The Bar The room hire does not include use of the bar for beverages. If you would like Aubrey Park to supply the beverages for your day, we will happily do this. We will staff this, supply the glasses, and work the beverage supply to your exact requirements. If you pre order any beverages, or decide to have an account bar, we will require this to be pre-paid. If however you would like guests to order their own drinks at the bar, we will have the bar open on a pay per drink basis, at our standard banqueting bar prices. We can serve drinks in our function bar until 00.30am.

Aubrey Park Hotel Corkage If you would like to pay corkage, we can supply you with a list of corkage charges. These charges are fixed rates and are not negotiable. When choosing to have corkage the following must be adhered to; Prior to your wedding you must supply a list of beverages which you are bringing to the venue, this list must be accurate. You will have to pre pay for these beverages on the list, 2 weeks prior to your wedding. All beverages must be supplied to the venue the day prior to your wedding. A bottle count will then take place with someone representing you and one of our team. Upon completion of the bottle count, a document will be supplied to you to confirm the number of bottles supplied to Aubrey Park which will be signed by both parties. It is down to your caterer to serve the beverages on the day, and provide the glasses for these beverages. You will not have access to the function room bar for any beverage service. At the end of the evening a final bottle count will be carried out to confirm how many bottles have been used. A document will be produced and both you and a member of the hotel will sign to confirm the number of bottles used on the night. If you have not used all the beverages you have pre-paid for, we will refund you the difference. The hotel will store any beverages post your wedding, until the following day, 12pm. If your beverages have not been collected by this time we will accept no responsibility for them. Please note we do not charge corkage on soft drinks, only on alcoholic beverages. Your Preferred Caterer We like to offer choice, and whilst we are happy for you to use your own caterers, we want to ensure they are going to provide you with a great day and represent the hotel in a good light. It is your decision who you choose to cater and manage your special day. We do have a number of preferred suppliers which we can recommend to you, but should we feel a caterer is not suitable for Aubrey Park Hotel, we do reserve the right to refuse them. We ask that caterer has all up to date and relevant health and safety certificates, food and hygiene certificates, and insurance documentation. Once you have picked your caterer, we will require their contact details, in order to send them a separate contract explaining our terms and conditions and requesting a ÂŁ1000.00 security deposit which is returned to them post the wedding, providing our terms and conditions are adhered to.

Why stay anywhere else With 137 comfortable, stylish and contemporary bedrooms, we want to ensure you and your guests have somewhere quiet and cosy they can slip off to at the end of the night. With this in mind we have created some very special accommodation package, which can be booked directly with the hotel, leaving you with one more thing that can be crossed off your list. Aubrey Park Hotel Frequently Asked Questions Do Aubrey Park Set the event up? No we are merely providing you with a beautiful venue. We will supply all the tables and chairs your caterer has requested and have these available in the function suite at the caterers requested time. It is down to your catering team to set all the event spaces up. We therefore ask that your catering team comes to our venue prior to your wedding day so they familiarise themselves with the venue and the set up you require Will you be my wedding coordinator? Not as such, whilst I can answer any venue related all questions over the telephone or via email, your caterer will be in charge of managing all logistics, I have a very back seat role. Can the Music and Bar stay open any later? Afraid not, out of common curtsy to our neighbours and guests music must finish at 00.30am. Aubrey Park can recommend its resident DJ for your special event, if however if you would like to bring your own DJ/ Entertainment we will require their full insurance details, 2 weeks prior to your event along with all PAC test certificates. If your music exceeds the decibels control, we will ask the entertainers to turn the volume down. Do you do cash back? No we donâ&#x20AC;&#x2122;t, the closest cash point to Aubrey Park is located in Redbourn Village, a 5 minute drive Can I leave my car over night? Yes of course, we have over 150 complimentary car park spaces available. Please note Aubrey Park does not accept liability in event of loss or damage Do we have a final details appointment? Yes, we like this to take place one week before your wedding, this should include the bride and groom to be, your caterer, their chef, Aubrey Park head chef, Aubrey Park Duty Manager & Aubrey park point of contact What details do you need from me before the wedding? We require a detailed function sheet for your caterers, confirming what they are brining into the venue, what your running order is, what suppliers are coming to the venue, and all other relevant details Can I have Fireworks? Yes you can, again we will need the suppliers insurance details, and we will need to show them where they can set up. Is your hotel a smoking hotel? We do not allow smoking inside our hotel. We do however have dedicated smoking areas where we ask guests to smoke only Do you allow Children? Yes we do. If you do have any questions or need further clarification on the below, please do let me know. Deposits Bookings are secured with a minimum of ÂŁ500.00 non-refundable deposit and the signed contract within 14 days from booking. The remaining balance is to be paid 4 weeks before the event date. The Aubrey Park Hotel reserves the right to accept another booking in place of yours, should any payment not be received by the specified dates. Prices Please note the prices stated are only available for 2015 but are subject to change Terms and Conditions In order to avoid any misunderstanding in respect of your booking, the following Terms and Conditions apply to all bookings relating to weddings. We have tried to make our terms and conditions as straightforward as possible however if you have any questions please feel free to speak to us before you sign them. 1. Booking Confirmation Any booking is considered provisional until the Hotel receives a signed copy of these terms & conditions from yourself, receipt of which will be deemed to be your acceptance of these terms. 2. Numbers and Accommodation Provisional numbers are required at the time of booking and the hotel's minimum charge for the service booked will be based on those numbers. (i) To allow us to plan your wedding correctly, you will need to provide us with final numbers 14 days prior to the wedding date. The final charge payable will be based on this number or actual number attending, whichever is the greater and provided that the minimum charge has been exceeded. (ii) If your numbers go down, cancellation charges will be applied. However, if you provide the Hotel with more than 14 daysâ&#x20AC;&#x2122; notice, you can reduce your numbers by up to 10% without charge. (iii) If final numbers are provided less than 14 days prior the contracted numbers will be charged. If the numbers are reduced below the minimum numbers required for your wedding package/agreed minimum numbers, we may have to re-allocate the function suite to one more appropriate to accommodate the numbers provided. (iv) Subject to agreement, bedrooms can be held for wedding guests however these rooms will be released 28 days prior to the wedding date if they have not been confirmed.

Payment and Credit Facilities Unless you have arranged credit facilities with the hotel, you are required to pay a non-refundable deposit of ÂŁ500.00 when you confirm your booking and full payment of the balance is due 4 weeks prior to your wedding . Unfortunately, credit facilities are not available to private individuals. If you are not a credit customer a credit facilities application form is available on request. Separate conditions apply to credit facilities, which can be found on this form. Credit is not automatic, and confirmation must be sought after completion of the credit application form. Where credit is extended, full payment should be made to the hotel within 28 days of the date of invoice. VAT excludes Government imposed duty increases/changes to the rate of VAT. 5. Payment for your event You shall need to pay a non-refundable deposit of a minimum of ÂŁ500 when you confirm your booking. 50% of your outstanding event balance shall then be due 3 months prior to the date of your event The remaining balance is to be paid at least 4 weeks prior to your event Payment by credit card shall incur a 1% handling charge. Unfortunately credit facilities are not available to private individuals. We reserve the right to charge interest at 2% above the Bank of England base rate if you do not settle your invoice within the agreed terms. 6. What Happens if I Cancel No one wants to have to cancel, however sometimes circumstances are beyond your control. Although we will do everything within our ability to help you in the unfortunate event that you need to cancel, there needs to be an agreed 'Cancellation Policy' Here's how ours works: Date of Cancellation More than 24 weeks before the meeting is scheduled to take place - Cancellation charge payable by you; Non-refundable deposit is retained. Between 24 and 12 weeks before the meeting is scheduled to take place - 25% of the total booking value. Between 12 and 4 weeks before the meeting is scheduled to take place - 75% of the total booking value. Less than 4 weeks before the meeting is scheduled to take place - 90% of the total booking value. We will try to re-let the allocated room or rooms and a reduction of cancellation charges will be made if we are successful. 7. Cancellation by us because of events beyond our control In the unlikely event that the Hotel has to cancel your booking, you'll receive back any pre-payment, although that the Hotel will not have any other liability. However the Hotel may only cancel if: (i) The Hotel or any part of the Hotel is closed or become unavailable due to events beyond our control. (ii) If you, or we become insolvent, or in the case of an individual, become subject to bankruptcy petition. (iii) The booking, the persons associated with the booking and / or the purpose of the event might damage the reputation of the Hotel or the company. 8. Etiquette and Conduct For the comfort, enjoyment and safety of all our guests, it is important that members of your wedding party maintain acceptable levels of behaviour and noise on the hotel premises. In the unlikely event that you are requested to by the hotel management, you must take necessary steps to ensure that members of your group adhere to this. In the event of your failure to comply with this request, the hotel management may stop an event, without being liable for refund or compensation.

I've got lots of things to bring to the Hotel We can provide most equipment, however should you wish to bring your own equipment into the hotel, you must ensure that it has been tested and safe to use. Delivery of any material and / or equipment can be made within 24 hours of your wedding; however the hotel reserves the right to dispose of any material not collected within 48 hours of the completion of your meeting. All deliveries must be clearly marked with the organiser’s name. If you want to leave personal effects with the hotel, the hotel cannot accept responsibility for their safekeeping. The hotel accepts no liability for any equipment you bring to the hotel, and we ask you to comply with the rules set out in the Health & Safety at Work Act 1974. For any third party contractors visiting the hotel under your insurance (such as disco, live entertainment, etc) you must ensure current and adequate 'Public Liability Insurance' is in place. Copies of electrical testing certificates and their insurance policies must be made available at the time that final details are confirmed. 10. What about insurance You may well consider it worthwhile arranging insurance. This can usually be done for a small premium, to cover the cost of cancellation and other liabilities. Please bear in mind that your insurance contract is something which you are responsible for booking yourself.
