Choose a venue for your rehearsal, welcome reception, post wedding brunch. Ask your Special Events Manager about the options for these additional wedding weekend events.

6-9 MONTHS TO GO
Book all your vendors.
HVH TIP: Explore all the Island has to offer with local vendors.
Decide on arrangements and bouquets with your Floral Designer
Select a menu and schedule a plated menu tasting with your Special Events Manager.
HVHH TIP: Schedule your tasting 4 weeks in advance.
Reserve all necessary on island rentals and linens that work with your floor plan.
Finalize your food and beverage selections for the wedding reception
Discuss the style and wording of your wedding invitations with a Stationer.
Create your gift registry.
Arrange and book any necessary transportation.
Go over bridal shower/ bachelorette details and the guest list with your Maid/Matron of Honor/ hostess.

3-5 MONTHS TO GO
Order any wedding favors for your guests.
HVH TIP: Shop local to add that Vineyard touch
CONCENTRATE ON FINALIZING THE:
Guest list. Compile mailing addresses.
Confirm invitation and stationary.
HVH TIP: Individually name guests so you know who is having what! Also, make sure to include at the bottom of the invitation a note for any dietary restrictions.
Ceremony readings and vows
Create a timeline of the reception formalities that will appear on your BEO.
HVH TIP: Utilize your Special Event Managers experience and expertise
Shop for and purchase your wedding rings.
Researching marriage license requirements and name-change paperwork.
HVH TIP: In MA, applications for marriage licenses are accepted 60 days prior to the wedding date. Both parties must be present when applying.
Finalize honeymoon plans and obtain all necessary documents. Make sure your passports are up to date.
6 - 8 WEEKS TO GO
Send out your invitations
HVH TIP: Invitations are traditionally sent 6-8 weeks prior to the wedding date.
Touch base with your vendors to confirm date, deposits and details.
Give the wedding party a nudge make sure they ’ve ordered all necessary attire.

3-5 WEEKS TO GO
Send out rehearsal dinner invitations. If your get-together will be informal, send an Evite.
Arrange seating and create the seating chart and/or place cards.
HVH TIP: Make sure you have meal indicators on each card so the servers know who is having what. Make your indicator something that goes with your theme and colors!
FINALIZE AND CONFIRM:
Wedding vows and readings with your Officiant
Shot list with your Photographer/Videographer.
Song list for ceremony, cocktail hour and reception with your DJ and/or Band/Musicians.
Timeline for the reception and who’s giving the toasts.
Schedule Ceremony Rehearsal
HVH TIP: Would you like your officiant to attend?
Purchase your guest book, toasting flutes, cake servers, unity candle, and all that good stuff.
Make sure all your RSVP’s are in!

2 WEEKS TO GO
Give final guest count to your event manager.
HVH TIP: Include yourself and other half. Do your vendors require a meal in their contract?
Confirm arrival times and finalize the wedding timeline with vendors and the wedding party make sure your MOH has a copy, too
Put together your own Bridal Emergency Kit.
No later than 14 days prior sign final event order and finalize all prepayments.
DAYS TO GO
Bring all of your decorations to the hotel and go over everything with your event manager Go over floor plans, menu and timeline one last time to confirm HVH TIP: Share your vision - Snap a photo of any specific settings.
MA Marriage Licenses have a minimum 3 day waiting period – no procrastination!
