Business Updates


Manual Updates We are excited to release updated versions of the SAM Manual and the Emergency Procedures Manual. These new versions are the result of extensive collaboration and teamwork by so many in the company with our Regional Resident Services team leading the way on content development. You will notice that the Emergency Procedures Manual is now separated from the SAM Manual. The content found in the Emergency Procedures Manual is important for all team members to read and understand so we felt like it was important for this manual to be a separate document for all to access. The Employee Handbook has been revised and was made available in Ultipro in August. All employees were to acknowledge the Employee Handbook in Ultipro by 8/31/2020. Additionally, we are taking a fresh look at our Operations Manual. The revised version will be released by October. Printed, bound copies of the SAM Manual and Emergency Procedures Manual will be shipped to each of your communities within the next two weeks. COVID-19 Update We are continuing to monitor state, local and CDC guidelines regarding COVID-19. Below are important updates to help take care of our Hawthorne family and to help slow the spread of COVID-19. Employee Daily COVID-19 Health Assessment If you are sick, please stay home! All employees are required to complete the self-administered Employee Daily COVID-19 Health Assessment before entering their work location. If you answer “Yes” to any of the below assessment questions, you must stay home and contact your supervisor. • Do you have a fever of 100.4°F or higher? • Are you experiencing symptoms of COVID-19? - cough, shortness of breath, difficulty breathing • Are you experiencing a combination of two or more of the following symptoms? - chills, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea or vomiting, diarrhea • Have you or someone living in your home been confirmed with COVID-19 within the last 14 days? As an added measure, supervisors will ask each team member if they have completed this assessment and answered “no” to all questions before the workday begins. Employees that have been in close contact (within approximately 6 feet or 2 meters) of a sick individual for a prolonged period of time (more than 15 minutes) within 48 hours of symptoms developing or within 48 hours of testing positive if asymptomatic, must notify their supervisor immediately. Supervisors will notify our Leave Department for further directions.

Thermometers

Touchless thermometers were sent to each property in July. Supervisors will administer temperature checks of each employee every morning before beginning the workday to ensure all employee’s temperatures are below 100.4°F.

COVID-19 Update cont. Supervisors may administer additional temperature checks during the day for employees who experience symptoms of COVID-19. Employees who become ill while at work with COVID-19 systems, must notify their supervisor and go home. Employees who display symptoms of COVID-19 while at work will be sent home. Time Off Hawthorne modified time off policies in March through June 30th. Effective July 1st, we resumed standard time off policies as detailed in the Employee Handbook. Now that health care offices are reopening and/or providing tele-visit options, effective July 1st, Hawthorne is reinstating the requirement to provide a doctor’s note if out of work for 3 days or more for any illness including COVID related illness. Our Leave Department team members are available to assist with COVID-19 HR questions. Please email our Leave Department at HR-Leave@hrpliving.com if you have any questions. Updated COVID-19 HR FAQs have been added to the portal. They can be found in the “HR COVID-19 Guide for Managers” document. If you leave home, know your Ws!

New Development Spotlight! Hawthorne at Pine Forest

Hawthorne at Pine Forest is a 168-unit, Class A, garden-style apartment community being built in Oak Island, NC. Hawthorne at Pine Forest is the third project being constructed by Hawthorne Construction. The community is situated minutes from multiple coastal destinations and will feature Class A interior finishes and community amenities. Hawthorne at Pine Forest will be the first of its kind in the market. We anticipate having our first residents residing on-site in October, 2020.

Here we grow again!

Upcoming properties in our new development pipeline include: Hawthorne at Bay Forest – 294 Units; Laporte, TX Hawthorne at Daniel Island – 218 Units; Charleston, SC Hawthorne at Oleander – 227 Units; Wilmington, NC Hawthorne Waterside – 276 Units; Leland, NC Hawthorne at Westport – 228 Units; Denver, NC Hawthorne currently has over 7,700 units (29 communities) in the future pipeline to be taken over in the coming months either internally owned or 3rd party managed! With this incredible growth comes opportunities!

Did you know Hawthorne has a

construction division?

Hawthorne Construction was started in 2018 with the goal of complimenting Hawthorne’s existing apartment development business and bringing a higher level of coordination to our Development projects. Since inception we have started 5 apartment construction projects totaling 1,000 units. The construction division allows us to expand Hawthorne’s footprint in the multifamily development space and build well located, superior rental housing for our residents. While we still partner with other development firms and general contractors, having our own construction division gives us more control over the construction process from start to finish. We approach each deal individually to come up with the best site plan, unit mix, and design, leveraging our vast knowledge of the multifamily space and years of operational experience. We are also fortunate to have great equity and lending partners to help us capitalize these deals. We hope to finish our first project, Hawthorne at Haywood in Asheville later this year, and look forward to building on the success of the construction platform.

Even when the hurricane destroyed my apartment with rain damage, they were quick with ensuring myself and my family were moved into a new apartment. Any maintenance issues were taken care of and done right the first time. I relocated back to Texas recently, and they made my last few weeks stress free. LIVE IT! Corner COVID Hardship Program

We are excited to be launching a new program which will assist residents with a true hardship need. Please submit 1 resident story, per community of a resident that has been impacted by COVID in a critical way. Stories need to be emailed to covidhardships@hrpliving.com by September 15th. Stories will then be reviewed, and HRP Management will select residents with the greatest need to receive financial assistance from our company. Residents selected to received assistance will be announced by October 15th. We are looking forward to being able to assist residents that we come face to face with! HR Tips For Managers

Always Hire for Attitude and Integrity First - Skills & Experience Second As the saying goes, “One bad apple can ruin the bunch”. The same goes for employees. According to research by Harvard Business Review, negativity and bad behaviors are contagious and it only takes one employee to negatively impact the rest of the team. It can be difficult to spot toxic behavior in an interview, but it can be done! Here are a couple of quick interview questions to help you spot a “negative Nancy” before they join your team. What would you change about your previous job/employees? •Toxic answer –

o Whines or complains about their boss or their team, they dive into a laundry list of faults about their previous job. o They avoid answering and say they would change nothing. Push deeper asking them if they had to choose 1 thing, what would it be.

•Ideal Answer – o Look for someone who is honest, takes responsibility for things they could have done differently and speaks positively about changes/improvements. Tell me about a failure or a time you could have done better. •Toxic answer – o Explains a time where someone else was the reason for the failure. They may also have a hard time admitting their responsibility. o They can’t think of a failure. Or, they joke about a small failure to avoid answering the question. Push deeper ask ing them to choose 1 time they could have done better. •Ideal Answer – o Answers humbly, explaining a time they experienced failure, how it impacted them, what they learned and how they grew. Listen closely to your candidate’s answers. If they don’t go deep enough ask questions like “Can you tell me more?” or “What do you mean by that?”. No matter how great a candidate might seem, if they exhibit these toxic behaviors - Do Not Hire! No amount of experience is worth the negative impact a toxic employee can make on your team.
