) will great you to assign you a location / spot. There are two entrances to get on-site, South Quincy (near Caryle restaurant) and/or South Randolph (near AMC / Palette 22) marked on the map. Once on-site, please check-in with a staff member – K, Zach or Steven. We will then direct you to your vendor location. Once you have unloaded your materials, we ask that you move your vehicle to make room for other vendors.

If you have not provided your General Liability Insurance or Hold Harmless prior to the event, please print it out and have it ready.

LOAD-OUT PROCEDURES:

We require that all our vendors remain open for the entirety of the event. Once the event has concluded, vendors will be able start loading out. You may not be able to drive up to your location for load-in or load-out due to the layout of the event and pedestrian traffic. Please be fully off-site by 5:00pm.

PARKING: please DRIVE SLOW while on-site & proceed to the following parking lots:

Load-Out:

You MAY NOT be able to drive your car on-site due to pedestrians

WHAT’S PROVIDED:

You will be provided a tent and (1) 6’ table Vendors are responsible for bringing any additional tables, chairs or other exhibit space needs.

FOOD & BEVERAGE:

As this event is hosted in the middle of a restaurant town center, we do not permit vendors to sell food or beverage products. If you feel your product is close, please obtain approval from K or Zach prior to coming onsite. We encourage all attendees and vendors to buy from our merchants as well as the town center tenants.

POWER:

Power will not be available for this event for market vendors & artists.

BATHROOMS:

Portable bathrooms are not available for the event, we ask that if you need to use the restroom, please use a tenant near your booth location and please be polite and respectful.
