Course Requirements And Certificates Delegates must meet two criteria to be eligible for an IIRME/GW Certificate of Completion for a course: 1. Satisfactory attendance – delegates must attend all sessions of the course. Delegates who miss more than 2 hours of the course sessions will not be eligible to sit the course exam 2. Successful completion of the course assessment Delegates who do not meet these criteria will receive an IIRME Certificate of Attendance. If delegates have not attended all sessions, the Certificate will clearly state the number of hours attended.

Joseph Micallef is an engineer by profession who originates from the manufacturing and operations sectors. Bringing with him more than 20 years of experience, he has occupied various senior ii management positions in Research and Development, Quality Assurance and Health and Safety, and as a consulting engineer he has coached a broad portfolio of clients from the various business sectors in achieving and implementing improvement initiatives in their operating mechanisms. The various projects and assignments include: • Mentoring and leading clients to build up quality management systems that are certified to ISO9001:2008 standards • Developing organisational documented systems • Implementing Statistical Process Control tools and techniques on various processes, typically plastics processing and electronics assembly processes • Facilitating various error reduction and quality improvement programmes • Conducting operations process reviews, mapping out processes in view of eliminating non-value adding activities (waste elimination programmes) • Improving efficiency and effectiveness, and several others A regular speaker and facilitator at various conferences, workshops and seminars, Joseph is a member of a number of engineering institutions such as the Chamber of Engineers (Malta), The Institute of Engineering and Technology (UK), the European Federation of National Engineering Institutions (FEANI), a registered Chartered Engineer through the Engineering Council in the UK, and an active board member on the Malta Engineering Board.

Course Overview For many, writing a good report may turn out to be an even more difficult task than conducting the technical assignment itself. This may be especially true for most Technicians, Engineers, Scientists and similar professionals. The consequence of an unclear report is information loss. The report submitted must be well structured in a logical, flowing manner to enable the information to be well understood by the reader.

Course Methodology The training style adopted during this interactive course will be through shared and open discussion, supplemented with sufficient guideline material. There will be workshops and individual exercises as well as practical presentations to enable all delegates to participate in full. The course sessions will start promptly at 08:00 and end at 14:30 each day. There will be two short breaks for refreshments at appropriate times and lunch will be served at the end of each day’s session.

The main objective of this course is that the report writing task, not only becomes an easier one for the author of the report, but also for the audience who are expected to read, understand and extract information and value from it. By attending this course you will gain an insight towards structuring your technical reports in a manner that they are both comprehensive, and concise. We understand that many executives are faced with lengthy detailed reports that they need to read through, and understand, on a daily basis. Day Two Developing The Report • Sources of data and information. What are the primary inputs to your report? • Convert the inputs into the equation Layouts And Formats – Make It Flow! • Set the report layout • Ensure the report flows and leads from one point to the other • Constriction in the logic of the write-up Presentation Of Complex And Complicated Information – Does It Add Value? • Review various tools, techniques and methodologies available to presenting data, results and other information without making the report unclear

Writing The Report • Using the right grammar and syntax rules of the language Workshop: The scope of this workshop is to expose delegates to collecting, logging and presenting raw and analysed data that shall be used to report on relevant information.

Day Three Generating The Report • Set the right environment so that it is interruption-free • Your phone and office door – should it be closed? • Review of basic time management principles to ensure an effective report writing time How Should My Report Look? • Make your report look neat, clear and concise without the need for unnecessary and distracting fancy decorations Value And Quality – Not Quantity • Content quality versus volume – some reports are written purposely not to be read! Is yours one of these time and resource wasters? What Is The Outcome? – Drawing Up Your Conclusions And The Way Forward • Drawing up conclusions and presenting them clearly to ensure the message runs across undistorted. Final touches to the overall layout of the report Who Should Read My Report? • Determining how to go about the report approval/acceptance process and deciding the distribution list Following Up And Further Action • Report finalised and submitted – what happens next? Workshop: Each small team will work in a larger group to generate a report. Guidance will be offered by the speaker when needed.

Day Four Presenting The Report • Often the outcome from a report needs to be presented viva-voce with only a few minutes made available to present your case to your manager, the board of directors, your clients or suppliers, etc. This part of the course is an opportunity to assess how well we come through in this situation. Oral Presentation – The Phases • Preparing for the delivery – controlling the anxiety, having a clear message to deliver and making a positive impact on your audience Preparing Your Visual Aids • Some basic tips on visual aids preparation and how to maximise these tools to enable you get the message delivered effectively to your audience Let’s Hear You Present The Case Workshop: Each team shall have the opportunity to present the outcome from this exercise to the rest of the attending delegates. There shall be the opportunity to constructively criticise each other with an open mind, in order to identify each other’s strengths and areas for improvement. • Conclusions
