Oklahoma Magazine is proud to present the 2013 Social Datebook – our handy guide to charitable events and programs in Tulsa and Oklahoma City. This annual supplement is just part of our commitment to philanthropy; we sponsor as many events as possible throughout the year and spotlight causes in the pages of Oklahoma Magazine. I hope you’ll find this a useful resource as you plan your social calendar for the year. Oklahoma nonprofits have weathered rough financial times just like the rest of us. Even with the legendary generosity of Oklahomans, many organizations saw their budgets tighten or remain flat while demands for services reached an all time high. While things are looking up, it is still as important as ever to support local charities, and attending fundraising events is a great way to back the organizations and causes that are dear to you. The 2013 Social Datebook includes a wide range of events, from the formal to the casual, so finding an event that fits your interests and your pocketbook is easy. There are many ways to support your favorite charities, and I hope you do that as well, but attending the events we’ve collected for you here is not only beneficial to our communities, it’s a whole lot of fun. ? ! know the Ropes charitable giving not only feels good, but it can also save money at tax time. Faced with ever-rising costs, the loss of government funding and an increasing demand for services, charities are responding by asking for larger contributions from more donors – and they’re asking more often than ever before. Donating can be very confusing when trying to figure out what and how much to donate, and more importantly when tax time rolls around; will that donation count as a tax write-off? According to information posted on the Internal Revenue Service’s website, here are a few tips everyone should know before deciding whether or not to donate to a charity and what charitable donations qualify as a deduction on one’s annual tax return. Make sure the organization qualifies. Charitable contributions must be made to qualified organizations to be deductible. You can ask any organization whether it is a qualified organization or check IRS Publication 78, Cumulative List of Organizations. An updated list is also available at www.irs.gov. You must itemize. Charitable contributions are deductible only if you itemize deductions using Form 1040, Schedule A. What you can deduct. You generally can deduct cash contributions and the fair market value of most property donated to a qualified
6
Social Datebook | 2013
organization. Special rules apply to several types of donated property, including clothing or household items, cars and boats. Recordkeeping. Keep good records of any contribution you make, regardless of the amount. For any cash contribution, maintain a record of the contribution, such as a cancelled check, bank or credit card statement, payroll deduction record or a written statement from the charity containing the date and amount of the contribution and the name of the organization. Pledges and payments. Only contributions made during the tax year are deductible. For example, if you pledged $500 in September but paid the charity only $200 by Dec. 31, you can only deduct $200. Donations made near the end of the year. Include credit card charges and payments by check in the year you give them to the charity, even though you may not pay the credit card bill or have your bank account debited until the next year. Large donations. For any contribution of $250 or more, you need more than a bank record. You also must have a written acknowledgment from the organization. It must include the amount of cash and say whether the organization provided any goods or services in
exchange for the gift. If you donated property, the acknowledgment must include a description of the items and a good faith estimate of its value. Tax exempt doesn’t always mean tax deductible. “We are tax exempt” does not necessarily mean that contributions are tax deductible. The IRS’s definition of tax exempt simply means the organization does not have to pay taxes. Tax deductible means the donor can deduct contributions to the organization on his or her federal income tax return. The Internal Revenue Code defines more than 20 different categories of tax exempt organizations, but contributions to only a few of these categories are also tax deductible. Principal among tax deductible groups is the 501(c) (3) category, broadly termed “charitable” organizations. According to additional information posted on the IRS’s website, the following are common types of charitable organizations. • Churches and association of churches, temples, synagogues, mosques, and other religious organizations. • Most nonprofit charitable organizations such as the National Alliance on Mental Illness, the Red Cross or the United Way. • Most nonprofit educational organizations, including the Boy (and Girl) Scouts of America, colleges, and museums. • Nonprofit hospitals and medical research organizations. • Utility company emergency energy programs, if the utility company is an agent for a charitable organization that assists individuals with emergency energy needs. • Nonprofit volunteer fire companies. • Public parks and recreation facilities. • Civil defense organizations. Barring this, there are still a few checks one can do to make sure a charity is legitimate and to demand accountability from a soliciting organization. According to information posted

by the Better Business Bureau’s Wise Giving Alliance (www.bbb.org), here are a few basics to keep in mind to make sure you are not being scammed when giving a donation: • Check out the organization with the local charity registration office (usually a division of the state attorney general’s office) and with your local BBB. • Think twice about giving cash, especially if the contribution is more than a few dollars. Always make contributions by check and make your check payable to the charity, not to the individual collecting the donation. • Keep records of your donations (receipts, canceled checks, and bank statements) so you can document your charitable giving at tax time. • Mail appeals should clearly identify the charity and describe its programs in clear and specific language. • In reference to telephone, door-to-door, and street solicitations, make sure to ask a lot of questions. Don’t give a donation until you’re satisfied with the answers. Charities with nothing to hide will encourage your interest. If you have questions about how an organization is using its funds or where the proceeds are going, the most effective way to obtain a response is to contact the chief financial officer or the bookkeeper for the organization and ask them to explain their use of funds for programs, administration, and fundraising.

Digital giving more people are utilizing online methods to donate to charitable organizations. Material gift giving may be on its way out the door as more people are ditching conventional gift-giving and swapping it for charitable donations. Charitable giving is quintessentially American, but now people are taking it to a whole new level as they utilize online avenues of donating and “giving back.” More often, people are requesting donations to nonprofit organizations in lieu of flowers or gifts at memorable events such as weddings, birthdays and even funerals, according to charitable giving experts. Jon Siegel, executive director of www. tisbest.org, says the business is committed to fostering the growth of non-material gift giving. The website is dedicated exclusively to charity gift cards. 10
Social Datebook | 2013
“We see ourselves as an alternate to a gift of ‘more stuff.’ That’s really the niche that we fit,” Siegel says. “What makes us unique is that the recipient of our gift card is the person who decides which charity gets the money.” Siegel says the process is very engaging for the recipients of a charity gift card. Online charitable giving is on the rise, and began appearing on the radar in 2007. Charitable giving actually dropped significantly in 2008 and 2009 due to the recession, according to the Urban Institute’s Tax Policy and Charities project report. Numbers increased slightly in 2010 with a 2.1 percent bump in inflation-adjusted dollars, according to Giving USA. The online giving trend picked up steam

in 2010 following the earthquake in Haiti when the American Red Cross utilized not only internet donations for its relief efforts, but also text messaging. Oklahoma Assistant Attorney General Julie Bays says natural disasters are often catalysts for a surge in charitable giving, both traditional and online. “The American Red Cross and other organizations are now soliciting online a lot more than in the old days when a natural disaster occurs,” she says. But natural disasters don’t have to occur for people to find ways to donate to their favorite organizations or to urge friends and family to donate. Newlyweds are urging guests to donate to charities instead of buying wedding gifts, and people are giving charitable gift cards as birthday gifts in place of material gifts. Non-material gift giving is on the rise, as more companies such as www. charitychoicegiftcards.com get more traffic on their websites when people search for “online charitable giving.” Daniel Goodman, CharityChoice Gift Cards co-founder, says the idea of the charity gift card was born after board member Mark Finkel wanted to make a charitable donation in memory of the recently deceased father of a business associate. Finkel had hoped to give a charitable gift card to the family since he didn’t know which cause was important to them, but he wasn’t able to find a website offering the service. CharityChoice Gift Cards is now eight years old and boasts similarities – such as convenience and giving the recipient the gift of choice – to a traditional gift card, yet it’s more meaningful because a donation is being made to a good cause. “I think people are generous, and America has the highest percentage of charitable giving,” Goodman says. “There’s a feeling in 12
Social Datebook | 2013
society that helping others is something that’s meaningful or of value. If you give that as a gift it’s a very thoughtful gift.” Other websites make it increasingly simple for people to donate. Justgive.org provides an avenue for people to donate online to more than 1.8 million charities. “JustGive was one of the first nonprofit organizations to channel the power of the internet for online giving. Our commitment to charitable causes inspires us to create new ways for you to find, learn about, and support virtually any charity, anytime. Our technology and nonprofit experience allow us to provide unique services, programs and advantages,” JustGive’s website states. Younger people are typically embracing online giving more so than older generations, to date. “It’s easier and faster, some ways more spontaneous,” Siegel says. “There’s a whole generation of donors that’s out there right now that’s so used to living in an online world that it’s not odd to them. It’s a bit more challenging for people who are used to writing a check and putting it in the mail.” The wide availability of charitable giving websites also means that scammers are more prevalent and might be on the lookout for those new to the online giving world, Bays says “Our other role is to advise consumers to keep them from being deceived by deceptive charities and to be internet-savvy when they’re putting credit card or debit card numbers online,” she says. Consumers should make sure they type in the correct website address of the charity they intend to donate to, and to keep their computer’s anti-virus software updated as an additional line of defense, she says. cHRiStiNa gooD Voice
Turning A (Non)Profit local experts give the ins and outs of planning a successful charity event. There are hundreds of worthy charities across the state, some more established than others, but all in need of money and goods to carry out their mission. Charity events not only help a worthy cause, but also are great ways to unite a community around a larger purpose.
it’s been Done before Well, most of it has been done before. With so many nonprofit organizations vying for people’s time and money, it’s important to make your event stand out. “You have to create an event that is unique to people,” says Nicole Thomas, an event planner with more than 10 years of experience planning charity functions and owner of the Oklahoma City-based event planning company Epic Events. “I’m not disparaging my golf tournaments by any means, but (everyone) does a golf tournament.” For years, Tulsa Advocates for the Protection of Children, a nonprofit that partners with the Oklahoma Department of Human Services to improve the lives of Tulsa’s abused and neglected children, held an annual event called “Stampede.” It was a simple event, with cocktails, a buffet and an auction, that had grown stale over the years. “One of our younger members actually just said the party was boring,” says Marsha Hackler, event chairwoman for TAPC. TAPC saw dropping attendance and contributions and decided it was necessary to create a unique, new event to keep donors interested. The result of the change is the annual Dancing for Little Stars event. Like the TV show Dancing with the Stars, five to six amateur dancers get paired with professionals in a dance 14
Social Datebook | 2013
contest. Participants are sponsored by local businesses or foundations and take lessons with their partners for months leading up to the event. They then compete at a dinner benefiting TAPC. The event has found tremendous community support with some attendees asking the night of the event to participate the next year. Also, when choosing your event, keep in mind who the event is catered to. “Know your audience,” says Jane Rohweder, events coordinator in the Tulsa area for MakeA-Wish Foundation Oklahoma Chapter. “Make sure what you offer at the event is going to be something that that particular audience will buy into.”
Pick a Date Once you’ve found your unique idea, you’ve got to nail down a date. “Look at a calendar and see what other competing events are there,” says Thomas. This doesn’t only mean other nonprofit events. This being Oklahoma, remember that fall Saturdays are hallowed days for many people. Attendance is easily affected when scheduling events during a Sooners or Cowboys game. And if your event is in Oklahoma City, consider what days Thunder home games fall on, suggests Thomas.
location, location, location As soon as you pick a date, secure a location. Will you need a space with sound system capabilities for a concert? Do you need kitchen facilities? Is there enough lighting in your intended room? “We probably looked at 10 to 12 venues to find a place that we could actually stage a dance contest in,” says Hackler.
Funds and Friends Soliciting sponsorships is critical. “Generally, organizations make their money off of sponsors that help underwrite the event,” says Thomas. What is made from entry fees and tickets is usually not enough to pay for most events themselves, according to Thomas. Nonprofits often have little or no budget for activities beyond their stated purpose so every bit of sponsorship money is helpful. With sponsors secured, you then “promote the hell out of it,” says Thomas. “You also want to get key people in the community involved with the event.” Getting an important community figure involved with the event can help increase visibility. Past emcees for Dancing for Little Stars have been Tulsa television personalities

Carole Lambert and Terry Hood, and a charity fight night organized annually by Thomas has featured boxing greats like Joe Frazier as guests. Successful promotion not only can make for a successful event, but can also help a nonprofit in the long run. “A lot of times with nonprofits, they look at events as fund raising and friend raising,” says Thomas. “That friend raising is going to sustain you past the event.” While charity boxing matches and dance contests are a blast for the community, it’s important to remember why your charity event was planned in the first place. Keeping the beneficiary at the forefront helps all involved, says Rohweder. “If everyone keeps their eye on the mission it turns out to be a successful event,” she says. moRgaN bRowNe
