Graphics Center Design & Fine Printing Procedures The HFCC Office of Communications

HENRY FORD COMMUNITY COLLEGE GRAPHICS CENTER Welcome! The Office of Communications and Graphics Center can help you reach your target audience effectively when engaged early in the development process, as well as meet your target deadline. We believe that collaboration at the start of the process will yield the desired results you seek. For more information on services available through the Graphics Center, contact the Office of Communications at 313.317.6800, email gjerwin@hfcc.edu or to check the status of a current project in the Graphics Center, please call the Center directly at 313.845.9627. The Graphics Center is overseen by the Office of Communications. The Graphics Center is located in the basement of the MacKenzie Fine Arts Center and serves every segment of the college. The Center gives first priority to the preparation and printing of those materials that directly support classroom instruction. Submission Policies for Fine Printing and Graphic Design Services The following procedures and policies help the Office of Communications and Graphic Center develop projects as efficiently and effectively as possible. To ensure that customers receive the highest quality products and services, Graphics Center clients must adhere to the following procedures and policies. 1. Customers seeking graphic design services and fine printing services for new products/collateral materials must schedule a pre-production meeting with the Office of Communications prior to the submission of a project to the Graphics Center. Contact Gary J. Erwin, director of Communications, at ext. 6800 or at gjerwin@hfcc.edu to schedule an appointment to discuss your project. 2. Please note that all new projects may exceed seven (7) to 10 business days for graphic design development depending on complexity and size. Proofing from individual departments and individuals may exceed seven (7) business days in addition to graphic development time. The Office of Communications and Graphics Center cannot accommodate projects submitted with less than seven (7) business days of lead time. Please plan accordingly. We encourage ALL customers to engage the Office of Communications in the development process at the onset of project work in order to effectively communicate changes to designers and project managers . 3. Customers must supply all copy with new projects in (a) hard copy and (b) on CD or other transportable media. Copy must be carefully proofed and free from • punctuation inconsistencies; • grammatical flaws; • spelling inconsistencies; and • stylistic flaws (run-on sentences, split infinitives, etc). 2|P a ge
Additionally, please segment copy on the hard copy of material according to headings and subheadings if applicable to the project. You may also indicate directions to designers on the printed text and electronic file. You may also italicize and boldface words if you wish to express some emphasis as necessary. 4. The Office of Communications encourages all customers to consult the Graphics Center Portfolio to examine sample collateral materials and gain a solid understanding of the type of collateral piece required for your project. Portfolios are available for review in the Graphics Center and in the Office of Communications located in office 333 of the ASCC. 5. Following the pre-production meeting with the Office of Communication for new projects that have not undergone any design work, customers will fully complete the Request for Fine Printing Form and submit the project to Gary J. Erwin in 333 ASCC. Please note the following: • Business Card Request Forms, Distribution Request Forms and Quick Copy Request Forms: Customers may submit these directly to the Graphics Center. Please note that production of materials that fall under these three areas could take five (5) business days to complete. You may also submit Copy Requests and Business Card Requests online through the following procedure: 1. Download a copy of the Online Copy Request Form. 2. Complete the form and save it using a file name similar to the job title. 3. Attach the job and the request form files to an email and send it to graphics@hfcc.edu. If you wish to receive a confirmation of your submission, please write the following in your message when sending project: “Please send confirmation of receipt of materials.” To submit Copy Requests through Campus Mail, please adhere to the following: 1. Complete the Copy Request Form. 2. Print a copy. 3. Mail the form and materials to be copied to the Graphics Center, MacKenzie Fine Arts Center. 6. Customers who require advertisements for periodicals, programs, conference proceedings and the like must schedule a pre-production meeting with the Office of Communications two to three weeks or longer prior to the deadline for the advertisement. Following this meeting, customers will complete the form titled Ad Request for Periodicals and submit it to Gary J. Erwin in the Office of Communications, 333 ASCC.

7. The Graphics Center provides self-serve copies for the HFCC community for basic copies. However, the limit of copies that users may make is 30 sets of 10 pages. If you have a job that exceeds this limit, you must fill out the appropriate print request form and submit to the Office of Communications or Graphics Center depending on the type of project you need to complete. The Graphics Center is happy to assist with Quick Copy work if given a minimum of two days notice. Please note: the Graphics Center cannot accommodate copy projects requested on the same day they are submitted to the center. Please plan ahead. The on campus copiers are low volume and cannot accommodate large copy jobs.
