When I moved in, everything was as told. The amazing staff left a letter with my keys on the counter because the office was closed the day I moved in, and yet they still let me move in which was super accomodating. I can tell they really care about the people who live at this complex. Maintenance came in the moring after I left a maintenance request and completed everything very timely. Outsanding!!!!

He took his time with us, answered all my questions, he made me feel like this will be a safe place for my only child to live. 2019 EDUCATION CONFERENCE
SEPT 26-27TH
Our 2019 Education Conference has come and gone and what an amazing whirlwind experience it was! Hundreds of employees from all over the company came together to learn, collaborate and network. A large portion of this content was delivered directly by some of Hawthorne’s corporate team and senior leaders. One such class was the ACM Breakout “Cash is King: Your Foundation to Financial Success”. This class was delivered by Training and Development Manager, Cale Williams and covered the importance of collections as well as “The Five Royal Decrees of Collections”. Those decrees are: 1. Proactive Preparation 2. P.M.A. – Positive Mental Attitude 3. Contact
4.Control 5.Follow-Up
PROACTIVE PREPARATION Make certain to prepare yourself and your residents. For you – stay hydrated, wear comfortable shoes and use the golf cart. For the residents – rent reminder signs and the importance of resident orientation. P.M.A. – POSITIVE MENTAL ATTITUDE Don’t just say positive things, think and feel them too! Place a mirror behind your desk as a trick to deescalate tense situations. Make certain to reframe your mindset; it’s you and the resident against the issue of delinquency (not you against them!) Always remember, every day is a new day! CONTACT Make certain you are utilizing all the forms of contact (letter, phone, email, knocking) and that you’re changing it up. Don’t forget to fill your calendar with reminders to make certain you’re following through with contact and then, make notes of what worked and what didn’t so you’ll be more effective in the future. CONTROL You must maintain control in a situation by being the expert. Familiarize yourself with things like the ledger and local laws. Remain calm in situations, educate the residents of their options and manage expectations accordingly. FOLLOW UP Stay true to what you and the resident agreed upon and hold people accountable. Make certain you’re following up with your team as well in the form of Yardi notes and memos. Be kind but persistent, trust but verify. In the end, when push comes to shove, don’t dawdle and file when the time comes. And that’s it, your Five Royal Decrees of Collections that will help you maximize your collection efforts and be the King or Queen to your kingdom. For those of you that were at conference, don’t forget your contact challenge; make certain to follow up with your partner at the end of the month to talk about what you did and how things went. We’ll see you all next month. In the meantime, keep collecting!

LEADERSHIP CORNER! Leaders are an essential part of a company, and they enable their teams to achieve goals sometimes thought unimaginable. We have asked our leader, Sam Davenport to share some of her insight from questions she was recently asked. 1.What do you feel is the biggest strength of our company right now? The biggest strength of our company is definitely the people and culture. 2. What resources would you recommend to someone looking to become a leader? First, identify a mentor. There are also 2 influential books that I recommend reading: The 21 Irrefutable Laws of Leadership by John C. Maxwell & Winning by Jack Welch 3.How do you ensure that Hawthorne’s charity outreach activities are aligned with your core values? Hawthorne’s underlying intent is to serve others. This is a pretty broad value, and it is hard to go in the wrong direction when planning a charity outreach activity. To ensure the proposed activity is in alignment with our core values, leadership for a community would obtain Corporate’s approval. My favorite charity outreach activities include those that directly impact a person. There is something priceless about being able to look directly at the person that you are helping. It isn’t always about supporting a big charity but instead doing acts of kindness that may seem small to us, but are life changing for the people who we are serving.

LIVE IT! CORNER
Recently we celebrated Maintenance Appreciation week and took some time to show our Resident Services Team how thankful we are of them! Remember that acts of appreciation and kindness don’t have to end at a week!
THERE ARE MANY OTHER WAYS YOU CAN SHOW KINDNESS BY OFFERING CONTINUOUS HELP: 1. Each morning, gather up all the trash in the office/clubhouse area and set it by the door. This will save Resident Services time as they won’t have to go around to every desk to collect the trash. They can just grab it all at one time and take it out to the compactor. 2. Make a calendar showing when you typically pass out notices every month. For example, late notices go out every month on the 6th. Split up the buildings between the team and have the notices prepared and ready to go before noon. This gives each member of the team plenty of time to work them into their afternoon schedule of tasks. 3. If the property is ever under Fire Watch (sprinkler system breaks, etc.) split the responsibility of watching the building between the entire team, not just Resident Services. 4. Make sure you have daily meetings to keep communication open and provide updates/changes to move ins, move outs and scheduling. Good communication is a way to gain the respect of everyone on the team. Let’s continue to be KIND first, and look around to see how we can help each other! It’s simply the right thing to do.
