A STEP-BY-STEP GUIDE TO PLANNING YOUR SPECIAL DAY BY LEE CUTRONE

O

photographers and caterers are frequently booked a year in advance. Many couples, however, have shorter engagements, which means there’s less time to plan a wedding. “We live in a fast-paced society where instant gratification is expected,” says event planner Thea Pagel of Thea Pagel Productions. “Weddings are becoming less traditional and more personal. More and more people are stepping outside of the box.” Pagel has been hired to plan weddings in as little as two months, while Aimee Barousse of Plan B Production says most of her clients want a wedding planned in six to nine months. Barousse has been called in for “day-of” assistance with only two weeks before the nuptials. Both Pagel and Barousse agree that starting with a budget, prioritizing, dividing tasks into manageable clusters and keeping on top of the list of details are key.

“The first thing is to really understand what you and your fiancee want for your nuptial celebration,” Pagel says. “Do you want outdoor, regional? Do you want to be surrounded by art and do something at NOMA (New Orleans Museum of Art)? You want the wedding to be a reflection of you and your fiancee.” Next, booking the church and reception venue should be done almost immediately because they are usually reserved a year in advance, as are the officiant, caterer, band, photographer/videographer and florist. “Once you get those things locked in, everything else is pretty easy,” says wedding planner Brittani Adams, who, along with her mother Michele Adams, runs Unique Weddings in New Orleans. “Each client and their experiences are different, so it’s hard to give an exact timeline for everyone. The main piece of advice I give everyone is to stay organized.”

nce the excitement of getting engaged begins to subside, the reality of planning a wedding sets in — and for some couples, so does the stress. Depending on the length of the engagement and the size of the wedding, the many details associated with such a special, once-in-a-lifetime day can be daunting. But event and wedding planners say that need not be the case. Following some practical guidelines designed to help the bride, groom and their families pace themselves and stay on course can all but eliminate the anxiety that is too often part of the planning process. Traditional engagements generally last about a year, allowing every facet of a couple’s wedding to be carefully considered and flawlessly executed. Bridal magazines and websites often provide detailed wedding planner checklists spanning a yearlong timeline, and venues,

7 – 9 MONTHS PRIOR Select and schedule an appointment with your wedding officiant.

Schedule a tasting with your reception venue. If catering is not included with your reception venue, research and select a caterer.

Pick one or two bakeries and schedule a cake tasting. Bring pictures of cakes you like. Book an appointment with the florist.

Start planning your honeymoon. Obtain visas/passports for foreign travel.

Book transportation for the wedding party and immediate family members. Consider wedding insurance.

Book a romantic hotel room for your wedding night. Set up a room block as an option for out-of-town guests.

Mail out “save the dates” cards and/or create a wedding website. Include the website on your cards. Pick stores and complete a gift registry. Include a link to the registry on the wedding website.

4 – 6 MONTHS PRIOR Finalize your guest list and order invitations.

Select and buy your bridal accessories to bring to fittings. Choose your colors and develop a decor plan.

Shop for wedding favors and/or gift bags. Personalized items may require additional time. Order wedding rings and have them sized.

Obtain marriage license requirements. Schedule accordingly. Visit www.dhh.louisiana.gov and search “marriage license” for information about obtaining a marriage license in Louisiana. Schedule hair and makeup appointments. Plan the rehearsal dinner.

2 – 3 MONTHS PRIOR Begin addressing invitations and mail no later than 6-8 weeks prior to the wedding.

Select readings, songs and processional/ recessional music for the ceremony. Ask special friends or family members to do the honors. Notify ceremony musicians of song selections.

Schedule hair and makeup trials. Bring your veil or headpiece. Arrange the wedding rehearsal. Buy wedding attendant gifts.

1 MONTH – 2 WEEKS PRIOR Send invitations or call those invited to the rehearsal dinner. Begin writing thank-you notes.

Assign the wedding planner or the father of the bride or groom to have cash on hand for gratuities, or put tips in labeled and sealed envelopes. Delegate all last-minute errands to a friend, family member or wedding planner. Attend bachelor and bachelorette parties.

Pack your wedding night and honeymoon suitcases. Present gifts to the bridal party at the rehearsal dinner.

Assign a family member or friend to take charge of gifts or personal items at the end of the reception. Assign someone to drop off welcome bags/ baskets for out-of-town guests.

Drop off personal items at the reception venue (Champagne flutes, guest book, favors, etc.).

DAY BEFORE YOUR WEDDING Get a manicure and pedicure. Exchange gifts.

Create and order wedding programs.

Attend the rehearsal and rehearsal dinner. Assign a wedding planner or friend to bring copies of readings to rehearsal.

Attend final fittings.

DAY OF YOUR WEDDING

Reconfirm deposits and contracts with vendors. Prepare wedding announcements for local newspapers. (Requirements for each newspaper are available online.) Provide the reception venue a final count on the number of guests attending.

Give the band leader/DJ a list of songs and special requests. Develop a day-of schedule for the ceremony and reception. Share it with the church, reception venue and vendors. Develop the group portrait photo shoot list.

1 WEEK PRIOR Get the marriage license.

Pick up the gown and formal wear. Make sure all pieces fit properly before leaving the store. Pack your wedding day supplies.

Reconfirm all deposits and contracts with vendors. Organize final payments for vendors who need to be paid on the wedding day.

Prepare all checks. Assign the wedding planner or a family member to distribute these at the ceremony or reception.

Have fun, but get to bed early.

Groom and groomsmen: Relax, attend a shave appointment, have lunch and get dressed early for pictures.

Bride and bridesmaids: Relax, attend hair and makeup appointments. Order lunch in and get dressed early for pictures.

Bride and groom tip: When walking down the aisle, only look at each other. You can see the other guests on the way out and at the reception. This is why you are there — for each other!

says. “It was a really good contrast between me and her.” The contrast and coordination shows in the details. Kerry’s formal dress was offset by red-hued jewelry, crimson lipstick and the fascinator (a small headpiece popularized in the 1930s) adorning her long, dark dreadlocks. The groom’s pinstripe suit appeared sober and elegant against her ornate accessories. The couple made and installed most of their own decorations, using a beige, white and red color palette to tie in with the venue’s color scheme and their outfits. Kerry says this saved money and granted them complete artistic control over the ceremony. When designing the ceremony’s layout, they also emphasized something important to them: the inclusion of family and friends. “(At some weddings) there is this great distance between the family and friends and the people getting married,” Robert says. “We didn’t want that at ours. We love our (family and) friends very dearly. We wanted them to be just as much a part of the wedding as we were. When you look at the seating arrangement, they were … feet from us.” Deciding on these common values proved to be an important part of planning the ceremony. For a couple who desires an unconventional venue or wants their wedding to project a unique aesthetic, Robert suggests having straightforward conversations about functional and stylistic goals. Also, couples should know what elements they’re willing to give up. “(It requires) absolute honesty on both people’s parts. (Fortunately) we both came to the table with the same kind of idea in mind,” he says. “We had a very open dialogue.” When considering atypical venues, Kerry recommends approaching the owner or manager as

wedding signifies different things to different people, including cherished memory, awkward intersection of family and friends, or the only time you’ve been to church in the past decade. When Kerry Jessica Brown Richards and Robert Ramsey Richards designed their wedding, held last December at the French Quarter bar Pravda, they added another item to the list: conceptual art project. “(Our wedding) was definitely a reflection of how we feel about each other, how we feel about our friends, and our aesthetic,” Kerry says. “We were very particular with everything — we wanted it to look a certain way, we wanted it to have a certain ambience.” Ambience is probably the first quality one could ascribe to Pravda, a dimly lit space decorated in intense maroons and Depression-era furniture. It is also a meaningful space for the couple. When the bar opened, Kerry helped create its design, and she met Robert there in 2007. These connections made it a natural choice for a wedding reflecting the pair’s unique sartorial sense, which Kerry describes as a “dark-inspired vintage with a twist of theatrical.” “My wonderful partner in crime (and I) have the same aesthetic. ... I’m more flamboyant, he likes to wear old suits,” she says. Kerry, a costumer at Biloxi, Miss., costume shop Josette’s who previously worked at Fifi Mahony’s in the French Quarter, spent six months searching for her 1930s-era wedding gown. After acquiring and restoring it, she and Robert looked through Josette’s collection of 1930s replica men’s suits to find the perfect complement. “One of the things that was pivotal in the wedding was ... what we were wearing,” Robert

soon as possible because many businesses may not be able to accommodate such a request at short notice. Also, consider the needs of the establishment. At Pravda, the couple held their wedding during the week at a time the bar wasn’t typically open, so lost business wasn’t an issue. Family resistance also can be a challenge when stepping off the beaten aisle. For this problem, Kerry again suggests honesty, paired with a healthy dose of tact. “Be forceful but always polite,” she says. “The parents mean well.

(The) wedding is such a big part of our society; it’s such a traditional thing. They feel like that’s just how it has to be, and it’s not.” Weddings as creative as Kerry and Robert’s may be the next big thing in terms of bridal style. Robert calls their wedding planning “one of the most positive, pivotal moments in my entire life,” and Kerry hopes to attend more nuptials like theirs in the future. “It would be nice for people to actually be more hands-on and do a different type and have more of their style infused in the wedding,” she says. www.bestofneworleans.com L’IMAGE MAY 2011

andy Stief has served as a bridesmaid in nine weddings. She kept all the dresses for their sentimental value but has worn only one of them again. “It was a black chiffon, sweetheart neckline knee-length gown,” says Stief, who co-owns MaeMe, a new bridal boutique scheduled to open June 1. “It was a very classic silhouette, and with it being black, it was easy to (wear again).” The dress adheres to the guidelines Stief offers brides who want their bridesmaids to be able to wear their dresses more than once: Pick a flattering color and a timeless cut. Black works with most skin tones, Stief says. After a flattering color, fit is crucial, says Wedding Belles owner Amy Casbarian, who adds she and her employees often wear bridesmaid dresses to formal events. “The determining factor of whether (a gown) will be worn again is if it is a great fit … and a color you would order for yourself,” Casbarian says. A stylish gown also is likelier to be worn again. Casbarian has noticed the latest crop of bridesmaid dresses owe more to designer cocktail dresses than their poofy taffeta predecessors. “The trend is to make (bridesmaid dresses) look … like something you would buy off a rack that translates more to the world of fashion than the world of weddings,” Casbarian says. “Designers have tried to take cues from the runway to dress bridesmaids in a more stylish manner, like something you would see at BCBG.”

A floor-length dress with a mermaid skirt can be cut to below the knee and worn as a cocktail dress, Stief says. “But an A-line princess dress might be something you wear only as a bridesmaid dress,” she adds. “I think the silhouette is more important than the coloring.” Some brides are opting to let their maids choose from among two or three different silhouettes, selecting the one that best flatters their body type, while keeping the material uniform. Accessories like cardigans, jackets and opaque tights also put a new spin on bridesmaid dresses. “Some designers promote wearing it afterwards with a jean jacket and flip-flops,” Casbarian says.
