Best Practice Naming of Templates – identify the representation type and property type in the template name. Use SFR to abbreviate Single Family Residence EG: SFR Resale Purchase, SFR New Home Purchase, SFR Listing, etc. Using Folders – add folders and subfolders to your templates to better manage documents as they are signed and returned to the transaction. Purchase Folder Examples Signed Documents Docs from Seller (for docs the buyer needs to sign) Notices Listing Folder Examples Signed Documents Docs from Buyer (for docs the seller needs to be sign) Notices The Signing Order – carefully consider the signing order of all parties involved in the transaction, especially when the parties have other actions to perform in the documents. EG: when one of the sellers is completing the Seller’s Disclosure Notice online. The seller who is completing the document must receive it first, complete the document, and sign it before the second seller signs it.

Understanding Templates • Templates are created for specific transaction types. • listing/purchase/lease/tenant • property type • Each template should contain all forms required for that type of transaction. Review the contracts and disclosures for requirements, and always verify with your broker. • Complete static information on forms in templates like the TXR cover sheet (your information only), the IABS and the listing/buyer representation agreements. This will save you time when working through your transactions. • Do not add a client’s information to a template. Unless you’re creating a template for a repeat client like an investor.

Adding Folders Adding folders to your template will help you stay organized in your transactions.

Add a Signed Document folder to each template.

Create additional folders to organize your documents. E.G. a folder for Notices that aren’t needed in some transaction, but Required in others.

Some forms will have multiple options to choose from. • Forms that require signature might have a buyer/seller version. • Amendments usually have multiple versions to allow for additional changes. • The best residential lease applications to use are 5-8.

zipForm Transactions

How Templates Are Used • When you begin working with a client, create a new Transaction and apply the appropriate template. • Add the client’s information to the Texas Realtors Cover Sheet and begin completing the forms in the transaction. • Add client and property information to Transactions only. Do not edit the templates with this information!

Creating New Transactions Click the New button in the Transactions screen to get started.

Select the type of transaction you’re creating. This example is for a Purchase/Offer.

Select the property type, status and template.

Working Through the Transaction

Skip the Summary and Parties screen and go straight to Documents. Enter the property and parties' information on the Cover Sheet.

Save – save your work Fullscreen – open the form in a larger display Print – send to a printer Send – email the document to another party. This does not allow them to edit or e-sign Save as PDF – save the document to your computer as a PDF Fastfill – displays only the fields that can be entered/edited. This removes all contract/form verbiage N/A Fill – complete all remaining alpha fields with N/A (or wording of your choice) Sticky Notes – add a note to a section of the from or view notes previously added Preview – open a pdf preview of the form with all fields locked Addenda – add or remove addenda associated with that form (EG Exhibit A) Spelling – spell check Intellicopy – pulls data from one form to another (EG seller/buyer names from the TXR Cover Sheet) Highlight – use your cursor to select verbiage to highlight Strikeout - a markup tool that allows you to strikeout on a form Undo – undo your last change Redo – redo your last deletion Photos – add or remove photos associated with a form (EG non-realty items to convey) Lookup Field Manager – manage the data that your forms “remember” per field Clause Manager – create saved statements that can be inserted into a document

The zipForm and DocuSign Flowchart The boards upload contracts and forms in zipForm. This is always your starting point!

When sending documents from zipForm for e-signature they will “pass through” & send via DocuSign.

Signed documents are returned to Both zipForm and DocuSign.

To Delete/Void (stop) or Resend documents that have been sent for e-signature, login to DocuSign and go to Manage.

All transaction documents should be sent for signature from zipForm. Upload pdf documents that need to be signed by your client to the related zipForm transaction. Signed documents will be automatically returned to the zipForm transaction.

E-Sign Clicking the E-Sign button takes you to the E-Sign screen.

Retrieving Signed Documents

If the system fails to return the signed documents to the Signed Documents folder your created & selected in the e-Sign process, you can retrieve them from the History screen within that transaction.
