Hello Members, Hope you all had as much fun and as connected a HIM Awareness week as I did. It was great to see photos and hear the various activities members conducted at their workplaces to highlight who we are, what we do and the value we bring to our organisations as HIM professionals. Eleni Efthymiou, a HIM who has been intimately involved with the Royal Prince Alfred Virtual Hospital (rpavirtual) was interviewed by PulseIT for HIM Awareness Week on their efforts to redesign its service to accommodate COVID-19. The article highlights the HIM skills deployed across a health service which has an EMR. I’d like to think that my coding books which were passed onto Eleni during our La Trobe days have helped in her HIM career! As a HIMAA member, we all have the benefit of accessing PulseIT for free. The State of Origin Game and Virtual Social Night were a couple of great events held digitally during HIM Awareness week to let our hair down and connect with our colleagues and friends. I’d like to thank Milla and Pat for organising, the irrepressible Cameron Barnes for hosting State of Origin and participants for injecting fun into the week. It certainly helped me to stay sane during this time of social distancing.
Modernisation of Operations One of the memes I’ve seen on the internet recently is “Who led the digital transformation of your company? A) CEO B) CTO C) COVID-19” COVID-19 has certainly changed how we work and engage with each other. The National Office moved quickly to working from home arrangements when the crisis hit. Mark our interim CEO only had a couple of weeks in the office before the Tasmanian border was shut. Since then, he has managed and directed HIMAA operations from his home office in Hobart. Before COVID-19 we already had a couple of educators located interstate.
In the last 18 months, the Board has set out on a modernisation agenda. As an organisation we have been illequipped and constrained from a technological standpoint to support our operations in delivering membership and education services -our core business. I will spare you the detail, however our legacy systems including the website have proved challenging to bring to contemporary standards due to how they were originally setup. Luckily for HIMAA, moving to Microsoft Office365 went live just as the COVID-19 restrictions hit. The Board in the last 12 months and most recently Mark has driven the transition to Office365 which has allowed staff to work remotely. The investment in moving to Office 365 is substantial, however the productivity gains are enormous for HIMAA. In the background, systems have been decommissioned where they no longer provide value. The Board will continue to support investments in technology that provides positive Return On Investment in our operations and delivering of membership services. As a National organisation whose members are scattered across Australia and around the world we need to retain and attract the best people to help us deliver the best membership and education services for HIMs and Clinical Coders. We also need to provide modern tools to accommodate the different geographies and time zones where our staff and members are located. The webinars which kicked off last month with Nina Lean on Evolving CDI were a hit. Once again, we’ve been talking about delivering webinars for years and COVID-19 was the burning platform that made it an imperative. We now have a template on how to execute and deliver webinars. Chief Executive Officer Greetings all!
HIM Awareness Week turns 5! My heartfelt recognition goes out to all HIM Professionals, especially during HIM Awareness week 2020. Planning for the HIM Awareness Week in 2020 had been a challenging exercise for some sites due to physical distancing requirements, but we were overwhelmed with the creativity of our members designing posters, profiling their staff members on Intranet pages and running memes and competitions to name a few. We promise to be back next year with more ideas for both digital and in-person events. Your support is always appreciated. In addition, it’s our 5th year of running HIM Awareness Week. In anniversary terms, this would be our "wood" anniversary. Wood represents strength and stability. We started in 2016 with 32 participating sites and continue to grow with over 100 sites promoting our week in 2020. HIM Awareness Week is a great initiative that allows us to bring our profession to light especially in times when health data is as important as ever. Thanks to you all, HIM Awareness week has proven its strength and stability on the national agenda. Over the past several weeks, I have been working with the Board and National Office staff to look at models of service delivery to ensure our practices are consistent and sustainable so we can be accountable to members. The Board have approved a revised Terms of Reference (ToR) template which we will now implement across all committees. The new ToR will also include an annual Work Plan to support ease of reporting and visibility of progress on strategic agenda items. The new templates will start being released over coming weeks. COVID-19 has impacted all of us in many ways. Loss of, or reduced employment has become real to many of us and in financially challenged times, we need to ensure our organisation remains financially healthy so we can continue to deliver member and student services. In line with national guidelines, I have recently enacted JobKeeper

strategies across the national office. As a result, staff will be temporarily working reduced hours, but we strive to ensure “business as usual”.
International Nurses and Midwives Day - In memory of Matron Major Elizabeth Orr RRC Tasmanian Nurse Elizabeth Orr enlisted in the Boer War and World War 1. Born 8 September 1860. Trained as a Nurse at the Hobart General Hospital in 1881. Sister Orr was nearly 40 years of age when she traveled to south Africa in January 1900 and joined the Queen Alexandra Imperial Military Nursing Reserve. Sister Elizabeth Orr was granted the Queens South African Medal for her service. In 1914, at 54 years of age, Sister Orr was appointed to the role of Matron of Transports and hospital Ships in the Mediterranean, Gallipoli and Salonika areas. A plaque in memory of Elizabeth Orr is situated at the Hobart Queens Domain, Hobart,Tasmania. Been to a good digital PD event of late? HIMAA are hosting a number of digital Professional development events. It was my great pleasure to host the recent CDI PD event, facilitated by HIMAA member Nina Lean. A fantastic session with 164 attendees. What’s next I hear you say? Several more PD are planned overcoming weeks and I am advised that we already have over 250 attendees booked for the next event. Fantastic! Finally, a question regarding HIMAA publications. Continuing to deliver on our Presidents vision for a modern HIMAA, the National Office is considering formats used to publish our excellent range of publications with a view to moving to full digital publications only. Not only is this a cost-effective model, it is also environmentally responsible and allows for greater access to digital content. Feel free to let me know your view. Mark Upton A/CEO HIMAA

the outbreak of COVID-19 relies on data to inform decisions. The Independent Hospital Pricing Authority (IHPA) is responsible for the development and refinement of the classifications used to describe hospital patients and activities in Australia. IHPA has updated the national activity-based funding classifications to accommodate the emerging situation with COVID-19. This webinar will describe the rules developed by IHPA for coding and reporting of COVID-19 episodes of care in admitted, emergency department and non-admitted settings. The webinar will provide an opportunity to ask questions about IHPA’s approach to issuing coding advice related to COVID-19 and the principles behind the implementation of the emergency use codes for COVID-19, although specific coding queries are expected to be submitted and addressed through normal processes.

The HIM Awareness Week 2020 is over and it was a huge success. When the corona virus hit us and turned everything upside down, we had doubts about how this week would go ahead with all face-to-face interactions being out of the question. We thought we might get less supporters this time and that would be understandable. But here we are with over 100 participating sites, not counting those which supported us only in digital format. Our amazing members were creative as always, from physical displays to running campaigns, like ‘Your hands are clean, but what about your data?’, profiling their seasoned professionals and young guns as well, baking cookies with HIM Awareness Week emblem and delivering them all across their hospital’s departments.

Social media platforms were busy with posts about the important work HIM professionals do. During the pandemic, health data became important as ever and it allowed many to bring the profession to light at their workplaces. Pulse+IT featured one of our members in their article about the virtual RPA hospital and the involvement of HIMs in such incredible projects. Some members were absolutely superb in exercising their journalism skills and profiling the profession, as well as particular members through their blogs and posts. If you have not been on social media for a while, I do encourage you check out all recent posts with #himawareness20 HIMAA also ran a poster competition with some excellent entries and we published them on LinkedIN and FB. Another interesting competition was made available to our members - a word search quiz with a hidden message ‘Health Information Management an exciting profession’. I was overwhelmed with the response from our members. In the first 30 min after the quiz was out, I have received 30-40 correct answers. The first 3 will get a prize this week. This pandemic has forced us to embrace the digital presentation format. We have moved to delivering PD in a webinar format. The second one was presented by Jo Williams on Tuesday with a record number of participants 297! It sets a benchmark for all our future webinars and the next two are not to be missed, as they will be surrounding COVID-19.

Well, we also tried a new format for our social functions. On Wednesday we produced a very entertaining show – State of Origin (NSW Branch vs QLD Branch). Those who took part in it in different roles (players, captains, umpires, fans) have not laughed so well in ages! Sport, intellect and teamwork brought both teams to 32:32 score which left HIMAA the big winner. Another social function that took place on Friday night was a lighthearted event for our members, Board and National Office Staff. Whilst enjoying our own drinks and nibbles, we were able to find out more about what our members were up to during quarantine, had some trivia games, looked at adorable pets, performed karaoke and competed in the toast masters competition. The topic brings together multiple articles published in HIMJ, grouped into themes of clinical documentation, complexities in health classification and clinical coding, and the impact of classification and clinical coding on various stakeholders. The issues raised and discussed by the authors of papers in the Virtual Special Issue highlight the health classifications’ many uses, interdependencies between users, the need for accuracy and accessibility, and the complexity of the classification work undertaken by clinical coders and health information managers. HIMAA RESEARCH ADVISORY COMMITTEE CALL FOR EXPRESSIONS OF INTEREST Background The Health Information Management Association of Australia (HIMAA) identified research as a strategic priority in its Strategic Plan 2014–2016, and this research continues to be recognised as an important strategic direction in the current HIMAA 2017-2022 Strategic Plan. The Research Advisory Committee (RAC) is set up as a permanent committee of HIMAA to implement a work plan and coordinate the HIMAA research agenda. The Terms of Reference for the RAC can be found HERE.
Committee Membership Call for Expression of Interest A number of vacancies have become available on the RAC. The National Board calls for nominations to the RAC through an expressions of interest process. Membership of this Committee will include a minimum representation from individuals working in academia, research, industry and student representation. The Terms of Reference outline the requirements for membership of the Committee. If you have an interest in, or are involved in health information management or health research, and would like to submit an EOI, please email the HIMAA Executive Office by 5pm AEST Friday 29 May 2020. Applications are to include a current curriculum vitae and a 150-word statement as to why you would like to be considered for membership of this Committee. HIMAA PRIVACY & SECURITY HIM SIG CALL FOR EXPRESSIONS OF INTEREST A number of member vacancies have opened up for the HIMAA Privacy and Security HIM Special Interest Group. The current health environment is growing exponentially in digital health, increasing the level and availability of health information to a greater number of areas and people. HIM professionals are tasked with challenges in maintaining privacy and confidentiality within this environment, which has increased in complexity due to Security issues and rapid changes in legislation. The HIMAA Privacy and Security special interest group is tasked with making sense of this changing environment for HIMs, providing advocacy for our profession in times of pressure and highlighting changes within legislation and policy. We hope to also have regular video calls for our meetings, webinarsand provide resources for the HIM profession.
