Having a wider connection and family? Having interchange ideas in agriculture? All those things that you imagined is what IAAS International Exchange Program has! International Exchange Program is main annual event of IAAS (International Associations of Students in Agricultural and Related Sciences). International Exchange Program accommodates the IAAS member to gain knowledge and experience in Agriculture in order to implemented their learning by having internship program in IAAS Country member. This guideline is addressed to IAAS member that has interest to be involved in IAAS International Exchange Program (Expro). Profile 1.1 IAAS Profile IAAS (International Association of Students in Agricultural and Related Sciences) is founded in 1957 in Tunis by 8 countries and headquartered of IAAS World in Leuven, Belgium. At the moment, The Association is one of the world's biggest student organizations and leading agricultural student associations. IAAS gathers students studying, majoring or researching in agriculture and related areas like forestry, food sciences, landscape architecture, fishery, agroindustry, etc. The committees are spread widely in universities of 42 countries. The aims of IAAS are to promote the exchange of experience, knowledge, and ideas and to improve the mutual understanding between students in the field of agricultural and related sciences all over the world. To do accomplish the aims, we organize activities like seminars, working camps, international meetings, exchange weeks, an international exchange program, small-scale development projects etc. To cut a long story short, IAAS is a place where agricultural students from all over the world meet each other, experience new mentalities and cultures, travel and see new places and learn about all aspects of agriculture together with their future colleagues. In Indonesia IAAS known as Non-Governmental Organization (NGO). This is not related to government with its practice political and any international board. IAAS Indonesia itself has been approved as full member since 1992. It gives an opportunity to student in order to look for solution from every case in agricultural world, while facilitating information exchange. Based on basic idea of IAAS, it was aimed to increase the quality of agricultural students in developing their self capability within community service through actively participation on world food development and cooperation among students in agricultural and related sciences worldwide. Today, National Operational Office (NOO) IAAS Indonesia headquarters in Brawijaya University, Malang. Its member includes 9 Local Committee (LC), which are LC Bogor Agricultural University, LC Padjadjaran University, LC Diponegoro University, LC Brawijaya University, LC Haluoleo University, LC Sebelas Maret University, LC Gadjah Mada University, LC Lambung Mangkurat University, and LC Mataram University. In this year, IAAS Indonesia has experienced to build several international and national events, such as The 59th IAAS World Congress 2016, Snapfood Campaign, Youth Agricareture , IAAS Summit, and National Exchange Program.


Exchange Program 2.1 Introduction

Exchange program is the main annual activity of IAAS that offers for students who want to learn and understand more about agricultural and related sciences on international level. In this program students apply and make their skills used as well as experiencing the exchange culture atmosphere. This program is eye-opening and encouraging them to broaden their personal setting. 2.2 Exchange Program’s Aims IAAS is an international student Association that is entirely run by students. It is free of any commercial goal or political affiliation. The association organizes international meetings, congresses, seminars, intercultural exchanges and also the exchange program. 2.2.1 Mission statement of IAAS “To promote the exchange of experience, knowledge and ideas and

to improve the mutual cultural understanding between students in the field of agricultural and related sciences, all over the world” Organizing the exchange program is one of the ways to accomplish this mission statement. With the exchange program, IAAS wants to provide intercultural learning opportunities for young people that contribute to positively to their self realization. Also, trough engagement, IAAS wants to get young people active and provide them with leadership opportunities.

2.2.2 The aim of an internship shall be to provide the outgoing ex change student with the following:  A positive learning experience.  Practical skills and knowledge in a foreign environment to complement their higher educational background.  Interaction with a different social and cultural environment with a view to gaining intercultural competences.  Development of theoretical and practical leadership skills

Opportunity to apply their personal and professional skills, knowledge, attitudes and values to work for the organization as well as the host communities. Develop the students’ awareness and knowledge of social issues and different practices of the sending and hosting country. Opportunity to contribute to students personal and professional life goals

2.2.3 The aim of an internship is not:  To provide an opportunity for the purpose of earning money  To provide a holiday  Intended to be a permanent career placement or recruitment opportunity in another country. If the organization decides to extend the internship on a permanent basis, IAAS will have no role in facilitating this  A vehicle for any person to permanently leave their country. IAAS does not encourage the extension of internships beyond the limit of 12 month.

2.3 Exchange Program Categories 2.3.1 Ceres program Ceres internship is the most common IAAS internship, organized in farms either crop production or livestock. Mostly, accommodation is offered by the family of the farmer. Any type; Agricultural machinery, Food Technology, Plant production, Agricultural production, Forestry, Cash , Any type, Greenhouse (any type), Cereals, Beef, Flowers, Herbs, Dairy, Fruits, Potatoes, Fish, Vegetables, Vineyard, Goat, Mixed farming, other, Horse, Horticulture (anytype) Pig, Fruits, Poultry, Vegetables, Sheep, Flowers. 2.3.2 Archimedes Program Archimedes internship unlike the Ceres program, it involves working in research institutes, laboratories and so on. There are four types of Archimedes program: 1. Archimedes’ Research, the member will have a direct interaction while working in the field of research (i.e., taking part in a scientific project). Specific skills can be required.


2. Archimedes Education, the student will have an assignment to teach a subject in a foreign country. This subject can be a language, or can be connected with the academic background of the student. 3. Archimedes’ Management, Like the Archimedes Education, the Archimedes is still yet to be introduced to IAAS Expro. The student will gain experience with administrative tasks. 4. Archimedes’ Engineering, the students is more involved in technical processes, ICT development). 2.3.3

Libertas Program

Libertas Exchange Program is community development internship. In Indonesia, libertas exchange program applied in 3 choosen village concept project in IAAS LC Brawijaya, IAAS LC UNS, and IAAS LC IPB. 2.4 Countries Destination All IAAS countries can participate in the organization of the exchange program. You can find an updated member list on http:// www.iaasworld.org under member list. The activity level, however, differs from country to country. To know exactly which countries were active recently in accepting students; please have a look on an interactive world map, under http://www.iaasworld.org/db/public/maps.php. By moving with your cursor on the countries, you can visualize their recent receiving activity. However, it is not because a country has not been receiving students last year, that it will not provide places in the future. Keep in mind that, when you register online, you will have to indicate 3 preferred destination countries. 2.5 Expro Requirements  Every member on exchange should be provided at least with lodgment and food for CERES Expro and sufficient salary or stipend for the duration of his Expro experience (It is depended on the regulation of the company in the destination country). The receiving committee shall be responsible for ensuring that this is upheld. All these information need to be clearly specified in the Acceptance note.

A member is eligible for expro until 1 year after his graduation

Members must not join an IAAS Exchange Program with purpose of receiving permanent residence in the country of Expro.

There must be at least one person from the Archimedes Expro place who is officially responsible for the professional development of the student.

Sending Procedure 3.1 Introduction Sending is delivery activity of student for getting exchange program. For the simple explain, below you can see the diagram for doing exchange: 1. Every applicant must be the members of IAAS website on www.iaasworld.org, so that they can access it to do the online registration. 2. On The Application Form, the applicant should fill all of the data and the requirements which are necessary. After that submit the soft copy application to the Lexco. 3. The applicant will receive an invitation from his/her Local Exchange Coordinator to do an interview for the first stage. For the candidate trainee, it is necessary to prepare this interview, by reading the expro guide and provide certain documents. 4. During this interview, the applicant is asked for knowledge about the exchange program (the content of the expro guide) also, all the necessary papers are checked (student enrolment, documents to proof language proficiency and relevant experience). 5. After applicant passed the first interview, the Lexco will send the applicant document to VDE and set the schedule for the second session interview. 6. For the second interview session, The VDE will verify the knowledge of the student about the IAAS Exchange Program procedures, the vision and the material related to Exchange Program. Besides, the VDE should to make sure that the students understand what he/she is supposed to do, according to the exchange guideline. 7. The applicants who pass the second round selection, should fill the online registration via www.iaasworld.org. After the registration is completed, the student’s file is called “black status”. 8. The applicants must pay the Expro fee, than the status will be changed becomes “white status”. In this session the applicant in loading time, because the Exchange coordinator from destination country need to confirmation with the hosting place and quota.

When the Exchange coordinator find the matched hosting place with applicant the status will be change to be “reserved’. This is to avoid that, while the negotiations are proceeding, your file would be linked suddenly to another internship by another exchange coordinator. First to come, first to serve is the rule here. A reservation period can take up to max. 30 days. If a reservation period ends without an internship offer, your file becomes white again. But when the applicant is not placed by receiving country after passing agreed time the status becomes “Unreserved”. 8. If you have been accepted by host country (reserved), the applicant should receive acceptance notification. 11. If a place has been found for you, you will receive an internship offer. If you want to accept the offer, students have to respond this offer by mail in less than 8 days. Also, you have to print an acceptance note, sign it and send it to exchange coordinator both of sending and accepting. 12. If the receiving exchange coordinator received your respond and he/ she agrees, you are placed (placed status) and ready to go but, if you have been on reserved and you are not placed it means your status “Unplaced” and your waiting time was over. To solve this problem you can contact the Nexco or EQB to renew your database.

Application Process Internship starts with an offline registration. The application form can be received from Local Exchange Coordinator (Lexco). The application and document which should be submitted to your Lexco will be listed below: Structure of the offline registration:  Personal information (Application Form)  Health information and Emergency contact (Application Form)  Field of work and preferred countries (Application Form)  Deadline and period of confirmation (Application Form)  Languages, experience and Skills (Application Form)  Comments (Application Form)  Curriculum vitae and motivation letter (Application Form)  Internship plan schedule (made by the applicant it self) Note: the student should send the internship plan schedule for the exchange program to the email address: exchange@iaas.or.id The structure above is as same as the arrangement in the online application. The online application can only be filled after Exchange Participant pass through the application and interview selection. All online registrations of Expro participant have to occur on one single site: on http:// www.iaasworld.org under ‘expro’ and ‘info and application’ (at the bottom of this page you will find ‘apply here’). The next section will explain you about ‘how to fill the online registration’


5.1 Application as an Outgoing Trainee (Student) Go to the international website of IAAS (http://www.iaasworld.org) and Log in. If you don’t have the account please register first with your email address.

You will find registration apply on Members Area and then click on “Start your ExPro Application” or directly click “Exchange Program”. After that the web will show just like this following page:

The program will send the link to your email account, so you need to check the email and start the application by clicking the link:


After clicking the link from your email, you can fill the application step by step as shown below: Personal Information The personal information consist of exchange candidate detail info such as name, address, contact info, date and place of birth, university or institution, etc.

Health Information and Emergency Contact The health information must be filled by the candidate in order to know the condition of the candidate while joining the internship. This also needed to prevent any allergic or diseases which are appear during the program because of the foods, climate or seasons in receiving country and other conditions.


Write the emergency contact of the person who is really know you such as your family, closed friend or your Exco/Nexco.

Field of Work and Country Preferences You give 2 preferences, you select from the list. If you don’t mind what kind of farm you will work on you select `anything` if you want something not listed you select other. If your list of preferences is limited you can select ‘-------------’ the boxes that are left. To increase the possibilities you are asked to if you would accept other types as well? If you have special wishes you can write these on the space `special request` . Fill in all fields in the application form. Type ‫ ״‬/‫ ״‬when you don’t have anything to fill in. You can also make a combination of Archimedes and Ceres. Note that Archimedes places are very limited, so it is wise to combine that choice with Ceres. Here you select 3 countries you would like to be for your internship. If your application would be accepted (become white), here you are allowed to ask the Exchange Quality Board to adapt your country preference. (iaas.eqb@gmail.com).


Deadline and Period Here you write the date you can start and the date you want to end your internship. Keep in mind: the period you will actually be working might not be exactly matching the period you preferred. The minimum duration of your internship should be one month. You can not change your period after your application is submitted. If you need to change it, please contact the EQB. Write the last day you want to know if you can go on exchange. If this deadline passes and you were not reserved or placed, your application will be cancelled and you will be paid back! When the deadline passes you will be informed, at this moment you can choose either to change (postpone) your deadline or to cancel your application. If you postpone the application, you need to inform the National Exco (VDE) and she/he will change your periode. The maximum of application can be delayed is only a month. If you have postponed the application and it has been passed the ‘new deadline’ then your application would be cancelled. Languages Write the language you are capable with, this is important to know you need to be accompanied or not. This is also the thing that is need to make you easy to interact with the farmer or people may work with you in receiving country.


Experiences and Skills The experience and skills asked here is about capability of using the farming tools. This section only want to know you have experienced with the tools or not, but if you do not have any experiences, just write the “no�. Not all of the fields of the internship need to have the skills.

Comments In this column you can write clearly the place you are looking for and the learning or experience you want to get of joining this program.

Curriculum Vitae The curriculum vitae section must be written in order to make us easier to promote you to the companies or owner of the hosting place.


Motivation Letter The motivation letter should be written to show the intention of the Exchange Candidate for joining the Exchange Program. Write your motivation, experiences, purposes, and the desired thing to be experienced or learned from the program. You are able to write anything which is needed to emphasize the reviewer that you are deserved to be selected.

An Internship Plan Schedule After completing all requirements for online registration, students must send the internship plan schedule to the email address: exchange@iaas.or.id and exproiaasindo@gmail.com. The schedule will help the student for doing the internship and monitoring student’s activities while they have the internship. The schedule must contain the name and brief explanation about the company they will have the internship for, timeline of the internship and the activities the student may do within the exchange period, and the output and benefit they will get from the activities. if the student do not send the internship plan schedule, the lexco can not accept the student’s application.


5.2. Preparing For The Interview After you complete the application form your file is ‘Black’. You should now receive an invitation from your sending exchange coordinator for an interview with VDE. You can remind him/her of that, if you have to wait too long. He should send you the Expro Guide in attach and give you time to prepare for the interview.

How to prepare? Preparation of the candidate trainee: Read the exchange guideline. Make sure you can explain all the procedures, and make sure you understand the goals and the aims of the IAAS exchange program. Prepare a copies of your support documents for language proficiency, your proof of enrolment as a student (can be obtained at the secretary of your university), your relevant diplomas, your driving license, working experiences of more than 6 months, it is useless to prove skills that are not mentioned on your application form. Make sure that, at the day of your interview, you ring a copy of each written proof, as well as the original. 24 hours before your interview, your black application should be perfect and complete. Your CV and motivation letter should be filled out as well. Remember that after approval, the only way of making changes to your application is to contact the exchange quality board. Nevertheless, you will remain able to adapt your preferred deadline of confirmation later on. Can IAASers be ‘free’ from interview? No, unless they are National Exchange Coordinator at the moment of their application.


5.3 Selection

The Selection Process The Selection Process will be conducted in two stages, there are document review and first interview process by Lexco and second interview process by Nexco. The thing that will be asked in interview session are about: 1. The data which participants write in the documents. 2. Your English skill and related experience 3. IAAS’ and Exchange program’s stuff 4. Internship planning schedule. The main idea behind the interviews is to support receiving Exco colleagues, and assure they can ‘blindly’ trust the information that is available on the application forms. If any problems or questions about the interview remain unsolved, please do not hesitate to contact the exchange quality board for additional information or help. Especially this year, EQB will invest considerable amounts of time on guidance of local committees, to familiarize them with the practice of organizing interviews. The result of an interview should be available immediately or within 24 hours after the interview. The reason of non-acceptance should be clarified in a short statement. 5.4 Payment and Student Contract


The Exchange Fee for International Exchange Program The country category depends on the GDP per capita. The list of countries can be found on www.iaasworld.org under ‘expro’. Every year, according to the data in the database, IAAS invoices the countries, and then the fees have to be transmitted to IAAS international. The deposits are withdrawn automatically but ONLY if the students successfully completed their internships and when they completed their online evaluation form. Students that have never been placed, receive their money back. Indonesia includes as B country category. Whether a student obtained a place but didn’t go, he/she does not recover anything. After a student passed the interview and paid the expro fee + deposit the student contract can be signed. This contract will be signed both by the student and his local sending Exchange Coordinator, in four-fold (four original signatures and it is conditional based on the local regulation). The copies of the support documents (provided by the student during the interview) should be stapled to the contract. Goal: The contract defines the agreement that is made between IAAS and the exchange student. The sending exchange coordinator acts as IAAS-representative and keeps two originals (one for the local and one for the national exchange coordinator) + copies of all the documents. Two other originals + document copies are kept by the student. In case it is necessary later on, he/she can send copies upon request to future employers. COUNTRY CATEGORY

5.5 Becoming ‘White’ After the payment (expro fee) and the paperwork is done, the sending national exchange coordinator accepts you as an outgoing trainee and your file will get the ‘white’ status. You will receive automatically e‐ mail notification. If the national exchange coordinator finds it necessary, this task can be delegated to local exchange coordinators. Once a student’s file became ‘white’, the student cannot change the information on the form change anymore. Also the sending exchange coordinator is not able to do this. If it is necessary to adapt information, students

Matching Proccess 6.1 Finding an Internship Great! As an outgoing trainee, you are ‘accepted’, your file is ‘white’, you are ‘in the system’ now, ready to be exchanged. Sometimes it happens that students have to wait quite a while before they obtain full information. Nevertheless, it is the aim of IAAS to motivate all Exchange Coordinators to respond more quickly, and thus, improve our service quality. 6.1.1 The Receiving Exchange Coordinator The receiving exchange coordinators of the 3 countries that were indicated as ‘preferred’ during the online registration, receive your white application form. You can expect some response from them soon! IAAS asks that Exchange Coordinators would look at least every 14 days to check all applications that came in for their country, and to send an email to the students. This doesn’t mean that those Exchange Coordinators should be able to provide you immediately with an internship. But they should at least contact you, to make sure you are informed. Their answer can be for example:  Unfortunately it will not be possible to find you an internship in our country/for the period you required/duration, working areas etc you mentioned in application form.  It will take at least a few months, before I can find you an internship. Please keep me up to date if you find an internship in the meantime  I can find you an internship in a few weeks but not immediately, so I reserved you. 6.1.2 Obligatory Internship Offer Forms and Acceptance Procedure ‘ The student always has to accept the internship first’. This means that a student should always first agree on the working conditions which are proposed to him, before he can be matched to an internship. Before a student can be ‘placed’ in the online database, he/she must:  Receive a mail from the receiving Exchange Coordinator with a standard internship offer form, detailing working conditions.


Given a positive response to this offer by e‐mail within 8 days. The student also has to print out the acceptance note (acceptance note is an offer, undersigned by the student), and send one copy to the sending Exchange Coordinator and one to the receiving Exchange Coordinator. This can occur by means of a scanned pdf‐format file (e ‐mail) or by normal postal mail. The receiving Exchange Coordinator is in charge of deciding on all additional features concerning the acceptance note. He/she has to be sure that the student agrees with everything. He can add a damage clause in the offer to over eventual damages if the internship would not take place, ask the student for additional papers etc.

6.2 Consequences of Signing an Acceptance Note When a student signs the acceptance note, this statement proves his intention to take part in the internship. When he/she breaches this agreement (f.e. by not showing up, for various reasons), the receiving exchange coordinator can inform the Exchange Quality Board, and the student will then be removed from the database. Student’s breach might have serious consequences, because he/she risks losing the expro fee, as well as the right to take part In the IAAS exchange program in future. Even more, if something happens in the last minute before the signing of the acceptance note the student can claim his/her money back. It is strongly recommended to inform the organizers of his internship as well as the EQB as early as possible (rather before the internship should take place), when it turns out to be impossible to take part in the planned internship. The quality of communication as well as the damage caused by Student’s breach of acceptance will be taken into account by the Exchange quality board, when decisions are made.


6.3 Reserve Students In the online database, receiving exchange coordinators have the possibility to reserve students. This is necessary to avoid that a student is ‘stolen’ by another exchange coordinator for another internship. It is necessary to ‘reserve’ a student when an internship offer has been sent, and during negotiations with a potential employer. The reservation period can be maximum 30 days.

Internship Preparation After you received a place as an outgoing trainee, you need to prepare your internship. 7.1 Logistic Preparation Every IAAS trainee is obliged to have a full covering personal insurance. The costs for insurance and visa as well as the travel costs are on the charge of the trainee. He/she takes the full responsibility of preparing these documents on time. Lodging, food and accommodation within the hosting country has to be provided by the employer, either directly (housing, etc), either indirectly, by means of a payment that covers the expenses. If this is not possible for some reason, it has to be clearly stated on the internship offer form and thus it is necessary that the student accepts these conditions. For certain countries, it is necessary to get vaccinations, prophylaxis (f.e. against malaria), It is necessary in those cases to consult professional medical advice. When you have allergies or when you suffer from chronically diseases, it is necessary to inform the accepting exchange coordinator on beforehand. During your traineeship, you will also have other expenses, depending on your activities in the hosting country. Every trainee has to assure to take enough money to provide these costs. Certain currencies are not easily convertible. Also then, it is useful to buy dollars or euros and eventually use traveler cheques or credit cards. 7.2 Cultural Preparation/Background Information During your traineeship, you will have to integrate in another society. This takes efforts on both sides, because cultural differences come into play. Therefore every trainee and host should try to prepare an internship by learning more about the other culture, it’s customs and moral issues, and if possible a little bit of the language. This gives all the parties more self�confidence and it is literally a part of good mutual understanding.


It is necessary to figure out the ‘do’s and don’ts’ of another culture. Information sources, such as internet or travel guides (‘lonely planet’) can be very helpful in this. Try to get to know more about the organization. If they have a website, you can find a lot of information about their activities and their goals and missions.
