PROGRAM HIGHLIGHTS CWT - Important Process Updates!

CWT PORTRAIT (USER PROFILE)

GENERAL BOOKINGS

myCWT/CWT Portrait is the recommended profile system for our customer base. This centralized, 24/7 profile database drives accurate bookings, relevant traveler interactions and precise information reporting, and serves as a fundamental tool for CWT to provide the best service. It automatically synchronizes your travelers’ profile information with global distribution systems and online booking tools to ensure online and offline travel reservations include current traveler preferences and data.

Users are encouraged to process their air/hotel bookings completely online through OBT tool resulting in ‘unassisted’ service fee. However, if there are changes to your schedule which includes airline changes, CWT will re-issue the ticket, as mandated by the carrier, with the new changes resulting in ‘assisted’ fee being charged. We are hopeful to have minimal occurrences of such airline changes.

General information on CWT Portrait can be accessed here.

Full-service transaction: A transaction resulting from a reservation initiated by a counselor.

myCWT/CWT Portrait can be updated through myCWT, see “My Profile” link or through the myCWT mobile app “My Travel Profile”. All users are requested to ensure the “sector” and “cost center” are updated in your Portrait profile under the “Payment/Reporting Tab”, Reporting section.

Unassisted Transaction: A transaction resulting from a reservation initiated via an online booking tool without any CWT counselor intervention.

The definitions for full service, unassisted, and assisted transactions are as follows:

Assisted Transaction: A transaction resulting from a reservation initiated via an online booking tool or mobile application but requiring CWT to provide an additional service An assisted transaction includes providing traveler assistance in modifying a booking, revising a record where automation fails, to confirm booking, vendor changes, or specific Foodbuy requirements that cannot be automated The online booking tool PNR fee is included in CWT core assisted price in EMEA and APAC.

PROGRAM HIGHLIGHTS UNUSED TICKETS

‘ROOMIT BY CWT’

When bookings are initiated in Concur and you have an unused ticket displaying, the system may automatically queue this booking out for agent assistance to see if the unused ticket can be applied towards your new travel plans.

Our Concur booking tool is being improved with the integration of RoomIt, CWT’s hotel solution. The ‘RoomIT’ service opens up the CWT rates on hotels including the third party services like ‘bookings.com’.

If the unused ticket is applied, the traveler will be charged for an agent assisted booking as work was done on the file.

Now we will have access to over 800,000 businessfriendly properties in more than 73,000 cities worldwide, so finding and booking the right room will be easier than ever. With so many great new properties at your fingertips, there’s no reason to shop outside our corporate travel channel.

New Process as of October 1, 2019

If the unused ticket is NOT applied which can happen for various reasons, the file will be pushed for ticketing and the traveler will still be charged an agent assisted booking, however, on the back end, CWT will be charging these bookings the unassisted fee and will be identified through a reporting field on our settlement statements. The difference of the booking fees will be credited back to Compass during the quarterly settlements.

POST-TICKET PRICE OPTIMIZATION Effective December 2019

A new process will result in users getting multiple invoices/emails based on savings once a ticket is booked for air/hotel. Please see the attached guide for more information.

Effective October 4, 2019

As a reminder, it is important to book within our corporate travel channels, so we can help keep you safe on the road and better manage our travel expenses. • GDS rates will continue to display as before, but will now include additional RoomIt Rates, if it is a booking.com rate the below white logo will appear, regular RoomIT rates with (6 amenities) will not have this white logo • Loyalty benefits (e.g. points, miles) don’t apply to third-party rates (white logo). This is stated in the rate information with the message “loyalty benefits do not apply”. • If a booking.com rate is booked, it must be cancelled with CWT, not directly with the hotel.

Please see the attached reference guide for more information about the RoomIt integration with Concur. (CONTINUED)

MARKET & COMMODITY NEWS Holiday Hot Holding With the holiday season just around the corner, it is time to remind ourselves how to keep friends, family and our customers safe. To ensure food safety, a number of things must be kept in mind, such as: hand washing, proper storage temperature, prevention of cross-contamination in the kitchen, and cooking to safe internal temperature. However, in this issue we wanted to talk about hot holding because in the coming weeks many of us will be preparing larger quantities of hot-served food. How do we keep hot food safe for everyone? Temperature control is key. Hot-served food must stay out of the danger zone. This means it must be kept at or above 60oC (140oF). Otherwise, harmful bacteria can grow. In general, small children, seniors, pregnant women and others with a compromised immune system (such as cancer patients) are particularly vulnerable to harmful bacteria in food.

Here are a few tips to ensure food remains safe for all during hot-holding:

• Turn on your hot- holding equipment early. • There should be about 2 inches of water at the bottom of the chaffing dishes. Check your water levels periodically and refill as necessary. • Use smaller inserts whenever possible to have a more frequent turnover of hot food. • Use lids to keep inserts covered to reduce cooling. • Add only food that is already at 60oC (140oF) or higher. Don’t warm up food in your hot holding equipment. • Stir food frequently to maintain the same temperature throughout.

• Do not overfill inserts – food on the top will not stay hot and you will have a tough time stirring it. • All empty compartments should be covered with a lid to prevent heat loss. • Monitor food temperatures with a calibrated digital thermometer and record them in your Food Holding log.

Last but not least, review these tips with your staff and explain their importance to them. Food safety is everyone’s responsibility and it takes the whole team to do it right. In the end, safety of our customers depends on the team effort, this holiday season and always.
