Dear Americas Presidents and members, On behalf of the myself and the development assistants (DAs) for the Americas Region 2017/18 I would like to present you the Annual Working Plan (AWP) for the americas region in the next term. Since my selection as RD americas for 1 year more I had a mix of feeling and responsibilities between our meetings, preparations to finish the term and to start the new one, but most important responsibility was keeping up the Americas Region’s work. Some weeks ago, the Regional director’s team started drafting a plan for actions for the term, that will serve us as route but also as a resource for you to follow our activities and work for the region. Of course, you will always be allow to input and approach us whenever you want to clarify why we might not be working in an specific area at that specific moment. I would like to let you know that we divided the AWP in 4 areas, related to the pillars that the americas region is currently developing, which are: Regional Collaboration, Internal Development, NMO Involvement and External Representation & Policy. Here you will find the main ideas we would like to develop for The Americas, but also for you, at the national level and through this benefit EVERY SINGLE MEMBER in the IFMSA, empowering them and taking their opportunities and abilities a step forward I would also like to remember you that for any input or recommendation that you would like to send us, feel free to do that, you can approach us by any means of communication. 2. NMO Developement - Close follow up with our newest NMOs in the Region, providing them the necessary tools. Coordinate OLMs with relevant RAs/DAs in order to tackle their issues and help with their national development. - Assist NMOs on their internal matters that can affect both their work at a national and international level. - Maintain and promote the Regional buddy system in order to encourage NMO-NMO collaboration. - Promote existing manuals and develop new ones as per regional needs. - Create specific working plans for NMOs along with relevant assistants according to the NMO and Region’s needs/goals. 3. Regional Advancement - Supervise the work of the Small Working Group on Regional Collaboration (IDA/INVA) - Thorough revision of our regional IOGs .Corrections of the actual document .New proposals that accompany the changes that are happening in the region. (RD Team and SCs RAs) - Meetings -NMOs OLMs with national EBs after the Regional Assessment. - GAs / RMs Assist in the elaboration and execution of the President Sessions. Elaboration of webinars prior to international meetings (RDTeam) Development of regional survival kits. Provide updates of the Americas in RM/GAs. Implementation of Alumni Sessions during the RM.
4. Regional Work · Maintain all databases updated. · Follow up with SCs and RDTeam on the AWP. · Development and management of regional official documentation. 5. Regional Team Meeting · RTM to be held after the Americas Regional Meeting. · Development of the agenda. (RDTeam / CB RA).

Attendance to External Meeting - Keep an agenda of external conferences in Americas for 2017/2018 - Identify the priority events to attend during the term - Develop a Working Plan to tackle barriers to NMO’s attendance to external meetings (e.g. finances, visa issues) - Develop selection processes of delegates to external meetings considering gender and country repres entation - Support Americas’ members in preparing candidatures to external delegations - Develop a manual about preparation of delegations to external meetings

Development of New Partnerships - Follow-up the partnership with PAHO and IFMSA’s internship there; - Follow-up the agreement with UNASUR; - Attendance to ALAMES’ 2018 Congress; - Hold meetings with Liaison Officers and Standing Committees’ Regional Assistants to identify potential partners in Americas, in line with their work; - Develop a Working Plan to establish new partnerships; - Make concrete advancements in partnerships with ALAMES and FEPAFEM/PAFAMS. 3. Policy-Making - Develop a toolkit for Policy-Making and make it available in English, Spanish and Portuguese; - Encourage and support Americas’ NMOs to propose policy positions in IFMSA General Assembly - Release reading suggestions of texts about policy analysis and policy-making processes; - Identify data on IFMSA policy positions developed with the participation of Americas’ NMOs; - Gather national policy positions and release them to members. 4. Teamwork and NMO Involvement - Organize online meetings with NMO Presidents and/or VPEs; - Develop within the Regional Team a round of discussion about policy-making process, context analysis and policy evaluation; - Improve the External Representation & Policy-Making Folder

Ensure High-End Publications - Revise publications for regional opportunities - Ensure well-planned and timely production of the Americas Heartbeat and other regional publications - Assist the regional team with the respective publications needs - Work on visually improving internal documentation

Increase the number of Publications - Empower members with a prize for the NMO with the bigger number of publications in the Americas Heartbeat or in other IFMSA Publications

Remove language barriers - Translation or adaptation of important publications (documents, toolkits, manuals) - Assisting NMOs in the translation or adaptation of their national documents.

Provide Capacity Building Materials - Creation and revision of CB materials regarding the regional President's priorities

SWG on Regional Collaboration - Support coordinators with the outcomes of the subgroups

Creation of a Regional Activities Database - Creation of a database where members can have Access to each NMO activities, projects, or publications and also share their owns with the other members.

Increase the number of regional projects under IFMSA Programs - Publication about IFMSA Programs benefits for the NMOs or the project - Providing support in the process of enrolling a Project under an IFMSA Program

Promoting Regional Campaigns and Projects - Supporting members in project management. - Providing support for publishing activities and projects in international servers and official web page. - Contact Program Coordinators.

Promote collaboration between the RAs work towards the region  Work with Standing Committees RAs to increase regional opportunities for collaboration and Programs participation.
10. Management of the Facebook group and the regional link of The Americas within ifmsa.org - Informing new opportunities to our members - Update information in the regional link 11. Inform NMOs about the work of the Regional Team - Creating video updates monthly for the region throughout the term

Coordinating Regional Campaigns and Projects - Stimulate the National Presidents/National Directors to discuss within their NMOs relevant thematics related to Americas issues. - Help the Regional Assistants to capacitate, organize and coordinate campaigns that involve more than one NMO - Create, at least, with other RAs, regional activities jointing different NMOs
2. Increase the research opportunities - Identifying and promoting opportunities to involve the NMOs in multicentre researches. 3. Discuss and elaborate documents with regional positions - Facilitate discussions, create online meetings and work nearly to build the policy statements 4. Training NMOs in IFMSA Basic Structure and Rregulations - Do online trainings with groups of NMOs – how was done with Sustainable Development Goals by Regional Director 5. Capacitate delegations to international events - Pre-Departure Trainings to train the delegates to act within discussions in General Assemblies, Regional Meetings, Sub-Regional Trainings, etc. - Create Delegation’s Manual 6. Organize and identify priorities in the region and initiate and stimulate discussion in an international level - Search for necessities in the regional and start discussions in the email list to become the regional heard 7. Improve the Regional participation in international groups of work and international opportunities - Share opportunities at the email list. Do reminder to the NMOs presidents. - Organize media marketing files to stimulate the participation - Create a Google Agenda with important Deadlines 8. Training Americas Dlegations about plenaries and IFMSA Flowcharts - Elaborate plenary simulations during the Regional Meeting and Americas Sessions at General Assembly. - Elaborate charts to explain the flowcharts to the delegates keep in plenary hour with them. 9. Summarize the discussions that are happening internationally - In the final of each month build a summary and send in the NMO server to keep the Presidents updated, I also believe that directing the discussions as demand is potentially positive 10. Increase the Full Member NMOs inside the region - Creating didactics documents with flowcharts and algorithms to be followed by the NMOs - Send the google sheet to the NMOs presidents so they can upload what they have sent to the General Secretariat according to the bylaws to gain voting rights (October-November) (March-April). - Have a personal OLM with each NMO president to see if they have any special problem with any part of the process and find a way to solve it - Send personal emails to NMOs presidents reminding them about the deadline.
