I N T R O D U C T I O N
What is a PARKING AREAS OVERSEER?
The Parking Areas Overseer is responsible for aiding guests* upon their arrival at the event as well as continuing to monitor the parking areas and offer assistance as needed for the duration of the event.
*this includes helping guests park correctly and efficiently as well as offering assistance as they enter the building with luggage/ supplies/ etc.
The Parking Overseer is usually the first member of the serving team for your event to have interaction and greeting opportunities with the arriving guests. The type of welcome that guests receive can often affect their mood and how open their heart will be toward the coming event. If their arrival time is filled with frustrations, difficulties and anxieties, their mood may be dampened and they may even have thoughts that they should not have come. Unconsciously, this might cause their heart and spirit to be less free and open. How the arriving saints are served by the Parking Team during the arrival will help to set the tone for the beginning of each event.
The arrival time is the connecting period when saints can set their busy, hectic, tiring and sometimes overly demanding life aside. An opportunity should be presented to them to enter and enjoy a warm, welcoming, well
prepared environment in which everyone feels “I am so glad I am here!” It is in such a setting that hearts will be open to fellowship with one another and be ready to receive the ministry of spirit that will be present throughout the event.
A setting such as this rarely happens by accident. It can be produced however by a serving team that deliberately plans and prepares and serves together in spirit, so that others may enter into the same realm.
PLANNING YOUR EVENT
When a large number of saints are attending your event, there may not be adequate parking available. The brother(s) responsible for overseeing the parking areas will need to help these arriving guests park correctly and efficiently so that the maximum number of cars will fit in the lot and the saints will be able to enter the house quickly and safely.
In order to accomplish this, the Overseer may need to assemble a Parking Team in advance to help with these responsibilities and in addition make a schedule for the members of this team so that the serving will continue for the duration of your event. As the Overseer you will need to properly equip each member of your Parking Team in advance so that when they arrive they are already aware of their responsibilities and they come ready to serve.

DURING THE ARRIVAL TIME RESPONSIBILITIES
A. ORIENTATION MEETING
As Parking Overseer you must arrive early before other guests so that the lot will not have cars already parked incorrectly in it and so that you arrive in time for the scheduled Orientation Meeting. The Orientation Meeting is very important because it will be during this time that you will receive updated information that is necessary for you to serve effectively. This will include matters such as weather conditions and their implications, group specifics, schedules, current parking lot conditions, etc.
B. GEAR/PARKING SUPPLIES
Locate the parking supplies bin with the gear provided for the Parking Team to wear and use while serving. Make sure that the flashlights and traffic wands are in good working order, that the traffic vests are available for use, and that there are adequate vehicle ID cards for your group. Locate any umbrellas that may be available for use if needed. In the winter months, locate the Snow Shovels and Ice Melt provided for clearing the walk areas. Brooms are provided for light snow. They remain by each door throughout the year so they can be used for dirt, stones, grass clippings, etc., during the warmer months. Their use will be discussed at the Orientation Meeting.
C. VEHICLE “ID CARDS”
As each car arrives, the driver of that car should be handed a card by the Parking Overseer or team member to fill out and place on their front dash board in good view. The name of the driver and their cell number need to be printed on this card so that if there is any situation that arises concerning their car during their stay, they can be contacted quickly and the situation rectified. (ex.: improperly parked, headlights left on, windows open and rain threatening, security alarm sounding, etc.)
D. PRE-PARKED CARS
When you arrive, if other cars are already in the lot, make sure that they are parked correctly. If they are not, you will need to find the owner(s) of those cars and have them move their car immediately to an appropriate spot. You will also need to make sure they have a Vehicle ID Card. These steps will help prevent the parking lot from being full with wasted spaces. (If these steps are not taken, you will not be able to park the maximum number of cars in the lot.)

E. PARKING & UNLOADING
Direct the saints to park in appropriate spaces according to the parking lot diagram (see p. 1012). If saints are able to carry their own bags, they should park first and then carry their luggage to the house. If saints want to use the driveway in front of the Fellowship Center for unloading, they must realize that unloading in this area is ONLY for special needs: older age guests, mothers with very young children or babies, those with physical limitations, heavy items, or special items for the event. Unloading in this area should be kept very brief – if possible, 5 minutes at the most, and then the vehicle should be parked in the lot. Avoid blocking the driveway.
F. GARBAGE PICK-UP (WEDNESDAYS)
The weekly garbage pickup is on Wednesday. If your group will be at the Fellowship Center on Wednesday morning or afternoon, it is important that the first four parking spaces of aisle #2 (refer to FC parking diagram spaces #15-18 on p. 11) are kept open until the garbage dumpster has been emptied. These spaces should be marked with the four short orange traffic cones, indicating that no one should park in those spaces. After the garbage has been picked up, the cones can be removed and those spaces may again be used for parking. This point will be emphasized at the Orientation Meeting.

G. TRAVELING BETWEEN HOUSES
When the Huntington House is being used along with either or both houses at Ashland Woods, those staying at the Huntington House will often drive back and forth between their house and Ashland Woods. When this occurs at your event you MUST inform all saints traveling between these properties that they must follow these instructions, in order to avoid two dangerous intersections marked with on the map.
1. When exiting the driveway from the Huntington House you cannot make a right turn onto Hawley Road. You must turn left and take Hawley Road to Stewart Rd. Turn Left. Take Stewart Rd. to Rt. 58. Turn Left. Take Rt. 58 to Township Rd. 150. Turn Left. Take Twp. Rd. 150 to Twp. Rd. 391. The entrance to Ashland Woods will be straight ahead.
2. When exiting Ashland Woods, at the STOP sign at Twp. Rd. 391, they MUST go straight. NO RIGHT TURN is permitted. Take Twp. Rd. 150 to Rt. 58. Turn Right. Take Rt. 58 to Stewart Rd. Turn Right. Take Stewart Rd. to Hawley Rd. Turn Right. Take Hawley Rd. to 28388 on the right-hand side.
3. When guests leave the driveway of the Huntington House after an event, they still should NOT turn right onto Hawley Rd. to go home.

DURING
THE EVENT
A. HELP SAINTS PARK CORRECTLY
Helping the saints to park correctly throughout your event is very important, but especially for the first few meetings and for the first few days of an extended stay. In addition, make sure you (or someone who is part of your Parking Team) are present outside and serving when the saints arrive in the early morning for breakfast. Then continue to provide parking help as other saints arrive at the meeting time.
OBSERVE SPEED LIMIT
The speed limit on any part of the driveway after turning at the corner STOP sign is 10 MPH.
This should be strictly observed unless there is an emergency. Any cars observed driving faster than 10 MPH should be reminded to lower their speed. For repeat offenders, continue to remind them as many times as necessary. Often when saints are new or not familiar with Ashland Woods they can be seen driving too quickly when they arrive. It is necessary to share with them this stipulation and to remind those who forget.
B. MAINTAIN GOOD PARKING THROUGHOUT THE DAY
Throughout the day, cars will be coming and going. The Parking Overseer will need to use good judgment as to the situations that this will present. Sometimes many spaces will open up at once and if cars are not re-parked in those spaces correctly the number of available spaces will go down quickly.
C. EVENING PARKING
During certain events saints may be attending evening sessions only, and are not actually staying at the residences. This means that parking during the dinner hour and before the evening session will need to be carefully monitored, since these are the times when the commuting saints typically arrive.
D. PROHIBIT PARKING/DRIVING ON THE GRASS
Parking or driving on the grass is not permitted. This is particularly important to mention when saints arrive at the beginning of your event. Then for the first few meetings, when those who are staying at the other houses arrive for the meetings, they will need to be parked among the existing cars in the lot. When capacity is reached, please refer to the section on page 8 regarding this.
THINGS THAT HAPPEN WHEN THE PARKING OVERSEER IS ABSENT. AVOID THESE:
SPECIAL SITUATIONS
A. WHEN PARKING AREAS ARE FULL
If the parking areas are full due to either large event attendance or there is reduced parking for other reasons, the saints staying at the Huntington House will need to carpool as much as possible when driving to the Fellowship Center. This will ensure bringing as few additional cars as possible.
Those staying at the Log House should leave their cars there and walk to the Fellowship Center as much as possible.
For overflow parking needs:
1. Speak with Ben Shumway during your Orientation Meeting before your event.
2. Refer to the Parking Diagram for your specific house first.
3. Double park cars where possible. If this option is used, those cars must be moved promptly after the meeting.
4. The log house parking area may be used for overflow according to instructions from Ben Shumway.
C. WEATHER | SNOW
During the winter the snow piles often reduce the parking areas. This means that adjustments will need to be made since the listed parking capacities will not be able to be achieved. You may also need to shovel the walkways frequently throughout your event.
B. WEATHER | RAIN
When it is raining, you may want to provide an “umbrella service.” Discuss this at your Orientation Meeting.
Pay attention to the low areas of the parking lot which fill up with water. If your group does not need to use all the spaces in the lot, avoid parking cars in those low areas.

If your event is at the Fellowship Center on Wednesday AM, leave spaces open for the garbage truck. Specific instructions for this are on page 4, and more details will be given at the orientation meeting.

D. NIGHTTIME CONDITIONS
It is very important that at night all outside lights are turned on for the safety of pedestrians in the parking area walkways or driveway. If the lights are not turned on in a timely way, it can be extremely dark and therefore dangerous. The time for the lights to be turned on or off will be covered at your Orientation Meeting since these times change throughout the year.
E. CAR PROBLEMS
If towing assistance is ever required call either AAA (if the saint has this roadside service) or Bauer towing (which is located ~2 miles away on RT. 58):

THE CONCLUSION OF YOUR EVENT
Whenever possible, guests should carry their luggage to their car in the parking lot. Those needing to use the driveway in front of the Fellowship Center for loading should observe the following:
1. Guests loading from the front of the Fellowship Center should be quick, keeping their time there as brief as possible, no more than a minute or two.
2. Car doors should be kept closed as much as possible. Open doors will block the driveway, forcing the passing vehicles to go on to the grass, which is prohibited.
3. This area is dangerous during unloading and loading and should be watched carefully by the Parking Team.
FINAL CHECKLIST
Return all traffic vests, flashlights, traffic wands, and parking supplies to the parking supplies bin when finished. If any are low in battery power, damaged, or otherwise not working properly, please make note of this and mention it to Ben Shumway.
Walk through any areas used for parking and carefully look at the ground - pick up any trash, pens, pins, wrappers, tissue, etc., and all items that are not gravel.
Check for any luggage, bags, or items left outside or in the coat room by departing saints. If anything is found, make sure it is given to the House Host or to the Group Coordinator.
